Hey guys, it's Chris over at GorillaDesk, and in this video, we're going to cover everything regarding the integrated voice over IP phone features right inside GorillaDesk.
The benefit of using this is that you now have your phone system, all call recordings, and all caller history directly integrated into GorillaDesk. This also makes admin tasks much faster by allowing you to click and call on any phone number available within the system, enabling your whole team to be much more effective.
So, we're going to go ahead and look at all the feature sets. Let's get started right inside GorillaDesk. Under your VoIP add-on feature set, you'll have access to all the features available for VoIP. We're going to go through them one by one.
First, you have the ability to activate which users in your system gain access to voice. We'll look at that management area now. I can look at all my users in the system and decide if I want to assign them to the group number. This is a complete ring group number, so when a call comes in for this line, it will ring into all these individuals at the same time. The first available person who is able to pick up will be able to pick up the line.
We also have personal local numbers, where you can set up individual lines for each user if you want to independently. We can also see on the right here that we can control who has call recording turned on, and all those recorded calls will end up showing right under the customer profiles inside GorillaDesk.
Let's go back to the add-ons and look at the additional features. This is where we get to set up the actual group number. With the group number, we can have an individual voicemail greeting, call for this line, and a call recording disclosure if required by law for some states that you're in.
From here, I can manage which users quickly get access to the group number. Next, we have personal numbers. This is where I can control individually for each personal number line the voicemail greeting, call forwarding number, and call recording disclosures.
When we look at the call recording disclosure, we're able to automatically have an automated message when the call connects that lets the caller know that this call is being recorded. As we continue down here, we have our auto attendant. This allows you to create extensions for your company so that the client would end up dialing one to get connected to this number or dialing two to get connected to another number.
You can set up your extensions however you want. What's really nice is you can set up the time frame in which the auto attendant will pick up the line, and you can auto-enable which numbers utilize the auto attendant. You can also record your own voicemail greeting or type in a greeting that the automated bot will read when someone connects to the line.
The next area we have is on-hold music. This will allow you to select from one of four various recordings that we allow for already in here for recorded music, or you can simply upload your own file for recorded music. You're able to put a line or customer on hold at any time while you're on a call, and then the music will, of course, play.
Next, we're going to look at the after-hours power-up. This allows you to set up an alternate time frame outside of working hours, as well as on Saturdays and Sundays. You can set up a specific call forwarding line outside of normal operating hours. You can also record a specific voicemail greeting or type in a specific greeting that these users and customers will receive for your after-hours messaging.
From there, we do allow you to control block numbers. There are certain times when calls come in, and we don't want that line to call in anymore. It may be a spam caller, and this is an area in which you can manage all the blocked numbers that you've already blocked from incoming into the system.
From here, we're going to go ahead and look at some of the features that you're enabled with the actual phone system in the CRM. When I go to my scheduler or anywhere within the product, I do have a calling dialer at the very top of GorillaDesk. Here, I'm able to set my actual caller ID number, and then I can set if call recording is on or off for my individual user.
But this is actually controlled from the admin setting. Then, I can set up my audio settings, my sound output setting, my ringtone setting, as well as my microphone. You can see that my microphone is connected. I can click play to see if my output setting is testing correctly, and I can also hit play on my ringtone to be sure it's set up correctly.
I like to do that always when I connect so that I can be sure that I have my right settings set up for me for that working day. Then, from here, we're able to actually dial any number and make an outbound call. What's nice about GorillaDesk is that when I'm clicking on any job, any phone number that I see within the system is going to enable me to click to call that line, and it will start to dial out and show that I'm trying to make that connection.

So, there we can see I was able to invite others to my call, place a call on hold, mute the call, and utilize my on-hold music, as well as transfer to any other user that is actually active at that time. I can see who's calling in and ringing in as well through my system.
I'm going to go ahead and dial this line right now and show you guys how it actually calls into the system. So, I'm calling now and making my connection, and actually, the after-hours is picking up, so it's not ringing through. From here, I could actually go to my VoIP add-on and turn off after-hours.
Okay, so now the call will actually ring through because we're performing this demo on a weekend day. So, let's go ahead and try again. I'm now calling and making the connection, and now it's connecting my line. I can see it's actually connecting on both the desktop and the mobile application here on the right. I can accept that call.
Hey guys! So, we can see how calls ring through right into the application and how we can pick them up. From here, I can jump right into the client's profile, and I can see all the calls that are missed as well as taken on the phone line. I can also play my call recording right here.
Hey guys! So, you can see that the call recording is already saved right under the customer's profile. Now, from here, I can actually go into my inbox. Using the inbox as a more powerful calling feature from Smart Views, we actually enable a smart dialer that will just start calling through all the lines and all the clients that are within this view, making call handling a lot faster for all of my follow-up processes.
I can also click on an individual line and click to call right from here. We're going to take a look at the right-hand side for the mobile application. I'm going to click on one of these jobs in my mobile application. At the very bottom right here, you can see that there's actually a calling function where I can call any number out from GorillaDesk.
So, all of my calls from my mobile application are being utilized right through GorillaDesk and not the personal phone line on that phone. I can go ahead and click on any job, and when I go in and click on the actual phone numbers inside any job, I can make a call by GorillaDesk using the mobile application.
This enables all mobile app users as well to receive and make calls right from the mobile application, so all those calls are also already being call recorded right inside of our CRM.
All right, guys. From here, I'm going to go ahead and just touch on the Voice over IP pricing. We know it's powerful and that lends you guys a lot of time savings. So, let's take a look at how the pricing is broken down.
We offer three various plan options: a basic plan, a Pro Plan, and a growth plan specifically for the Voice over IP features. The Pro Plan is the most popular plan because it includes your auto attendant, a call activity report, the usage of group numbers so that calls will dial into multiple users at the same time.
It also includes 30 days of call recording and $10 of already included minutes and call credit. Each plan already has, on the Pro Plan, a 10-minute $1 worth of call credit. So, every month, your balance will top up with $10 of call credit.
The plan pricing is $95 a month, and this includes your first user on the phone. You need to determine how many users need access to actually make and receive phone calls in your system, and you can set this to the number of users.
So, if you have two users, now the plan price is $95 plus $45 for each additional user that needs access to the phone. From here, you can see that it's $140 per month for the two users.
There's also a credit balance, and this shows you that calls for local numbers when you're sending calls are billed at 4 cents a minute, and receiving calls are billed at 3 cents per minute.
So again, you have an overall topped-up credit of $10 already utilized for the month, and then any overage in phone utilization will begin to take from your overall credit balance. You buy a bulk amount of credit balance, and you have it until it's used up, and then it will renew again.
