So you know we can't come to the ISA show without visiting our boy Aaron Klippenger and Square Coil. Our boy for a long time.
Yep, we've been running Square Coil software for the last 4 years and it has revolutionized how we run our business. Absolutely. Look at that. Hey guys, how you doing? How you doing my friend? So how long have you been to the show? Just today really. We brought all the crew down. We've got a little bus and brought 40 people with us and you were absolutely one of our places. You. Thank you. I appreciate it. A little rumor around that there's something new. You got some upgrades or something. Still says Square Coil on his shirt. So [laughter] We didn't change the name. We're still the old Square Coil. Our booth has been pumping the entire 3 days. This is the first time we've had a chance to like breathe. So I'm so glad you guys picked this. Perfect timing. Good deal. But the rumor's true. We have a huge upgrade. Huge upgrade coming out. You guys want to take a look at it? Absolutely. I had three people walk up to me today. Have you seen the new Square Coil? I'm like, no I haven't cuz Aaron apparently our friend didn't tell us yet. Didn't tell us anything. They said you would love it. I took a page out of Steve Jobs's book and Apple and I wasn't showing anybody until the day of the show. So Wednesday, I had a big workshop I did here. And Tuesday afternoon was the first time I presented. We had like 20 people at this little workshop that I did and it came back with glowing reviews. I'm not going to lie, I was skipping out of that workshop. I was so pumped cuz it was the first time anybody seen it. So let's take a look. Come on guys.
All right, so one of our favorite things was we really thought this through. Revolutionized it, evolved it, took all of your guys' great ideas, other clients' great ideas and put it all together. So right here off the bat, thanks to your designer, we have light and dark mode. It's awesome. Yeah, he's been begging for that for a while. That's cool. He came over here this morning. I got the biggest hug from him. [laughter] So he's pumped. Light and dark mode. Now we are, you guys being in Florida, us being in San Diego, we have guys that have other just nationalities and they speak different languages. So we can have one guy running this in Spanish and the other guys running it in English. [laughter] So we got both features. The big one obviously is projects. So when you go to projects here and you click on new project, we're going to go backwards. We're really going to be doing page two first from with the existing system. So we're going to type in say like Motor World. I'm going to pick the customer first. It's going to say, hey, what location are we talking about? If it's a new location, great. We're going to say no, we're going to be talking about the Magnolia Avenue one. Here's our contact. Is it still the same contact? Yep. Now it says, hey, these are the four types of signs you sold this location. But there are the five types of signs you've sold this customer at all the locations. Really? So for one of your customers, if you have like 30 different sign types from the interior and exterior, they go, hey, we got a new location. You just go to customer and you go pop pop pop pop and they're done. No way. How many of the ABCs are we doing? We're doing all these. We're doing the interior. We're doing the exterior. We're doing the down lighting. You know, we Wow. Every 130 locations. You know. So so it now it gets way better. Now each one is a scope card. So we're going to pick the channel letters. We're going to pick the door vinyl graphics. We're just going to say those are the two things we're buying. So it builds these two scope cards. Think of a scope card as a tiny little bucket. And inside there it has the specific detailed drawings already done. Has your estimate for that sign done, FOB your back door, and it has all your production files done. So every single time they get a scope card, they already have all their end route files, their digital print files. So much time's going to be saved by this. So now that scope card's there forever. And the best part you are now clocking in. I'm going to show you this right now. I'm going to clock in. Say, which project are you working on? I'm working on, you know, I'm working on the Motor World 44. Which scope card are we going into? I now can each break it down to each one so we don't have to write a separate which we've been doing. So now you're going to have it with their and labor rates. So we're going to say, okay, I'm going to log into the install department. And the other kicker is is which truck are you taking? I'm taking the Alltec. We broke out fleet. We broke out equipment. We broke out machinery. So now you guys can keep track of all of it. We're going to get to that in a second. I'm going to show you that one. So we go to the assignment. We say, hey, when do they want it on the wall? I mean, we already know months ahead of time when they're opening their stores. So let's just say, hey, June 30th, that's when it's going to happen. We're 82 days out. Save the project. This is the overview page now of the project. Same as always, we just combined some stuff. So in the sales section, designs, estimate, proposal, just one section now. You know, when I make a new design, it's still going to have instead of O1, we got a little wiser. We got D1. Estimates are E1. Proposals are P1. You know? I like that. Sounds silly, but it's going to help us. Instead of having the sales section, project status section, all that, it's just one all the way through called progression. You know, and you can click on it and scroll through all your stages that you guys make. And when you can add a note, so let's say I'm permitting, I'm going to make a note here in 6 of 16. And then over here in pending, proposal sent, I'm going to add a note here. So all that's right there now, right for you, right? Yep. And then the client goes, you know, client calls, we click view all the notes and you can see every note from sales all the way through to wherever you're at. Oh man, that's that's huge really. So they're not tasks. Oh no, they're notes. They're notes right babe, but you have to They're all in one shot. Yeah, but yeah, but you got to find it in the different departments now. Purchasing and materials got put together because we buy it then we use it. So it's same same. Financials are the same as it's always been. That's just labor in the ledger. Nothing new there. We took files and photos and dumped it all in the one area now. So they say, what are you uploading? And it puts all in those little silos for you. So now designs aren't in designs and this is over here and this is over here. Like it's just one area. Yeah. One area and then you go in there and you grab what you want. Grab what you want. So here's your designs, you know, here's your working, here's that. So it's just it's just easier. It's one place. Absolutely. Oh yeah. Sales and CRM, design, same, you know, your design orders. So same as what you always have. Here's your D1, D5, unassigned, completed. That's [music] all the same. Production capacity. So now when you guys type in your machines, your equipment, and your fleet, you're going to say, I can chew through X number of hours of machine per hour. And you also say, hey, I know this thing is a 5,000 hour printer. And so you watch its appreciation inside of Square Coil and it'll cough up what it costs you per hour to run it. So when I when I get like, you know, my CNC router, it starts to get to 95%. I'm like, I need a second router. But if the guys are like, we need two routers. You look and it's 50% capacity. We're like, okay, this is a management problem. This is not an equipment problem. Install schedule, same as it always was. You know, we we did a little couple updates. Yep, different ways to filter it, clean it up. There's no more colors anymore. We actually did it by the tech. So you say, here's Aaron's techs. You know, their their tech. And then what was really cool is we decided to dispatch. So on Tuesday, Aaron comes in and says, hey, I'm going to this job and it'll drive it right down in there and that's where we're going. Wow. And they go right there. They no we don't need to do maps or nothing. It's it right there. It's done. Inventory. So before we just had one big bucket for the inventory, right? Now we have bins and locations. So I have my warehouse inventory, truck one's inventory, truck two's inventory. And I can look at the truck and go, well, there's no more power supplies on the truck. Don't send this for that service call. It's going to be a two trip no matter what. Let's just wait. And I can see what's going on and then I can transfer from warehouse to truck one. And as you guys grow and you go to multiple locations, location one to location two, I can transfer materials back and forth.
All right, this is what we've been talking about. The fleet, the equipment, the machines. We're going to go to machines. I'm going to look at my Epilog laser. I bought it for 36 grand. I'm charging $40 an hour. I can see the usage history, my repair history, downtime. And now this and this is all keying from your estimate or your actual time that the dude has clocked into that job? Both. Because your guy on the printer might only take 15 minutes to load the printer. He clocks out and goes to something else in the back and the printer's still running. So when he undoes it, he's going to go in and say, log out of printer. And so you can literally see the log out. So you might have three routers and he's only spending half an hour per router, but this router's running for 4 hours, this router's running for 3 hours. He's going to track all that time. And then down here, you literally have your depreciation schedule. What is costing you? What's happening? What's going on? You guys don't need to keep your Excel spreadsheet for depreciation for your year end books. Square Coil has a depreciation schedule now. Now one of the things that always bugged me was, what if? Do we need another crane truck? Do we need another router? We as old sign dogs, right? Going off of gut. Well, I don't need to go off of gut anymore. We built a what if calculator. So down here in our what if calculator, you can literally see lifetime profit, what's going to happen. You say, okay, well, what happens if I charge this much? What's going to happen here? What's going to happen if it's here? We can decide if we're going to buy another piece of equipment or not. Reports. I got to admit, we did steal from QuickBooks a little star, the favorites. Because it's just awesome. You know, you want your favorite reports right on top. And we just went crazy. We went so crazy. I I can't even begin to tell you how many reports we have. Under settings, integrations we have QuickBooks, Zero, Gmail, Zapier, Gusto, HubSpot. We're just growing. All of it can plug right in. Let me ask you something. Production files. Got a big wrap, big, you know, project that we're working on. Do you want those production piles in that? Absolutely. Because every single time you grab that scope card, those production piles are already done. They're already there. Copy cover rate, repeat. Copy cover rate, repeat. Max out? I mean, do we have a certain? You have a certain amount of storage like in the existing system now, and then once you hit the storage, you just pay for a little bit extra, and we just expand you. It. Okay. All right. All right. But we really need to be having that in there cuz we're not necessarily doing that on all of our jobs right now. So, we're still going back into our Q drive or whatever. Now, since we have Stripe, and now we can take credit cards and all that fun stuff, we decided, you know what? Let's go further. We made a whole customer portal. So, your customers, you're going to send them a link, and they're going to create a username and a password in the back end of Squarecoil. Now, when you send ABC Liquor a proposal, they're going to go, "Cool." They're going to log in their customer portal Squarecoil. They're going to see all the projects that they've been working on with you. They're going to be able to see all the proposals they have to sign off on. So, we click on proposals, and you can literally see approved, pending, expired, approved. They're doing that. And they're doing it. We're just clicking. Oh my god, that's so insane. It's got basically, you know, our version of DocuSign already logged in. So, they're all set up. After you get DocuSign. Love that. Thank you. I appreciate it. Then it'll say, "Pay now." And it goes right into the little the Stripe modal pops up. They think they're in Squarecoil. They don't see Stripe anywhere. It pays. Money goes right into your checking account. You're done. And it's done. Invoices, same thing. So, you can literally see what's owed, what still needs to be paid. You get. And then every month, one of the things that we thought about is. And you guys feel this pain. We're always doing collections. We want to build signs. And so, now we actually can just say, "Hey, at the end of month, here's your statement." So, this will automatically send a statement at the end of the month. This is what you owe. This is what you haven't signed off on. And just a monthly statement to the customer. And they get that how? Email. Email. And then they click on that, and it goes. And it goes right back to their customer portal. That's amazing. Anything different with estimates? Yes. Now, this is longer than I'm not showcasing it here. But basically, what's happening is is we're going to build types, and template types, right? And we're going to give you. And I'm going to make a number up. 15 different types. And it's going to be FCO letters, environmental graphics, you know, channel letters, one and whatever. And you say, "Okay, it's channel letters." And the template's going to go, "Cool. What's your overall height? What's your overall length? What's the square footage? And what does it say?" You know how many characters? Yeah. Serif bold. It's going, "Cool." And it's got it. Now, we have AI over the top of all of this. And so, the next time you do a template on a scope card, and you explain that, it goes, "Oh. Well, all the last 52 channel letters that have the same tags, we already got all the AI information from all this. This is the material you've always used. This is the labor departments you've already used. You're all done." And it barfs it. And it it does the estimate for you. And then you just stare at it, change what you need to, complete. Wow. I'm going to like that. A lot faster. A lot faster. A lot faster. And we're learning from you guys. So, one of the things I I've always found to be such a problem is I can't make assumptions for your company. You guys have your own machinery, your own personnel, your own culture. So, I have to learn from you. Well, thanks to AI, I can now learn from all of your guys's, you know, costing what you've done in the past. Now, I get it. You guys have taught me, and now I can give the AI the. Okay, this is what it is now. Yeah. So, you guys are. As the. Each month that goes by, it's going to be able to do more and more and more and more. My gut, I'm totally guessing, inside of a year, you don't need an estimator anymore. System will be doing itself based on what you've been building before. Even the crazy custom projects, we're going to have a a type. Pure custom. You know? And it's going to go, "Okay, this is crazy land. We're in full crazy land now. You need a lot more handling in these. You need a lot more paint in these." And it'll see it from all the projects you guys have built. This was something I wanted to do years ago, and we just didn't have the capabilities, the capacity. In this new system, we were able to do this. All right. So, you got ABC Liquor, right? We're going to use them as another example. And they go, "By the way, we just bought five 7-Elevens, and we want to convert them all to ABC Liquor." And you're like, "You know what? I want these five projects to be part of one campaign. And I'm going to send one proposal, switch out all five. I want to cost all five projects as one. I want to send one invoice. And at the end, hey, how do we do on that changeover?" That's all in one campaign now. So, we did it. We did campaigns. Super cool, man. So, anyway, this is the new system, and I I'm talking live. We're so proud. I'm so excited to launch it. We spent so much time on this, and man, I'm in love. Wow. Amazing, man. Let me tell you something. Four years ago, this software revolutionized our industry, our business. It saved us so much money and showed us so many things that we weren't doing properly. We love it. But after seeing all of this right here, oh my god, it's so much better. Knew it'd be worth it coming to see Aaron, for sure. Love it. Love it, man. Great job. And I'm so excited. And when do you think it is coming out officially? Third quarter. Third quarter of this year is going to happen. And I've got to say thank you to you guys because you guys have been instrumental in talking to me and saying good feedback and saying what works good, what doesn't. So, thank you.
