Um, and I think you can see my screen, which is your agenda document.
>> Yep, we got the screen.
>> Any questions or issues with access to all the tools that we spoke about when we kicked off? Is everybody able to get everywhere?
>> I have. Yep. Yep.
>> I have. I would like to add Katrina to whatever parts she's needed.
>> Got it. Okay. We have one other person that we'd like to add maybe as a follower to the cases as well. That probably would help. So,
>> um I I have mixed feelings about follower because I'm I don't experience the follower experience, so I'm not really sure. Um I know that the follower receives the email notifications on a case, but I don't know if they're able to actually get to the case and open it up. And the reason why um they will need to be able to do that is because if you guys ask me questions, I will um oftentimes include links in my response to you explaining and showing you, you know, where things are and sometimes screenshots and sometimes even videos of me doing the things so you guys can see. And so the email notification won't have those resources. So it's up to you guys how you want to manage that. But I I don't really know that much about what followers can and can't do.
>> No, that's fine. That's fine.
>> Okay, Groovy.
>> So, our um in terms of where we're at on our road map, entry points is our topic today. And I know you had a couple of homework assignments from our last call. One was to just review the uh inquiry form that I had linked for you and one was to try and jump into Baracross University and get as far as you could. So, we're going to start out with um taking a look at your inquiry and maybe we can just bang it out together if you have in mind kind of how you want it to to look and then we can start looking at some of the additional forms uh that are inside the portal and get a tester uh inserted so we can start looking at what it looks like from the family perspective.
>> That would be amazing.
>> Love it.
>> Well, please let's be amazing.
>> Okay. So, if we begin on the admission candidate changes homepage and we come to our configuration tile, we call these uh blocks here tiles and we're going to look at the registration season types admission portal. So, that's the link that we're going to go to. And this is basically the configuration record where we're going to largely be spending our time. This is primarily where most of our um configuration is going to take place. And so if we just start looking at this record type, what you see down here in the center is um under the school year, this represents a year applying for. Okay? So, when your new families or your existing families who have another child to insert into your admission process, when they're going to tell you what grade the child is going to go into and what year they want to start at your school, that's what this is going to represent. And so, right now, we're going to build everything into the 2526 registration season or school year. But once we get this built out and pretty close to, you know, reasonably what we want it to be, then one of the last steps we'll do is copy it and we'll make a 26 27 and then we'll make a 2728 and so on down the line. And then you can manage those years as if they were envelopes with all the kids that you know were part of that year together in that envelope. whether they were accepted that year or maybe they were put into into the weight pool that year and then they circled around and came back the following year. Maybe they were declined, disappeared for a while and came back around, you know, a couple years later. They're going to always remain in the candidacy envelope where they uh wherever they have a record. Okay.
>> Awesome.
>> Yeah.
>> So, the first questions that I have for you here, um, and you, we may have talked about this before and I might just not be remembering, but do you guys have multiple campuses where somebody coming into your admission process can say, you know, we want to apply for downtown or uptown or north or south? Do you have that?
>> We have multiple campuses, but we decide where they attend because it's based on age and grade level. So, do you want that option displayed to them or hidden from them?
>> No, let's uh we do have when people request a tour, we do get to differentiate between which campus they're applying for um because sometimes parents who have younger students might want to see where the children are going in the later years. But that's a form. That's
>> Yeah, I think let's leave it displayed for right now. So we can just look at it ourselves as we go through this process and then in the end if you decide let's hide that it's it's as easy as turning off that flag.
>> Um, resident status. Do you have day students and boarding students?
>> We do.
>> You do. And do you have student groups? That would be something like you could apply for a three-day, a 4-day, or a five-day program. Or you could apply for the morning program or the full day program. Do you have something like that?
>> It's lodging or academics.
>> Um, the admission process.
>> So if they're applying for um the answer is no. As far as the academics go. The schedule is a schedule for every student um with the exception of um our academy athletes, but that comes into scheduling. They follow a different schedule. It's all a 10day rotating schedule.
>> Yeah. noticed this would be more for um
>> though we do have the option to do seven days a week, five days a week or we often have students who come in as flexi lodgers and they kind of check in like it's a hotel and stay for a few days or stay for a few weeks. Those students always need to complete the same um liability waiverss. So having an application, we will need to have an application for that.
>> Okay. I think for now I'm going to say in the traditional sense of student group, I don't think any of that is applicable. So I'm going to turn it off for now. If we come, you know, again, as we go through and we're, you know, creating the checklist and it's like and we really need a good way to, you know, group the kids that are applicable here, we can we can think about that.
>> All right. The final flag here, open for inquiries. This is the flag that puts this year onto those web forms. So whenever we ask the question, you know, which year are you applying for? Which year are you interested in, this flag is what populates that year. So right now, the only year we're going to see is 2526, but again, we're going to copy that at the end. And you can turn on and off as you go, right? So, at some point during 2526, you're not going to be accepting inquiries into that school year anymore, right? Because it's over. Um, and then you can enable the next year, like if you manage two years at a time or five years at a time or whatever it is. Okay.
>> All right. So, that establishes that piece of it. Now, we're going to look at this um panel on the left hand side of the record. And what you're going to see um these sort of bold-faced all caps, these are categories. And then under each category, there are different tabs. So if we come up here to the inquiries category and we click on forms, this is where we're going to be able to build the record for your inquiry form. Okay. So I'm just going to go add record. And we have two types of inquiry forms. I can show them both to you, but mo most of our schools use the request more information form type. If we decide that's not what you want to do, we can add another one. And then um do you do you use the the vocabulary inquiry for your new families where they begin or do you put other words around it? Like how do you call that where they start the process?
>> Inquiry is fine.
>> Okay. Sorry, I didn't hear you if you said that. Okay, cool.
>> So, the access name everywhere systemwide, wherever you have an access name, they have to be unique and they don't allow for any special characters other than underscores and dashes. So, um, you know, we can, like I said, we can add more inquiries if we need to, but I'm just going to start you out really generic. Windsor inquiry. and then that access name is going to become part of the URL. So in a lot of um cases where schools need to track where things are coming from, just know that your unique access name is going to be helpful sometimes to point out, you know, where the where the information came from. Okay, so uh sorry, did you ask me a question?
>> No, I was just great. Good. Sorry. Sometimes it gets uh there's a delay and then I'm not sure if I'm talking over you.
>> Okay. So, just the access name and the description and I'm going to click the green button update. And just like that, you have an inquiry form and it's ready for us to customize. So, if I click on this URL,
>> this would be the experience of your applying family. Let me make this a little bit bigger. Um, when you're ready and you put the link to your inquiry form on your website, there is a feature called account lookup, which we hope we can mitigate dupes, right? That's the the goal with account lookup is if they put in an email address that the system recognizes,
>> we don't want them filling out the inquiry, right? We want them to go right to the portal because they're already in the system. If the system icon, the scroll at the very top, will that always look like that or will we be able to put our logo there?
>> Yeah, you guys are going to put your logos there. And then I have in the case um our case that we have open. Let me just make sure that I have it there. Yeah. Yep. Yep. Yep. Okay. Um, when you go to the case and you go to your tab at the bottom that says files and articles, you're going to see some articles that I've attached for you. And one of them is the branding configuration for admission. And that's going to show you how to get all of your branding into all the locations where you're going to need it. So, your logo on your um web forms, the image, right? The the uh background image that goes around the frame, the colors in your portal, all of that is configurable by you.
>> Okay.
>> All right.
>> Sorry about that.
>> Hello. Welcome back.
>> So, the um so that's the goal of account lookup, right? To to help mitigate dupes. So, but if the family puts in an email address that the system does not recognize, then they are allowed to continue to the inquiry. And so, here we are on what will become your customized inquiry. But nevertheless, it's here and it's ready for us to um to start configuring. So, let me show you how that process works. And then this is going to be the same process for all your different um all of the different system forms that live inside of your uh admission process. Okay.
>> So um Eric, for your benefit, let me just go back out. I'm going to go to the admission candidate changes homepage registration season types admission portal. And where we just went was up here on the left to the inquiries category. And we went to the forms tab.
>> Awesome. we inserted an inquiry form. And so I'm going to click on the description, which opens up the um configuration record for your inquiry form. And then we have the form itself uh right here as well. So let me do what I'm not very good at yet on my Mac uh cuz I just got the Mac. I think I might be doing it right though. This is exciting.
>> Good try. You are.
>> Oh my Oh my gosh. Okay, that's exciting for me. Okay, so on the left it Hey, it's the little things, you know.
>> You understand like more than you probably appreciate.
>> Yep.
>> Okay. On the left, the configuration record. On the right, the actual inquiry form. Right. And so just like the demonstration one that I gave you and had you take a look at, we start with the candidate section and then we move into the parent one section and then the options for adding another parent, adding another address and so on. Okay. So if I click on the description for candidate, we're now inside of the section for candidate. So there's a hierarchy here. You have the form itself which in this case is an inquiry form. Then we have the section which is the candidate and then we have elements and some elements contain multiple uh components. But this first element that you're seeing right here, thank you for your interest blah blah blah. That is a paragraph element. And so if we wanted to just change the um words that are inside of there, we can do that just by opening up that element. And then I promise you this is the only place the only place where it's this small. I promise you.
>> Totally totally promise you. And so this is why I always do this one because it's like really
>> that is funny. Seems like an easy fix.
>> I know, right? Hello. I will tell Thaad next time we meet with him. Um, do you just say Windsor School? Do you say Windsor School Bahamas? Do you say the Windsor School? Like how how do you guys refer to yourselves?
>> It's a work in progress.
>> Okay, great. Right now you're Windsor School. You can change it if you need to. You see how Okay.
>> Inquiry form. I would add Bahamas simply because
>> when we did a a school fair in London they thought Windsor school was near. So
>> word that makes complete sense. Okay. And just like that the paragraph element is updated. Okay. So your changes and your updates are immediate. So, I do recommend as you continue this process and you start going through all the different system forms and configuring them, put do this, right? Put it on a split screen or on two screens or whatever. Make your change and then refresh so you can make sure that what you're doing is the way that you want it to look. Okay.
>> awesome.
>> Okay, here is a pro tip. I am currently on the paragraph element within the candidate section. I don't need to go all the way back to the homepage and then to the configuration and then to the section and yada yada. I can use my navigation bar and just use this little carrot guy and go to the next record which is going to take me to the next element which is the header. And that header is right here, candidate information. Okay, the next element is the candidate name. And as you can see, it's made up of a bunch of different components, right? We split out the name uh into all of its parts. So, we do recommend first and last to be required. And you'll see required fields are um boldfaced with the little orange star. But do you feel um like middle name, preferred name, do you want any of these other name parts to be required as well?
>> No. Do you want any of them to be hidden?
>> I don't think so.
>> That all looks good. Yeah.
>> Yeah.
>> Okay, Great. Okay. That brings me to uh the next sort of topic uh to talk about which are called collections. And you might have come across this in the um Veraracross University or in the documentation. You see how the suffix uh is blank, right? it it says select one and it's a drop down but there's nothing there right
>> if we go to the suffix element and open up the configuration of that it's because the collection is not associated yet and there are um a certain number of collections that exist in the system that have to be you you have to insert your collection to get the um values to appear. So, it's pretty easy process. Just here on the collection field, you open up the magnifying glass, which takes you to an advanced search screen. And here, it's a pretty easy choice. It's the suffix. So, you select the collection and you update. And now, if we refresh our form, you're going to see that those values now live in the suffix field.
>> Now, I am not making a judgment about your candidates. However, it's unlikely that they're going to be retired military or, you know, esquuires or what have you. So, this collection doesn't necessarily make sense for where it is right here, right on the candidate suffix um piece.
>> So, I'm going to just duplicate my tab over here and I'm going to go back and just show you the um the navigation. Right. We we are I think we're recording. Yeah. I'm going to just show you the navigation so that you know how to get back and forth to these places. So, admission candidate changes registration season types admission portal. And now where we started up here at the very top, I'm going to show you collections are all the way at the bottom. So, we've just done the two bookends of that record type. Here are all of the collections that exist. And as you can see, there is a suffix collection which currently has 13 values. So I'm going to use this blue box with the arrow which we call pop out, the pop out box. And here's that collection. So I'm going to use my plus sign, which is our organize menu. I am going to copy this collection
>> and just alter the name a little bit to say this is the child version. And
>> so you can use different um characters.
>> Absolutely.
>> Okay.
>> Do you have families that go beyond the fifth generation very often?
>> Not so far. No.
>> Great. That means the very next uh set of applicants are going to be sixth generation. And if that's true, you can add the sixth to your system homepage and then you could come and add it to your collection.
>> We're still working on the fourth, so I think we're okay for
>> Okay, for for the moment, you're good. Okay, so now what I need to do is come back to that name suffix element to where the collection is inserted. And I'm going to open up that magnifying glass again. And now you can see that I have two to choose from. So on the child um name element, I'm going to put the child version of that collection in there. And then when I refresh my um web form, those are the values that I have.
>> Nice.
>> Make sense?
>> Y.
>> So let's just jump down real quick to the parent one section so I can just show you that. Right. There's a suffix there as well. And if we use our grid over here on the configuration that takes us back one layer, right? It just moves us out the hierarchy. Then I could use these breadcrumbs to get all the way back to my form, right? The the height of my hierarchy is the form itself. I could jump down here to the parent one section into the parent name element and into the suffix um element and then attach the adult version of the suffix
>> nice
>> and update that. And then I could use my grid again to just go out one layer. And whereas we hide the title on the candidate section, you you could hide it as well, but if you um if you display it, then you need the title um collection in there. So, let's just refresh our inquiry form so I can just show you those two, right? So, here's the title value, right? Mr., Mrs. Doctor, so and so and so. And you can adjust this collection like you just saw. And then in the suffix field, here's where we have all those um appendages. Okay.
>> wonderful. Now, now let's quick question in terms of let's say we wanted to do a new collection um for that specific form naming convention. Should we like if I were to create that new uh suffix for parents, but I wanted to keep the old one just because it has so many already. Um, what do you think a good naming convention would be to just to help keep things organized?
>> Oh, on the the name of the collection, you mean?
>> Yeah.
>> Oh, yeah. You could just we could we could change that right now to just say let me go back to the collections
>> and back to the suffixes and let's just pop out this one that has the original 13.
>> Yeah,
>> just to avoid your own confusion to pay it forward. We'll put the adult version. And now there's no question about which one you're inserting
>> or change it to original.
>> Yes.
>> Yeah. and then add an adult because I think a lot of like the USA retired would would not
>> Exactly. Yeah. Yeah. And the thing about um adjusting the values in your collections the way that you just saw that I got rid of them literally just red X, right? Just cross it off. However, on the opposite side, in order to add a value to your collection, it has to be in your system first. So, um, let's go take a look at how you can accomplish that and then you'll be and then you can, you know, erase and add, uh, as you need to on your collections. So, let me show you one that is a good demonstration of that. Let me just get back to our configuration of the inquiry form. All gone.
>> May 13th. No, it was December 17th before.
>> Oh, okay.
>> Um, so we just took a look at the candidate name element and it sounds like there's no adjustments that you want to make there. You're good with all these different um fields and whether they're required or whether they're optional, etc. The next one um in the lineup here is the gender value. Gender value is not a collection. it's actually pulling from your system homepage. So, if we go there, let's go to your system homepage.
>> And um this is also a pro tip. I don't know if anyone has shared this with you, but if you do the um command shift uh R uh F, right, or command F, whatever it is, um the find command, right? And you just start typing the thing that you're looking for.
>> Oh, yes. it will highlight it on the homepage which is super helpful. So you could see right you have a link to genders on your system homepage and right now these are the values and so if you needed another one you have the add record button you have to be a cisadmin to manipulate these values on the system homepage. Okay. So, something like that,
>> the previous page where it said plus add gender,
>> you could do it there, too.
>> It's and it would end up in the same place.
>> Yep.
>> Okay.
>> It sure would. The the difference really um is if you go to the query and you use the add record button, you're looking at the query of all the values. And so, you know, you kind of can see like what's the list of existing values that you're adding to. Whereas if you use just the plus ad, it's just going to take you to a blank record. And so like uh I don't know what do I already have, right? So it just depends on which way you want to go. There's a third way which is right from your system homepage. You have this plus add menu which is ginormous. Let me move across here so you can see that. All right. This is a huge list of all the things that you can add in your system. So, it's really really a lot. Okay.
>> And most every homepage has a plus ad and you and it's dynamic. You can only add the things that are a part of that homepage. Okay.
>> um back then to our web form. Any changes here uh to whether or not it's required or any of the values or whether you even want to ask it on your inquiry form?
>> I think we need to um asking it is um helpful um on the inquiry form, but I do think that we need to add um another option, but I'm not sure what we want to name it.
>> What are you thinking? for not to say. Um,
>> I'll let you guys chew on the language. I I can put um, you know, this is obviously a big topic right nowadays and every school has their preference of how they do it. I will tell you that what I see most often is um, it just looks like this nonhyen binary, but that's also somewhat specific. It is. You're right. So, you guys could come delete this or change it or do whatever you need, but I just want to show you how it will. Um, Right. So, it's there. And now, if we refresh our inquiry form, right, it's there automatically because this doesn't pull from a collection, right? It just taking it from your system value.
>> Does that make sense how we just
>> It makes sense. Yeah. We'll just have to decide
>> decide how you want it. Yep. Okay, cool.
>> Back to our inquiry using our next record. The next uh element type is pronoun override. And it's exactly that. It's just an override. Um, every uh gender has default pronouns. This is just if the um person who's filling out the form wants to override those. This is um every question that's here that we're looking at today doesn't have to be asked on the inquiry. It can all be included over in the portal when they, you know, log in and and start making their way through the checklist. So, the first decision point is do we need it on the inquiry? If not, we can hide it and then later um in the portal we can decide if you need it or or don't need it. I think that we should ask everything up front because updates are hard to get and even chasing people for what they should be giving us is cumbersome. So
>> So leave it there.
>> Currently, yeah, I I'm happy to leave it there. Um, just know this is this is like way in the future, but just put a note for your future self. the household profile update, the HPU, which is a form or a document that we have uh in our um database during the enrollment process, both enrollment and reenrollment, you can include the household profile update as a required step where families cannot get to the contract to sign it until they've completed that step. So, just know that there is a trigger that can force people to go and at least lay eyes on it whether they choose to update it or not. You know, like you said, it's it's hard to chase people, but just know that that is a trigger in our system.
>> Yeah, I'm excited for that HPU.
>> Yeah. Yeah, the HPU is is pretty cool.
>> Okay. Um, let's go to the next record, which is date of birth. Uh, how are we feeling about date of birth? uh absolutely necessary and it should be month day year
>> require um that will have to be a core
>> uh change that will be with your technician uh who who are you working with Praep or Moses or Kosuk?
>> Praep
>> right let Praep know that you need the the switch of your um dates and are you on a 24 month that's that's how we need it month to year. Yeah. Okay. Yep. Oh, okay. Cool. I know that there are some schools that flip-flop that.
>> We have, but
>> the lower the lower school would love for it to be flip-flop, but we're we're the decision makers right now.
>> All right. How about the place of birth?
>> We typically do not ask that.
>> I couldn't.
>> Remember, you can all always get in the portal, too.
>> uh race and ethnicity.
>> Oh, yes, please.
>> Both.
>> So, I would leave them right now. Honestly, when we started, um we didn't ask at all because being inclusive, we we didn't base any decisions on race or ethnicity. However, um we are constantly asked for our demographics which include race and ethnicity. Um
>> which one do we want instead though? We could do ethnicity instead of race.
>> I'll I'll tell you how they're designed in our system and then you guys decide. Um, we include them both because so many of our schools have to do what you just said is report stats about their candidate pool. And race is designed for that data point that gets reported. And for many of our schools, it's narrowed down to two values. Um, uh, uh, lat uh, Latino, not I don't know. Anyway, whatever the two standardized values are from NIS. Um, and then ethnicity is more tell us about yourselves and broader, you know, I'm this and that and from here and from there. That's how they're designed in our system. But you have control over both lists on your system homepage. And so you can use them however you like.
>> And we can add values if we need to and take them away.
>> Yes, ma'am.
>> Are those are those collections as well or is that just a simple
>> system values? So that would be like gender found on your system homepage.
>> Yep. So for the moment, do you want to leave them optional while you chew on it or do you want me to make anything required or hide anything
>> for now? Just require it and then we'll change the values of it.
>> I think what we use more than race and ethnicity now is their um citizenship. Mhm.
>> Honestly, we use citizenship more to qualify either one of those.
>> And remember, this is just your inquiry that we're looking at right now. So, all that stuff can all be part of the um admission checklist and you know, required or not required as necessary as we go through the process. So, it's nothing that you're doing right now is carved into concrete.
>> All right. The next one,
>> registration.
>> Okay.
>> Yeah. Uh, the candidates email and mobile phone. The candidate, not mom and dad. The candidate. Do you need those?
>> It certainly would be helpful after they graduate. But
>> we're just talking about majority of our students. They're not going to have that.
>> I don't think they'll have it. Okay. We're just talking inquiry here. Remember, there's no such thing as a student in the admission space. Okay.
>> The school element. This is a tricky one. And as we go deeper, we will probably more than likely come back and change this. But the question is, do you need to know where the um kid, the candidate is going to school right now when they're inquiring or do you can you get that data point once they're in the admission portal working their way through the checklist?
>> It's helpful, but it's not necessary. Okay, I'm going to suggest we hide it for the moment just to shorten up our form here and then I'll be able to show it to you in the portal. Um, I have some schools that say, "No, no, no, no. Our the list of feeder schools where our inquiries are coming from is critical. Like, we need that on the inquiry. It's too late to just get it in the portal." It sounds like you have some flexibility there. So, what I'd like to be able to do is show you how the form works and then you decide where it's best to collect that data because it's a pretty heavy-hitting form and it's a little bit too much for this initial conversation.
>> So, I guess netnet, trust me, is where I'm going there. I mean, so, so the only time where that would be very useful is if it's an inquiry and they come to math club and they're trying to work their way through to hit a point before they register, before they become candidates, right?
>> And so for that point alone, it would be helpful.
>> Got it. So, um, the current I think I think probably we we do include the current school and then two when they're coming from far away like the UK bin always asks what school are coming from.
>> Okay.
>> Okay. So, we may go back and insert it there. Um,
>> it it can be get just the the kind of out loud um thinking that you were doing there, Carol. It it can be that one of the first checklist items that the family encounters is the current school. Um, you know, before they get deep into you know, submitting letters of recommendation and report card copies and all that stuff. Um, we can organize the order in which they are presented with the checklist and those important early details can be that first set of checklist items. Okay.
>> Yeah.
>> Okay, I just inserted collections for our current grade and grade applying for so that we can take a look at those. Um, it is recommended that current grade be optional because they could be that they're not in a grade. Uh, if you when when you have, you know, early years usually, you know, if you're just a high school, then typically you want to require that. But um, it's up to you though. I'm happy to go require that if you want. And then what you're seeing here with these bold um headers, these are your um school levels, right? This is what's in your database as far as school levels.
>> Weird because one is missing
>> little ones on and pre-reception as well.
>> That's what we wanted to go. That was exactly what I was gonna say to you. So, if we go to your system homepage and we look at your um setup, right, for your grade levels, you see exactly what you're seeing, right? You have a header for early years, but currently only reception is there because you guys have two additional um grade levels within your early years program. And so, we need to add those to our collection, right? Because our system starts with the ID25. So, I know that these two were added earlier by Praep or whoever was working with you. So, let's go. Um, let's see. I'm going to duplicate this tab. Let's go grab our collections, right? Admission candidate changes, registration season types, admission portal, and then all the way at the bottom, collections. Now, current grade, right? We're just looking at current grade. um when they're coming into um your what is your reception?
>> Mhm.
>> We want your years to be reflected in grade applying for, right? Because they're coming to your school, but what grade would they normally be in if they were selecting one of these earlier years? Does that question make sense? So, do you mean like uh year one is actually kindergarten in different areas of the world?
>> Yeah. Like what what is the most common um grade that they would be in today if they were wanting to come to your reception? Would they be in like
>> pre-reception?
>> Okay. So, let's get that one in there and little Windsor. They wouldn't be in a current grade called Little Windsor, right?
>> Uh that's preschool or nursery because what what do most schools call 18 months to three years? Because that is the age range for Little Windsor.
>> So let's just call it that.
>> Let's just call it that. Uh whoops. This would be two and four. And then, okay, here's a lesson on sort key. Again, this is just pro tips. And if you guys already know this, it's fine. Don't number them in order. 1 2 3 4 5. Because if you need to do something like we're doing now, where you need to insert values and rearrange things. Give yourself some space to do that without having to reorganize your whole thing. That makes no sense.
>> That's just
>> until until drag and drop is an option.
>> Exactly. And um I even recommend do it like go by fives. I know I mean grade there's not that many that you could insert. So that's why I'm doing it by twos. But later when we get to web forms like questionnaires and recommendations just go 5 10 15 20 so we can re you know reorganize. Okay. So, here's the current grade list, right? I'm going to refresh that over here. Okay. So, they are either none, they're not in current grade, or they're in one of these three. And you just said that typically a little Windsor kiddo is going to be 18 months to
>> Yeah.
>> 18 months to what? Uh see three years is where reception starts. So if they're three years old, so let's say
>> is where pre- reception.
>> Yeah. So let's say what two two and a half years.
>> You could say 18 to 35 months.
>> Yeah.
>> And what about pre-reception?
>> Pre-reception is three years. to
>> uh 48 40 47 months.
>> And who knows if we want to leave these in months or go switch to years or whatever. And then to come into reception, um do they need to be like age five by September one or is there some like cut off date?
>> Be three years old. Um, right.
>> No, four four years old.
>> Before what day?
>> It's before the first day of school, which kind of fluctuates. We say September 1st.
>> Yeah, let's just
>> Okay, so the override description again, it's exactly that. So, let me just show it to you. You guys know you could come change these, right? But the override overrides your default system level description. Okay? So, currently, if they're going to pick a current grade, they're either 18 to 35, 36 to 47, or age 4 by September 1, or they're in primary school, year 1, 2, D. Okay.
>> Yeah. Okay.
>> Current grade. Now, a lot of schools will say, "Yes, that's fine." But the headers can be confusing to people. If their school doesn't follow these same headers, then it's confusing. Let's just have a list of grades. I can remove these headers if that's if that would is something that you want in the grade applying for. I suggest to leave them because that is how your school is set up and you want them to understand how your school levels work. But do you have any um you know any comment on leaving or removing those headers?
>> Let's remove it.
>> Mhm.
>> Yeah, you can remove them for the current grade.
>> Yeah.
>> Yeah.
>> Cool. I will do that. I promise you. Let's just take care of this nonsense right now. This is another one of those um enhancement requests that we wish was done.
>> Melissa,
>> yeah,
>> why don't you just set all this stuff up to start with? Why don't they listen to you?
>> I know, right? Why doesn't my husband listen to me? I mean, come on.
>> We're 35 years in and he's still making life hard for himself by not listening to me.
>> December 7.
>> I would listen to you. Thank you. Thank you, Eric.
>> All right. So, now what you could do, right, because you gave them those ages uh up here on current grade, you could on your grade applying for collection, include your name and the thing, right? So little Windsor dash 18 to 35 month pre-reception 36 to right so that they know what you call it along with the age requirement but that's just something you know that you guys can um think about later. Let me just put in my homework remove header from current grade. Great. And one of your guys homework today is finalize the collections. And that's twofold. I'm going to say and insert them. Um, finalize them means the values like we're doing now, like you know, overriding it or reorganizing it or whatever. Getting rid of the retired USA military, right? All that stuff. finalize the actual collection values and then part two insert them where they go on all these different web forms and I will make sure that you have the documentation in the case for where they all live and where they all go. This would be great if I didn't have the admissions running at the same time. You mean trying to do live your life and do all this?
>> Pardon?
>> Trying to live your life and do all these things?
>> Trying to manage admissions when I actually need assistance with it.
>> Yeah, I get you. I get you. Okay.
>> You're applying for Remember, we talked about that early on. I think Eric, you had jumped out of the room, but we are going to control this list eventually, but for now, we're just going to build it all into 25 26.
>> And since I'm away tomorrow, like I should have time.
>> Okay.
>> Or I could do a lot, but how about by Thursday if I if I'm dying?
>> Yeah.
>> Do a way.
>> Perfect.
>> Okay, cool. Um, before we jump down to the citizenship um section or or element here, by default we just display the current grade, grade applying for and you're applying for, but in your system we have these resident status and um campus values. So I just want to turn it on just so you can see what it looks like. And then like I said, if that's if it's not something that you collect during admission, then we just hide them. So, let me just enable those by making them optional. And let's refresh our form. Okay. So, they're going to present as radio buttons. That's just the default. We can't uh change that. That's hardcoded. But if you want to collect that data point of whether they're interested in boarding or day um or let them select their campus, it doesn't mean that they're tied to that, right? you can change those values on the candidates's record on the back side. Right? So, if I'm a parent and I don't I really don't know what campus and I check upper school and meanwhile my kid is going to be in year one, you're going to need to change that value on the record, right? It's just that I didn't know and I put the wrong thing and it's fine. Um,
>> and it does look like you have a couple of student groups. Talk to me about LW12 and three. What are those? Well, those are those are solely for the little winds are the the 18 months to 35 months
>> and they're deviated by nine months. That would just confuse people.
>> It's not only that they're deviated by months, they change during the year.
>> Yeah.
>> Okay. So, let that is a for sure. Let's not include that.
>> No way. Okay. But these two maybe.
>> No, I think I think you can take out campus applying for because we make that decision. and the parents don't.
>> Perfect.
>> There's actually no decision to be made.
>> Yeah,
>> right. It's
>> Whoops. Oh, shoot. What did I just do, you guys?
>> Okay, just that P just that green button. You're good.
>> You'll get used to the Mac.
>> Oh my gosh. I'm about five weeks in.
>> Oh, yeah. You
>> You're killing it.
>> You've been a Windows person your whole life?
>> Yes.
>> I will say I I converted about four years ago and I haven't I've never looked back.
>> Oh my gosh. I get heart palps, but it's okay. It's It's all good. It's all good. Okay.
>> Um, so student group. Okay. Citizenship. This is just a header, right? And it's here by default. We do not have to include this part. You kind of said earlier when we were talking about race that you guys use the citizenship value a little bit more. So,
>> yeah,
>> this can also be a checklist item. It doesn't have to be on the inquiry. So, it just depends on where in the process you need that data.
>> I think I like that at the beginning. I would presume you would too. Yeah. Right.
>> Sure.
>> So, guess what? The country
>> too cumbersome to be like, "Oh my god, how much do I have to fill out?"
>> Exactly. That's going to be what you think
>> right now. Then let's take a look at what the form looks like when we're done. and then make that decision.
>> Yep. So, so far here you are, right? Here's the top. You've got your candidate name, gender, override, birthday, current grade, grade, applying for, you're applying for, resident status, citizenship. We don't have to include all this stuff right here. We could just grab the country and whether or not it's primary and then get the rest of the passport stuff later.
>> Yep, that sounds good.
>> Okay, let's do that. And then what if Okay, so we don't need to know secondary. We're just asking for primary right now. We can we can include that when they apply.
>> Exactly. So the way that the citizenship form is going to work is that they can make multiple submissions for every one of their citizenships and tell you which one is
primary, or if there are, you know, if if more than one is primary, that's okay too. But the citizenship form is, um, it allows multiple submissions.
>> Right. And then this is a collection. Is that under country that we have?
>> Yep. I just, yep, I just inserted the country's collection again. That is a collection that you can curate. Rate. And I think by default, it has, what is it? 249 values, I think. Yep. 249 countries live in your system. Uh, you have a sort key, just like all the collections. So if you wanted to put, you know, the 20 most common at the top and then, you know, Zimbabwe at the bottom or whatever.
>> Okay.
>> Yeah. We would definitely want to update that.
>> Yep. For sure. That's a lot to scroll through. You. What you could, um, every element has help text available. And so you could, let's just go down here to this, um, citizenship. And on the country field, you could say on your help text, um, begin typing the country and it will pop up to the top.
>> Yeah, terrible typing skills. This is just how it's going to be.
>> What's that Mac keyboard?
>> It doesn't matter the keyboard.
>> Um, so your help text is always going to be underneath the name of the question or element, and it's always going to be in, um, italics like this. And this particular element, the country dropdown, is a quarter page element. So it, it is going to look like that. So, I don't know, you know, just visually that looks kind of whackadoo, so you might not want that help text, but I just wanted to show it to you because you can put help text wherever you think you need it. Help your families know what to do is the motto there.
Okie dokie. Next element is, um, Oops, wait. Get out of here. Get out of the citizenship element. Go back to the candidate section and come up here. Okay, we give you this demo profile code question just to explain it to you. Not every school needs it. What we can do is ask a question on any of our forms that we configure that will attach a profile code to the person. Profile code can be considered like a tag, and it's some designation that you need that's not covered by some other designation, right? It's not, you're not grouping by gender. We have gender. You're not grouping by birth date. We have that field. You're not grouping by their citizenship because we have that field. But it might be something like, does this kid have an IEP or a 504 plan or any other, you know, OTP or speech, um, plan, like anything like that? Or if you group by, you know, what's the kid's favorite color and then you put all your reds together and all your greens together or whatever.
>> Okay. So can you think of a use case for a profile code or a tag right away, or do you just want to tuck that away?
>> I think I, or or, um, IEP is good, but there's so many different names used for it. What is, what is the most common use by schools?
>> Yeah, you're right. There's a ton of names for it. Um, the first thing I would say is that most schools who need to identify that data don't do it on the inquiry. They do it as part of the checklist. Um, and it would be something like, you know, maybe we build a questionnaire that's about support services, right? And the first thing we say is, does the child have any support services? And when they say yes, that's the profile code. It's yes. And then the next question is, which ones? And then you have them all. And they select, you know, all the ones that they have. And each one of those is a profile code. But just think on it. Uh, the, you know, again, here on the inquiry, it's just to show you that it's possible. If you think of some use for it on the inquiry, we can come back and commandeer it and use it for whatever we need it for.
Okay. Financial aid. Does your school offer financial aid? And do you want to include it on the inquiry or in the portal, or not even until they get accepted?
>> We do offer it. Do not want it on the inquiry form.
>> Yep. Very, very common. Okie dokie.
>> I do. And I do honestly feel that support services, does your child utilize support services is good to know on inquiry.
>> Oh, good. Okay. Well, let's go. We've got of our 530 some students, we currently have about a hundred using support services.
>> Yeah, it makes a, it makes a difference in whether or not, like how, like and it stops,
>> you know, like there are certain things that
>> we need to have to even consider enrollment for them. So, um, past co, it just keeps going up.
>> And with more students getting accommodations, the more competitive universities get,
>> the more, you know, people are getting more accommodations, even ones needed, but people can afford them.
Mhm.
>> And, um, you can think about how the words that you might want, but let's take a quick little diversion. Um, we have time for a quick one. I, let me rephrase. I have time for a quick one. It's 12. Do you guys have a hard stop?
>> Nope.
>> I don't. Um, and can we make that mandatory?
>> Yes, ma'am.
>> Thank you. Required.
>> Yep.
>> Okay. So, with a profile code element type, the configuration asks for the profile code ID number, right? And you associate that profile code ID with the answer that you want to attach it. So if they answer no, we're going to put a zero value there because there isn't going to be a profile code that we attach. But we need a value here. So let's go back to our system homepage and let's go have a look at the profile codes that are in the system right now, of which there's a bunch that are here by default. Um, and none of these is what we need. So, what we're actually going to do is we're going to come to the system homepage and I'm going to do the plus add menu and I'm going to get two birds with a single stone here. I'm going to capture which you can't really see. It's coming, coming off the side of the screen, but this is profile code category. So, I'm actually going to add an entire new category of profile codes, admission. And you have the ability to, um, put security on that, right? So no other people who don't have the right admission security roles can't use your profile codes. All right? You don't have to do that, but that's usually what we recommend. And then I'm going to add the actual value, um, utilizes support services. I'm just going to add that. I'm going to do a cache refresh so that that value that I just added goes into all the places where it needs to go. And I'm going to come back to the system homepage and just prove that it's there. So I'm going to come back to the profile codes link where we started. And now you're going to see you have an admission category and we have a profile code called utilizes support services and the ID for that is 19. So, we're going to come to our web form element and put 19 here.
>> Pretty fancy.
>> Pretty cool, huh?
>> Nice. Yep.
>> Pretty, pretty cool. Okay. Groovy. So, that's now a
>> nonvax. What
>> question was, would we use that for like non-vaccinated? H
>> because it's down the line, but but there have been over the years questions about our hit status.
>> Yep.
>> And, um, to be able to pull it up really quickly would be phenomenal.
>> Yeah. I mean, profile codes are super powerful and super easy and, yeah, easy peasy. Okay. So, let me assign you your homework. We just pounded out the candidate section. I think it's looking pretty good. It doesn't look too huge. If I just, um, zoom out a little bit. That's the, that's the candidate section. Your name, your citizenship, do you have support services? Right. I don't think that's
>> too much. Your homework is
>> go through the next set of sections. Right. Parent one. I think we put the title and the suffix in there already, but you're going to need a relationship collection, right? So, this person is candidate one's what, right? Mother, father, guardian, parent, grandparent, stepparent. The question about create an account, we're going to talk more about that next time. There's documentation on this. What we can do if you choose Carol is we could hide this question from the form and set it on the back end to say yes, and then the creation of the user account for parent one would be automatic, and they would get their welcome email immediately. So that's called a preset, and we can talk about that later, but just know that you can just leave that there for right now. Address information. Country is a collection, right? This assumes our inquiry form assumes that the address entered here is also the candidate's address. If the person who's filling out the inquiry wants to add a second parent,
>> that section comes in, you're going to need to put your collections in there as well. And then we ask, do they live at the same address? And if they say no, oop, no, then they can put in that second address and all the candidates will be listed there in that household as non-residents, but they will all maintain their reciprocated relationships with one another.
>> Okay. So past it, like say we do, because this is a lot more information than we ask currently. If we decide to pivot and include all of this in the inquiry, um, it will then carry over. If they don't carry, if they don't, what does it say? Create. If they create an account, can they still come? Would they have to fill a registration, the application form out from the blank, or would it pull this information in?
>> Right. I see your question. So the, the, um, question about creating the account, if, if we don't create, if, if you ask them, right, if, if you display the question and you ask them, they get to choose, right? If they say yes, create the account, the account will be created automatically, uh, and you'll be good to go. If they say no, then there won't be an account created, and then you'll have to create the account, um, which is easy and fast. It really is up to you in terms of workflow. Um, I do have schools where it's very important that there's a touch point before they go to the admission portal, and so they don't want the account created and the welcome email sent. They want to just receive the inquiry, make that touch point, go through their intake, uh, screening, and then say, "Okay, I'm about to create a user account for you, and you're going to get a welcome email here in just a second, and then you can create your password and head over to the admission portal." It's completely up to you.
>> I prefer that. I don't, I don't think we would want a bunch of accounts created when it's just inquiry.
>> Okay. The creation of the account doesn't cloud your system or, um, make anything possible that you don't want to have possible. So don't, don't be too concerned about, oh, people have accounts unless you're directly sending them information to say, like, you know, here's your welcome email, create your password. They don't even know that they have an account. So don't let that be the decider. Let it be whether you want to be in the business of having to generate those accounts and send those welcomes, or, you know, or not. It, it ju, it's just a question of automation.
So, those accounts get created before they apply?
>> It's like an admissions.
>> Yep. They're going to come to the admission portal.
Let me show you. Um,
>> it's a welcome letter to the admissions portal.
>> Yeah. It's a welcome email. Yep. And it could say whatever you want. By default, it invites them to the admission portal, but you could put other language, uh, you know, if, if, if you wanted to. Um, but it's going to bring them to your school's version of this, uh, where they would be instructed about your admission process, right? And it, it goes beyond your public website, right? If, if the public website is just the facade and it's where you show curb appeal, the admission portal is your living room where you say, "Come on in. Have a seat. Let me show you around. I'll be right there." Like, they're invited here. Okay.
>> All right. Okay. Cool. Let's, um, drop back to our agenda here real quick. So, um, finalize your collections, the values that are in them, and insert them where they go on the forms. And that I just attached that article, uh, to that instructs you. I'll get rid of the header from current grade. Um, try to finalize your inquiry. I'm going to, um, italicize new registrant. We didn't get to it today, which is perfectly okay. You don't need to worry about that. And we did not work on the change request, which is perfectly also okay. If you have candidates in your pool, like they're in some stage of having inquired but not yet, uh, come through the process, you can use the admission candidate import type to start getting them into Axiom. You can start taking a look at the checklist worksheet, which I have linked now into the, um, important resources. And I'll just show this to you. Um, it's just an Excel sheet. It is not fancy. It has two tabs, an example tab, and then a worksheet where you guys can, you know, make this, make this be your own. So if you want to start looking at it, great. If it's too much and you don't have time, that's fine. We're going to get to that next time, but I just want to show you that that's there. Okay.
>> Um, how did I manage to make that be full screen and not be able to see now the other tabs? I do not know. How do I get up there? Oh, there we go. Oh my gosh. Amazing. Amazing. Okay. Um, make a list of the events that you offer and upload that to the case. I think you, you might have done that for me already. I know you uploaded a bunch of stuff. I didn't look too closely at it, but what I mean by that is, you know, do you do open houses a couple times a year? Do you have school tours that you offer every day of the week at 9 and 12 and 3? Uh, do the little Windsor kids need to come for a shadow day? Do the upper school kids come for an interview? Like, what are the appointments that are part of your admission process? That's what I mean by that. Where do you want that? Where do you want that uploaded to the case with copy and pasties?
>> Yep. Yep. Yep. If, if you have it. So, I would say the first three bullet points are really the keys to this homework, and the rest would just be icing on the cake.
>> Awesome.
>> And then go ahead and get another appointment scheduled. Unless maybe we already do. I don't remember.
>> I don't think so.
>> No, not yet.
>> And ping me with any questions in the case. You're awesome.
>> Yeah. Thank you so much.
>> Thank you guys very much. Have a great day.
>> Melissa, real quick question.
>> Sure.
>> Um, I would love Chaz's email if you by chance have it. It.
