This is an explanation for those who have been selected for the Japan Student Services Organization Scholarship. Please have the documents distributed by your university ready before proceeding.
First, I will outline the flow of this video. For those selected for the Grant-Type Scholarship, including those selected through the application for support for low-income households from fiscal year 2025, I will explain the details and administrative matters for approximately 10 minutes. After that, I will explain the details and administrative matters for those selected for the Loan-Type Scholarship for approximately 30 minutes.
For those who are only receiving the Grant-Type Scholarship, you may end your viewing of this video after the explanation and administrative matters for those selected for the Grant-Type Scholarship are completed.
Now, let's begin the explanation for recipients of the Grant-Type Scholarship.
First, we will check the documents. Please take the documents out of the envelope.
1. Documents regarding procedures for Grant-Type Scholarship recipients.
2. Student Scholarship. Please check if your name is written here.
These have been mailed to you, so please check them. If you do not have the documents or they are not yours, please contact your university.
Next, I will explain about Scholarship-Net Personal. Scholarship-Net Personal is an internet system provided by the Japan Student Services Organization that allows you to view scholarship-related information and perform various procedures such as submitting notifications. It will be necessary when submitting your enrollment report in the future, so please be sure to register this month.
Next, I will explain the procedures after being selected for the Grant-Type Scholarship. There are mainly three procedures that Grant-Type Scholarship recipients must undergo annually. Those selected for support for low-income households from fiscal year 2025 also need to follow the same procedures.
The first is the enrollment report, where you periodically report your enrollment status and attendance status. You report this through Scholarship-Net Personal via the internet. For those with advance selection, there will be no enrollment report in April of the year of selection, but it is conducted every April. Please be aware that if you do not submit an enrollment report, the payment of your Grant-Type Scholarship will be suspended. Please prepare to register for Scholarship-Net Personal and be able to log in. We will notify you via Universal Passport when the enrollment reporting period arrives.
The second is the family income re-examination, where your support category is reviewed based on your family income. As a result of this review, your monthly payment amount may change from October. The family income re-examination is conducted by the Japan Student Services Organization using your My Number and other information that you have submitted. Your eligibility for support for low-income households will also be reviewed at the same time.
The third is the academic performance re-examination. Your university will check your academic performance, such as your grades, and report the results to the Japan Student Services Organization. Based on this report, the Japan Student Services Organization will take necessary measures such as continuing, suspending, or terminating the Grant-Type Scholarship. Depending on the results of the re-examination, the payment of your Grant-Type Scholarship may be suspended or terminated. Please be aware that in some situations, you may be required to repay the Grant-Type Scholarship that has already been paid.
Now, I will explain the academic performance criteria for the termination of the Grant-Type Scholarship.
1. If it is determined that you will not be able to graduate within the standard period of study.
2. If the number of credits acquired is 60% or less of the standard.
3. If your attendance rate in classes is 60% or less, and the university judges that your academic motivation is significantly low.
4. If you continuously meet the academic performance criteria in the warning category.
If any of these conditions are met, and you do not have unavoidable reasons such as disaster, illness, or other sickness, your Grant-Type Scholarship and tuition reduction benefits will be canceled. Please be aware that depending on the reason for termination, you may be required to repay the scholarship.
Next, I will explain the academic performance criteria for the suspension of the Grant-Type Scholarship. This applies if you continuously meet the academic performance criteria in the warning category, but only if the second warning is based solely on the GPA being 1/4 or lower.
Next, I will explain the academic performance criteria for a warning for the Grant-Type Scholarship.
1. If the number of credits acquired is 70% or less of the standard.
2. If your GPA is 1/4 or lower.
3. If your attendance rate in classes is 80% or less, and the university judges that your academic motivation is low.
If you receive two consecutive warnings that are not within the warning and suspension criteria, it will result in termination, and your Grant-Type Scholarship and tuition reduction benefits will be canceled. Please be aware of this.
Next, I will explain about changes in status. If you take a leave of absence, double major, or withdraw from the university, you must submit the prescribed documents in advance. If there is a change in your status, please report it to the Student Affairs Scholarship Office. Please be aware that failure to complete the procedures in any of these cases will result in disadvantages.
Now, I will inform you about the contact information. Please check the screen. This is the dedicated scholarship phone number. We may also contact you from here, so please be sure to register it on your mobile phone.
This concludes the explanation for recipients of the Grant-Type Scholarship. Those who are only recipients of the Grant-Type Scholarship may end their viewing of this video.
Now, let's begin the explanation for recipients of the Japan Student Services Organization Loan-Type Scholarship.
First, we will check the documents.
1. Documents regarding procedures for Loan-Type Scholarship recipients.
2. Scholarship Application Form.
3. Loan-Type Scholarship Handbook Digest. For the Loan-Type Scholarship Handbook Digest, there is information regarding scholarship continuation procedures on the middle of page 3. For details, please check the full version of the Loan-Type Scholarship Handbook from the QR code on page 1.
4. Loan Agreement.
5. Notification of Correction of Loan Agreement Contents.
These have been mailed to you, so please check them. If you have been selected for both Type 1 and Type 2 Loan-Type Scholarships, you will have two copies of the Scholarship Application Form and two copies of the Loan Agreement. Please note that the scholarship numbers are different for each, so please be careful.
Next, we will check the documents that are required only for eligible individuals. For those who have chosen the institutional guarantor system, we have mailed the Guarantor Request Form. For those who have chosen the personal guarantor system and are appointing a guarantor who does not meet the selection criteria, we have mailed the Guarantor Application Form, so please check it.
Next, I will explain the Loan Agreement. The Loan Agreement is a contract between you and the Japan Student Services Organization to confirm the borrowing of the Loan-Type Scholarship.
1. The type of scholarship you will receive is indicated, so please check it.
2. The documents that need to be submitted along with the Loan Agreement are listed, so please check them.
If you do not submit the Loan Agreement and required documents by the deadline, your selection for the Loan-Type Scholarship will be canceled, and you will be required to refund the entire amount that has been disbursed. Please understand the content I am about to explain thoroughly, fill in all necessary information without omission, and submit all required documents by the deadline.
Next, I will explain the precautions for filling out the Loan Agreement. Please fill it out with a black or blue ballpoint pen. Erasable ballpoint pens such as Frixion are not permitted. Identical handwriting is not permitted, so it is not allowed to have someone else fill it out. The use of correction tape, erasing, or overwriting is not permitted and will result in disqualification, so please be careful.
Next, I will explain the correct way to apply your seal on the Loan Agreement. Please press firmly with the seal. Seals from company stamps or official seals are not permitted. For the joint guarantor and guarantor, please apply your seal in the same way as your resident registration certificate. Please apply your seal within the designated area. Overlapping seals are not permitted. Please be careful not to overlap the impressions. Also, if the seal impression is faint, overlapped, smudged, or smeared, it will be considered invalid and will need to be redone. Please be very careful. We receive a very large number of re-submissions due to seal deficiencies each year. Please be sure to practice by pressing on a separate piece of paper once before carefully applying the seal to the Loan Agreement.
Next, I will explain how to correct or change the Loan Agreement. The Loan Agreement is an important document for borrowing money, so please handle it with great care. When signing or applying your seal, please be sure to practice writing on a separate piece of paper before filling it out, and practice applying your seal before applying it. If you make a mistake in the fields for the joint guarantor or guarantor, draw a double line through the incorrect part, apply your seal of the same type as your resident registration certificate over the double line, and write the correct information in the blank space within the field. If you make a mistake in fields other than those for the joint guarantor and guarantor, draw a double line through the incorrect part and write the correct information in the blank space within the field. In this case, a correction is not necessary. Please note that if a correction or change is necessary, you will need to fill out and submit an additional Notification of Correction of Loan Agreement Contents. I will explain this in more detail on the next page.
Next, I will explain how to fill out the Notification of Correction of Loan Agreement Contents. As explained earlier, if a correction or change is necessary for the content of the Loan Agreement, you must fill out the Notification of Correction of Loan Agreement Contents and submit it together with the Loan Agreement. The student must fill this out, so please complete all necessary information. For the relevant person's field, please complete all necessary information only for the items of the person for whom there is a correction. If there is no correction or change to the content of the Loan Agreement, there is no need to submit the Notification of Correction of Loan Agreement Contents.
Next, I will explain the precautions when preparing the Loan Agreement. The left half of the Loan Agreement contains the information of the student. First, please check the student's field to ensure there are no errors. Please check if the printed address is duplicated. After confirming the content and if there are no errors, please sign with your resident registration seal.
Next, please select the repayment condition. Please mark either lump-sum repayment or installment repayment with a checkmark. Many people miss filling out this part. Please be sure to select one and mark it with a checkmark. Also, the repayment conditions cannot be changed after submitting the Loan Agreement, so please choose carefully.
Next, I will explain the documents to be submitted for those who have chosen the personal guarantor system.
1. Loan Agreement.
2. Resident Registration Certificate of the Joint Guarantor. This must be issued within three months before or after the date indicated on the Loan Agreement. Please be careful as copies of this document are not permitted.
3. Proof of income for the Joint Guarantor. For example, for company employees, a withholding tax slip; for self-employed individuals, a copy of your tax return; or a copy of the latest income and tax certificate issued by your local government. You will need to submit one of these.
4. Guarantor's Resident Registration Certificate. Similar to the joint guarantor, this must be issued within three months before or after the date indicated on the Loan Agreement. Please be careful as copies of this document are not permitted.
You will need to submit these four documents. If you have been selected for both Type 1 and Type 2 Loan-Type Scholarships, you will need two copies of each document.
Next, please look at the joint guarantor's section on the right half of the Loan Agreement for the personal guarantor system. Please confirm that the name, address, and date of birth match the information on the resident registration certificate. The designated joint guarantor should sign and apply their seal in the same way as their resident registration certificate. Please look at the guarantor's section. Please confirm that the name, address, and date of birth match the information on the resident registration certificate. The designated guarantor should sign and apply their seal in the same way as their resident registration certificate. Please look at the attached documents section at the bottom right of the Loan Agreement. If it states "Student's Resident Certificate" here, you will need to submit the student's resident certificate. If it does not state this, you do not need to submit the resident certificate. After filling it out, please be sure to confirm the signatures and seals of each person.
Next, I will explain for those who have chosen the personal guarantor system and are appointing a relative within the fourth degree of kinship or someone aged 65 or older as a guarantor. If you appoint a relative not within the fourth degree of kinship or someone aged 65 or older as a guarantor, you will need to submit the Loan Agreement and proof of assets. For proof of assets, please request it from your employer for a withholding tax slip, the tax office for a copy of your tax return, a financial institution for a certificate of deposit balance, or your local government office for a fixed asset valuation certificate. Copies are acceptable for each.
When judging by annual income, for salaried workers, the annual income must be 3.2 million yen or more. The supporting document will be the withholding tax slip. This applies to company employees and public servants. For those who are not salaried workers, the annual income must be 2.2 million yen or more. The supporting document will be a copy of your tax return with a received stamp. This applies to self-employed individuals and full-time farmers.
When judging by savings, real estate valuation, etc., the total amount for the joint guarantor must be equal to or greater than the total planned scholarship amount, and for the guarantor, it must be equal to or greater than half of the total planned scholarship amount. For example, if the total planned scholarship amount is 3 million yen, then savings or real estate valuation of 3 million yen or more for the joint guarantor, and 1.5 million yen or more for the guarantor, would meet the conditions. The supporting documents will be a certificate of deposit balance for savings and a fixed asset valuation certificate for real estate.
When judging by a combination of 1 and 2, add the amount from 2 divided by 16 to the amount in 1. The calculated amount must be 3.2 million yen or more for salaried workers, and 2.2 million yen or more for those who are not salaried workers. Regarding the Loan Agreement, pension income will be treated as salary income. Another point to note is that for those who have income other than salary, the judgment standard will be an annual income of 2.2 million yen. This applies to individuals who are working for a company and also farming, such as self-employed farmers.
Next, I will explain the documents to be submitted for those who have chosen the institutional guarantor system.
1. Loan Agreement.
2. Guarantor Request Form.
You will need to submit these two documents.
Next, please look at the contact person other than the student section on the right half of the Loan Agreement for the institutional guarantor system. Please confirm that the name and contact information entered are correct. The person entered should sign. Please look at the attached documents section at the bottom right of the Loan Agreement. If it states "Student's Resident Certificate" here, you will need to submit the student's resident certificate, so please confirm. If it does not state this, you do not need to submit the resident certificate.
Next, I will explain how to fill out the Guarantor Request Form for those who have chosen the institutional guarantor system. For those who have chosen the institutional guarantor system, we have enclosed the Guarantor Request Form. If you have been selected for both Type 1 and Type 2 Loan-Type Scholarships, you have been enclosed two copies of this form, so please submit both copies.
Please look at the red-circled area on the screen. There is a date entry field. Please enter the date indicated on the Loan Agreement. Many people make mistakes in this section, so please be very careful when filling it out.
Next, please look at the personal entry section in the blue-circled area. The student should fill in the necessary information. For the student number, please enter the number indicated on the Loan Agreement. Please note that Type 1 Loan-Type Scholarships start with the number 6, and Type 2 Loan-Type Scholarships start with the number 8.
Next, I will explain about Scholarship-Net Personal. Scholarship-Net Personal is an internet system provided by the Japan Student Services Organization that allows you to view scholarship-related information and perform various procedures such as submitting notifications. It will be necessary when submitting your scholarship continuation request in the future, so please be sure to register in advance. For those who have been selected for both Type 1 and Type 2 Loan-Type Scholarships, registration with either one scholarship number is sufficient.
Next, I will explain about changes in status. If you wish to change your major, discontinue your scholarship, or if there is a change in your name or address, you must submit the prescribed documents in advance. If there is a change in your status, please report it to the Student Affairs Scholarship Office. Please be aware that failure to complete the procedures in any of these cases will result in disadvantages when repaying the scholarship, so please be careful.
Finally, I will inform you about the submission deadline and location, and contact information. For the submission deadline and location for the Loan Agreement and other documents, as well as the dedicated scholarship phone number, please refer to the "Procedures for Loan-Type Scholarship Recipients" that was distributed. We may also contact you from here, so please be sure to register the dedicated scholarship phone number on your mobile phone.
This concludes the selection explanation. If you have any questions or concerns, please contact the dedicated scholarship phone number. Thank you all for your hard work.
