In this video, I'm going to show you how to get started with Claude Co-work. I'll walk you through how to set up the entire thing. Then, I'll show you how to create a task that reads a client document, and it pulls every detail that matters from the document and drops it right into your case management system. And this is going to allow you to avoid typing, copying, pasting, and all that type of stuff. But this is an exact example of the kind of busy work that eats up your team's day and how you can eliminate it in seconds, and they never have to do it again.
Now, even if this exact task doesn't apply to your law firm, I want you to stick with me because what I'm really going to teach you is how to start thinking about building the basic tasks of your law firm that eat up your team's day and how you can automate them, right? And here's why Claude Co-work matters. ChatGBT, Gemini, and even Claude Chat, they're basically glorified search engines. You ask a question and they answer it. But Claude Co-work is different. It actually does the work for your law firm. This is called a Gentic AI, and that means that it can take tasks that you do over and over and over again, the ones that eat up hours or even hundreds of hours a year of your team's time, and it does them for you flawlessly without screwing things up. And it just makes your life and your team's life a lot easier.
This next part is very important, and I want you to hear me on this. People ask me all the time, is AI going to kill the legal industry? And the truth is, I don't think that AI is going to kill the legal industry. But I can tell you with 100% certainty, I would bet everything I have on this: the law firms that use AI will absolutely kill the ones that don't. Now, I know this sounds dramatic, but for your firm, this is a matter of life or death.
Take a look at this chart right here. This breaks down the entire world into 1,000 people. If the world had only 1,000 people, 840 of them have never even used AI. 139 of them will have only ever used the free version of Chat GPT. Now, I want you to pay attention to this one right here. Only four people out of 1,000 will have used any other paid AI tool such as Claude Co-work, right? So, what that means is that 99.6 people have never touched a tool like Claude Co-work. And this is your advantage because it means that most law firms have never touched this tool before. So, you have the opportunity to have first mover advantage right now. And I'm begging you to take this seriously because I promise you, the law firms that use AI to supercharge themselves will absolutely put the ones that don't out of business.
Before we set anything up, I want to talk to you about the elephant in the room real quick, and that is privacy and security. Now, here's what you need to do. You need to make sure that when you're using Claude, you're using the enterprise level because that comes with privacy built in. You actually get a contract that you sign with Anthropic that says that they're not going to train on your data, and it comes with more security features on top of that. So, if you're on the enterprise level, you should be fine. Now, always do your own research, but from everything that I've seen and every lawyer that I've talked to, the enterprise level as of the recording of this video of Anthropic is absolutely fine, and every lawyer that I talked to trusts their data with it. So, now let's get into how to set this thing up.
Okay, so now this is what Claude Co-work looks like, and this is the desktop version. Claude is only available on the desktop of your computer. So what you'll see, and you know, unfortunately they change the interface basically every two weeks, so it might look different when you're looking at it, but essentially you're going to have three options. You're going to have chat, you're going to have co-work, and you're going to have code. Now, chat is basically like the chat that you've known for two years. It's basically where you can chat back and forth. But co-work is actually where you can have the artificial intelligence doing work for you. This is called a Gentic AI, right? So what's different about this is that you can actually give Claude Co-work access to your computer and allow it to interact with your files, create files, and do all kinds of cool stuff like that.
Now, before we get started, what we need to do is we need to set it up so that it knows who we are. And this is a little bit of leg work. It probably will take you about 15-20 minutes to do this, but when you set this up, it will prevent you from having to give context every single time. What you can do is you can basically have Claude interview you and learn everything about you, everything about your law firm, everything that it needs to know, and then store that information so that in the future whenever you use the AI, it will automatically have all that context. It knows all your preferences. It knows your brand voice. It knows all the rules that you want to follow. It knows every little single thing about you. So, what I'm going to do right now is I'm going to show you how do you actually set this up on your computer? How do you structure your files and the folders, and then how do you create an about me file that will allow Claude to always know every single thing about you? And you don't want to skip this because you do this one time and you never have to do it again, and it makes your life so much easier. So, let me show you how to set this up.
Okay. So, how I have this set up is basically in four folders, right? So, this is inside of a folder on my desktop called "computer" because I already have this set up on my computer, but I'm just going to show you exactly how I have this, how you can set this up. So, what you want to do is you want to create four folders. There's going to be the about me folder, there's going to be the inputs folder, the outputs folder, and then the templates folder. And all of these folders can live inside of a folder called Claude Co-work. And what you can do is basically we'll just put these folders here. Just drop this in here. And we'll drop this right here. Now, as you can see on here, I actually have this folder on my computer. And it's a little bit more complicated because I've made some changes over the past months while I've been working with this. But this is where I started is just with one folder called Claude Co-work that was on my computer and it had these four folders inside of it.
Now, what are these folders? Well, the first one is the about me folder. Now, this is the folder that is going to house your about me file as well as any other information about you. So, what you want to do is you want to look at this kind of as like the repository of everything about you. So, if you look at my about me folder, you can see I have personal information. I have SMB team, which SMB team is my marketing agency and consulting business for law firms. Hemiller is actually a supplement company that I own. And then I've got my about me file. I've got an identity file. I've got a my company file. I've got a short form voice file. And these are all files that I'm going to show you how to build these files. So, don't worry about what these files actually are right now. The thing I want you to pay attention to is just the fact that I have all this information that is about me in the about me folder, right? So that makes a lot of sense.
Now, the next thing that you're going to have is you're going to have an inputs folder. Now, an inputs folder is basically where you will put documents and files and things like that that you want to use in a particular project, right? So you can call this inputs, you can call this projects. Actually, I named this projects for myself, but you can call it inputs. But the reason I wanted to call it inputs is because you also have an outputs folder. And outputs folder is basically where Claude will drop the files and outputs and different things like that when it's creating files for you. If it's creating PowerPoint decks, if it's creating, you know, documents, if it's creating PDFs, anything like that, it'll go into the outputs folder. And then templates. This is where you can put things like, let's say you have contract templates that you want it to reference, or, you know, anything that you wanted to reference you can put in the templates folder, and then it will always be there for you.
So the first thing that we want to do is we want to create the about me file inside of the about me folder. So, if you look at my folder, about me, you can see right here, this is my about me file, and it's a markdown file. And what this does is this creates a file that basically tells Claude everything about me. It tells Claude everything about my business. It tells it about my personal life. It tells it everything like all my preferences. It basically tells Claude everything that it needs to know before working on any project. So, what we're going to do is I'm going to show you how to build the about me file using Claude. So, you don't have to like guess on how to do this. What's going to happen is Claude is going to interview you and create your about me file for you. So, let's get into it.
Okay, so this is a prompt that you can copy and paste directly into Claude Co-work. And what it will do is it will interview you and ask you questions about your law firm so that you can build this about me file. Now, all you have to do is go to the description of this video, and you can download this exact prompt, and then you just copy and paste it into Claude Co-work. So, let me show you exactly how this works. So, we're going to do command A and copy the entire thing. And then we're going to bring up Claude Co-work.
Okay, so now basically we have Claude Co-work right here. We're going to paste this in. And then one other thing before we get started. What we want to do is you want to first of all make sure that you're using the latest model. So right now we're using Opus 4.8. They just released Fable 5 and then pulled it back, but Opus 4.8 is really good. While you're watching this video, there might be a new model. These things are changing constantly. So, you know, just use the latest model, and it should be fine. Now, I want you to see right here. Do you see how I have a folder that says Claude Co-work? Well, basically what that folder is, is this is telling Claude to work inside of my Claude Co-work folder. So, you can see that this is the default. And the way that you set this is on any of these folders in here, if you've already used it, you can click this star, and that will set it as your default folder. Now, I'm going to use my demo folder that I'm using, that I created for the purposes of this video. So, all you have to do is click, you click here. You click this, click choose a different folder, and then I have this saved on my desktop inside of computer and then this folder right here, right? So, what I'm going to do, and actually what I'm going to do real quick is I'm going to change the name of this folder to Claude Co-work demo. And the reason I'm doing this is because I don't want it to confuse my regular Claude Co-work folder that I actually use. So yours would be called Claude Co-work, but I'm for the purpose of this video going to name it Claude Co-work demo. You can name this whatever you want. It doesn't really matter, right? The purpose, the point is just that you have the folder. So choose a different folder. I'm going to go to my desktop, and I'm going to select my folder and do that. Now it's going to say allow to make changes to the folder. Always allow. Now, I've got all this in here. I've got my folder set, and all I have to do is click the arrow button, and it will start the interview process.
Okay. So, what it's going to be doing is it's going to read this entire prompt, and it's going to ask me some questions here as it goes to build my law firm. One thing that I highly, highly recommend is that you use a tool called Whisperflow when you're interacting with AI and artificial intelligence. Whisper Flow is an amazing tool, and it allows you to talk to your computer rather than having to type. And the reason this is important is because you can talk way faster than you can type. You can give way more context than you can type. And when Claude is interviewing you, asking you questions about your law firm, then you can just talk to the computer, and it will give it way more context, and it's a lot easier for you. So you can see it's asking some questions now. Let's start with the basics. What areas of law does your law firm practice? So you can do personal injury, family law, right? So, and but let's say you also do immigration, right? Immigration is not on here. And let's say you do criminal defense as well. Well, what we can do is we can click down here where it says "something else." And this is where Whisper Flow comes in. Amazing. So, I could type criminal defense or immigration. Or what I could do is I could say do this. I could say, "Our firm mostly does personal injury and family law, but we do about 10% immigration, and every once in a while we'll take an estate planning case, and we're starting to get into criminal defense, but we haven't started it yet." So you can see if I save that, it puts it right in there, and it makes it so that you can give a lot more context rather than just, you know, checking these boxes. So let's go ahead and hit that. And then it's going to continue interviewing and asking more questions and asking more questions. So let's see. Got a PI, families of court, 10% immigration. All right. So what states, jurisdictions do you work in? What courts do you appear in? And you can, you know, you can say all this other stuff again, like I'm just giving you some examples. You can say, "I'm licensed in Florida, Tennessee, and also in Maryland, but we have an attorney on staff that is also licensed in California and Texas." And you just keep going through and letting it build out all of these answers for you. Now, I'm going to go ahead and fill out the rest of this because you don't need to see me filling out the rest of my about me file, but we're going to go ahead and we'll fast forward and we'll skip to the next section.
All right, so I went through and I completed the interview. Took about 10-15 minutes. And now I have an about me file. Now, you can see this is a MD file, which stands for a markdown file. And that is the type of file that Claude really likes, right? So, what we're going to do is we're going to click "show in folder" right here. Now, what this is doing, you can already see we're in the about me folder, and we have the about me file right here. So, if we go back to where I was on my desktop and then computer, this is our demo Claude demo about me. Now, we have an about me markdown file in my folder here. So now what we need to do is we need to make sure that whenever we use Claude Co-work, it references this file. So how do we do that? Well, there's a couple ways. First of all, let's go back to new task. And if you remember what I said is you can set a default folder, right? So right now this is my default folder, my Claude Co-work. So I'm going to remove that. But let's say that Claude Co-work demo is going to be my default folder. Well, now I can click that star. And now every time I start a new task, it's going to start inside of the Claude Co-work demo folder, right? The folder that I actually wanted to use. But there's one other piece of instructions that we have to give it. So what we're going to do is we're going to come into the settings. So you're going to come down to the bottom left here, click on this, and then you're going to click settings. And then you want to go to co-work. So what you're going to do is you're going to click edit. And this will be blank, but I will give you a prompt that you can put right here. And this will tell you, as you can see, it says, "I usually start my co-work session by pointing you to my co-work folder. Before any and every single task, you must read every file in about me." So, what this is doing is basically saying that before any task, it needs to go in and read your about me file. So, I'll give you a prompt that you can also download by clicking the link in the description of this video, and you can get this prompt. So, then all you have to do is put it in there, click save, and then you can close out of this. And now Claude Co-work is perfectly set up so that every single time you run a task, it will reference that about me file first, and then you don't have to give it context about your firm over and over and over again. It already has the instructions.
Okay. So now one more thing that we need to set up is connectors in Claude Co-work. And connectors are secure one-click tools that allow Claude to directly talk to external apps and services that you use every single day. So, for example, if you use Microsoft 360, or if you use Gmail, or Google Calendar, or Fathom for call recordings and different things like that, you can connect all those things into Claude Co-work, and Co-work can use those tools on your behalf. So, I'm going to show you how to set up a connector for Otter. Now, Otter is AI voice recording, and I use it all the time. So, what you're going to do is you're going to come over to here where it says "customize," and then you're going to click "connectors." Now, you can see we have a lot of connectors already in here. You know, Bright Local, Canva, Fathom, Gmail, Google Calendar, Google Drive, Higsfield, there's a lot of different ones in here, and there's so many more that are not connected. So, what you're going to do is you're going to come up here and click "browse connectors," and then you're going to search for a connector. Now, as you can see, there are just so many connectors in here. So, you know, start thinking about all the software that you use, and you can start using it. So, you can start adding connectors. So, I'm going to use Otter, right? So, Otter, Otter.ai. So, you can see I already have it connected, but if it wasn't connected, all you have to do is click this plus, and it adds it right away. So, then what we're going to do is we're going to click on this. Actually, let's click "remove from your team." So, remove it from your team. Okay. So, you're going to come in here. You're going to click the plus sign, and I'm going to add Otter. So, what I want to do is I want to do search for Otter. So, here's Otter.ai. Click that plus. And now Otter is added to, now Otter is connected. So, you can see it right down there. And then all I have to do, it says you're not connected to Otter AI yet. Click connect. And then what it's going to do, you can see right here, it actually opened it in a new window. So, all I have to do is hit "authorize access" because I'm logged in. And now we're connected. So, it brought me right back, and now I'm connected into Otter. It's that simple. You can do that with like all these different tools. So, I would suggest that you go in here, click "add a connector," "browse connectors," and just start looking at the connectors that are in here. As you can see, there's Microsoft 360, there's Notion, there's Slack, there's Gmail, Adobe, Google Drive. I mean, there's so many in here. HubSpot, Zoom. I mean, you can play around with these and see there's a lot, there's a lot for lawyers as well.
All right, so now I want to show you how to actually use Claude Co-work in the real world. So, I had a client that asked me to basically automate a task for him in his firm. Essentially, what happens is they get 75 to 100 citations every single month. So, they have an employee that actually has to extract the information from the citation and then enter it into their CRM system, their case management system. And it's kind of tedious because each one takes about 15 minutes, and it's a whole pain in the butt. So, I showed him very easily how he can automate this entire task, and I want to show you how you can do it as well. So, what I'm going to do is I'm going to show you how to tell Claude to extract data from a citation and input it into a CRM. Now, I don't have access to a CRM. So, what I did is I created a Google form, and we're going to use that as our CRM, and I'm going to show you how it will actually input the information into the Google form. Now, the last thing we need to do before we get started is we need to install the Claude for Chrome extension. So, this is going to allow Claude to actually use your Google Chrome browser like it's a real person. It's pretty crazy.
So, here's what you're going to do. So, you're going to go to Google, and you're going to search "Claude for Chrome extension." And then it's right here. And then right here, I already have it installed, but all you do is click "add to Chrome," and it will go ahead and install it. And then you will have this icon right here. And then Claude can now use your browser to do tasks.
Okay. So now what we're going to do is we're going to do a little bit of work first. So this is our folder, and we have our projects, which remember, our projects are our inputs. So what I'm going to do is I'm going to input, I'm going to put a sample citation in here. And what I'm going to do is I'm going to use the citation where Tyreek Hill, who was a wide receiver for the Miami Dolphins, he got arrested before a game last year. It was a whole thing. But the citation was made public. So I'm going to use his citation because it's already public information. So in the projects folder, what I'm going to do is I'm going to come in here. I'm going to do a new folder, and I'm going to call this "citation extraction." So we have citation extraction. That's going to be the project. Now inside of here, we're going to have, so we're going to have "new," and then we will create a new folder that says "processed." Okay. So I have the process, I have new citations and processed citations. Obviously, new citations are going to be ones that have not yet been processed. And then processed will be the processed citation. Okay. So, I have the citation right here on my desktop, and then I have the citation process and then the new one. So, what we're going to do is we're just going to drag it into here. And now, if you look at this, we have a new citation. We'll call this Tyreek Hill. Okay. So, now we have this set up.
So, now what we're going to do is we're also going to do a little bit of work. And I'm going to open up my browser here. And you can see I have my sample law firm CRM right here, right? So, this is obviously not the correct one, you know, because you'll substitute with, you know, whether you use Cleo or Filevine or whatever it is, but I want to show you just kind of how you can use it. So, I've got my CRM open, and I've got Co-work, if I can get it open here. Where's Co-work? Okay. So, what we're going to do is now we're going to give instructions, and we're going to tell Claude where to find the file. We're going to tell it what information to extract. We're going to tell it where to input the information. And then we're going to tell it to move the file from new to processed. And you can do this whenever you have new citations come in. So what we'll do is we'll do it so that whenever you get new citations, you could dump 25 different new citations in this folder if you wanted to, and Claude will process them individually. So let me show you how you do this. And you just do this in plain language.
All right. So, what I need you to do is I need you to help me with processing some traffic citations. So, if you look in my folder that you have access to, the Claude Co-work demo folder, inside of there, you're going to see a folder called projects. Now, inside of the projects, there's a folder called citation extraction. This is the name of the project. The name of the project is citation extraction. So, what I want you to do is I want you to go into the citation extraction. And inside of there, you're going to see two folders. One is new, and one is processed. The folder that says new contains unprocessed citations that have not been processed yet. Once a citation has been processed, I want you to move the file from the new folder to the processed folder. Now, inside of the new folder is a citation, or it could be multiple citations. I want you to look and see how many citations are in there. And then for every citation that is in there, what I want you to do is I want you to extract all of the data from that citation. Then I want you to input it into the sample law firm CRM, which I will give you the URL for in this chat. So basically, what I want you to do is extract the data, and then I want you to submit the data to our sample law firm CRM, which is actually a Google file, but or a Google form, but, and then I want you to, once it's finished, I want you to submit the form, and then I want you to move the file from the new folder into the processed folder. And before you get started, tell me what you're going to do and let me know if you have any questions. You can see I just jumbled my way through that entire prompt, right? But basically what this is going to do is this is going to give you everything. Now, like I said, what you would do in this scenario is you wouldn't say my Google form. You would say input it into, you know, Cleo or MyCase or Filevine or whatever you use, right? So, what I'm going to do is I'm going to give it the responder link, which this one right here. Oops. This is the responder link. And this is basically where it goes to submit. So, I'll just type, "Here's the link to submit the form." Okay. And now we're going to do this. And now let's see what it actually does.
All right. So, now you can see I've read your firm context, found one citation, new folder, Tyreek Hill. Now it's going to ask you for permissions. So now it's going to say, "Allow Claude to use the browser on docs.google.com," which is what I told it to do. So going to say yes. And now as you can see inside of here, now look what it's doing. It's actually pulling this up. And you can see right here the little icon there. It's actually going to input the information in here, and it's going to submit it.
Okay, so take a look at this. So now it says what I extracted has all the information here, and it is all accurate. I can tell I extracted it all from the citation. And then it says, "My plan is to fill out the Google form with the above information. Two things are blocking a clean submission per your form's rule. I won't fabricate them." Like we said, we don't want to fabricate. So the date of birth and the street address and phone are redacted. And that's fine because this is a public citation, right? So, we'll say, let's just say, "Enter a placeholder just for this example," right? But, obviously in real life, this isn't going to happen because you're not going to have a redacted citation, right? Court name is required. See instructions. We'll just say that, "After I fill out, do you want me to, do you want to review or do you want me to click submit?" So I want to do, "Show me first, fill and submit once." Okay. So, we're just going to have it submit this whole thing.
All right. So, if you take a look, it's actually inputting the information right now. All right. You can see right here, it says, "All fields are filled. Let me verify case type and submit." Now, remember, I didn't tell it what to do here. It's reading the page, and it's matching the information from the citation to the information that is actually requested on the form. And if you want to give it more instructions, you can. If you want to say, "Here, this is what you input here. This is what you should put here." You just do all that, and you use Whisper Flow to tell it in real language just like you're telling an employee. It says, "Done. One citation process. I extracted the data, submitted to the sample law firm CRM, and then moved it from new to process." So now let's take a look here. So now if we go to here, it looks like it's submitted. Let's go back here. We have one response now. Yep. Tyreek Hill got all this information here. Date of the offense, September 2024. And you can see date of birth, it was redacted. That's why it's using, that's why it says January 1900, right? Because that was redacted. But, yeah, all this information looks good. Now the other thing is if we go into our folder, you can see it's no longer in new. Now we go into processed, and it's in here, right? So, this is really cool because you could do this for multiple citations.
Now, here's what's really cool, right? So, you could say, "Great work on this. Please turn this into a skill so I can use it over and over again." So if you do that, basically what happens, let me delete that here. So a skill is basically you can essentially run that command that I gave it in the beginning. And what it's going to do is it's going to clean it up so that it's not the, you know, jumbled mess that I gave it. But basically, if you have this process that you want to do over and over and over again, you create a skill, and then what it's going to do is it's actually going to make it so that all you have to do is basically hit one key, hit the forward slash. Let me show you this. Hit the forward slash, and you can see these are all skills, right? So, for example, SMB, this is a skill, and it'll, if you hover over it, it usually tells you what it actually is. SMB brand context, voice, business, all that stuff. So, basically, a skill is a saved set of instructions that you don't have to keep re-entering over and over and over again. You basically just do that, and it loads the instructions so the AI knows exactly what to do. And then what's going to happen is you, it's going to ask you these questions. So, should the CRM URL be baked in? Obviously, mine's going to be different because, you know, I'm using the sample form, right? So, I'm just doing these here just really quickly just so we can get through this demo real quick. But now what's cool is that we can go through this, and it's going to be thinking. So now you can see it's writing the skill file, and the skill file is going to be a MD, a markdown file as well. So technically your about me file is also a skill file.
Okay. So now you can see on the right here, it actually popped up a way more coherent version of what I, what I put together. This is what it rewrote as, right? So, and you can see it's citation extraction, right? And we hit "save skill." So now it's saved. So now check this out. You go to new task, and then all you have to do is hit forward slash citation. And look, it's already there. You hit that, and then all you have to do is hit the start button, and it will automatically look in that folder for any new citations and go through the entire process for you. So this is how easy it is to use Claude Co-work. And when you start thinking about like what are the tasks that you can use this for over and over again in your law firm, it really makes a big difference.
