First, use indirect and polite phrasing. Instead of asking bluntly, "What's your main concern?" you could say, "Would you mind sharing what you're most focused on regarding this request?" This invites them to share without feeling pressured.
Next, offer the option to delegate routine questions. Many high netw worth clients prefer their assistance to handle standard inquiries. Say something like, "I have a few questions that might be better suited to your PA. Would you prefer I go over with them instead?" This shows that you're considerate of their time.
You can also bundle questions into a single offer. Instead of bombarding them with one question after another, present them as a set. "I have 10 quick questions that will help me process your requests efficiently. Would you like to go through them together or should I liaise with your PA?" This gives them control over the process.
When questioning directly, blend questions into a natural conversation rather than a checklist. Weave your inquiries into a dialogue. For example, "Would you be open to sharing any specific timelines you have in mind for resolving this issue?" This makes it feel much more like a conversation.
And lastly, show empathy when requesting details from your questions with understanding. Handling like, "I know this is a lot to manage, and I appreciate any details you can provide to help us address your concerns quickly."
