Veracross - Admissions Implementation - 07/25/25

And let me go into the chat here and grab this because I did have it up. Yep. Yesterday, but obviously yesterday isn't today.

Today's a new day as they say every day. So in terms of a project check, um, because we are talking about testing and launch, technically your implementation has been delivered, um, and so we begin the transition to support. So I will mark the project complete on the on the um Salesforce side of things, and what that does is it begins the clock so that uh our support team has the heads up that your school is coming over and, uh, it's usually about a 30-day uh transition time period. So roughly, you know, right before say Labor Day weekend or something like that. Uh, wait. Labor Day weekend is, uh, early September.

Hang on. Uh, Eric wants to join us. Let me shoot him the link. Maybe. I think I can get him, too. Let me see. He should have it. He's He actually is the one that scheduled it, so he should be on here. No, actually, I I I scheduled this one all on my very own. Well, look at you. Yeah, I know. I can do things. I never thought that you couldn't. I just can't do all things. We can't all be good at everything. You know what I'm saying? I do. I do. And I don't even pretend anymore. Honestly, All it does is give me more work to do.

All right. He should be able to come in. So, I'll keep an eye on the door. Okay. Um, so but in any event, that transition to support's going to begin, and then, um, at any time, you can continue to submit new cases for questions that you have, and if the, um, support team feels like it's something that I should be covering, they'll redirect it to me. So, okay. So you don't have to try to keep track of, oh, when do I stop, you know, asking Melissa or whatever. Just you just submit cases and they'll send it to me if necessary. You're just kind of you're there, even you're omnipresent. I'm just here all the time, working, never not working.

Okay. In terms of documentation and Veraracross University, uh, what you were saying a moment ago of, you know, if you locked yourself in a room for a week, you know, what could you be doing and what could be your resources? Documentation and Veraracross University are the answer. And so if you whenever you're logged into Axiom, uh, which is your school's database, and you use the circle in the upper right-hand corner with the question mark in it, that is going to toggle you over to community. And community has thousands, literally thousands of documentation articles that will help you answer whatever question you might have. And so let's just say, for example, that you were working on, um, I don't know, you were working on your inquiry form. Let's just say. Now, I'm not in community right now because I'm not logged in, but I'm just going to type in as if I were here. Uh, sorry, as if I were here on this search bar in community. Right. Going to use my backend here. If I typed admission implementation colon and then let's say I was curious about, I don't know, parent information, right? Type in parent. And then hit enter in your search bar, and you're going to get a document on the parent form type and everything you need to know about that parent form type, what it looks like, how it's configured, the kind of data that it collects, any considerations that you might have. And so literally every single component of the admission process, we have written a document on it. Yeah. So it's not, I'm not suggesting that you need to go through every document. What I'm telling you is that if you have the time to work on a particular thing and then you have questions about that thing, there's an article specific to that thing so that you can get through, like if you say, "Okay, I have 30 minutes and this is the form that I want to work on." Bring up the document and then go work on that form for 30 minutes. Yeah. Does that make sense? Yeah. It's eating the elephant one bite at a time. Exactly. Delicious. Delicious. But you guys have like actual documentation on how to eat the elephant, which is fabulous. Yes. Yes. With a sharp knife and a fork. A little salt and pepper. Chris, how are you? Hello, ladies. Are you We're talking about eating elephants. Are you sure that you want to come to this meeting? I love elephants. Eric has more than one elephant to eat. I am sure. I know that's true. I know that's true.

Okay. Um, in terms of Veraracross University, uh, in that, um, agenda document, your instructional learning path is there, and that is where it is broken out phase by phase by phase. Um, it's a lot, right? There's a lot of videos. There's attached articles. Um, but we can't skip, we can't shorten it, and we can't skip it because they're all building blocks and subsequent steps rely on the configuration of the prior step. And so, it's like math. It's like algebra. It's it's 100% like that. I can't skip two years of and then jump into. Yep. And every day that you get in there, the the thing to to, um, kind of give yourself a little bit of grace is, you don't have to be perfect this first year. It is going to be bumpy, and it is going to be rough. And if you get really good at responding to your families by saying, "Oh yeah, great point. I'll get right back to you as soon as I can." And then you go submit a case and say, "Okay, here's my real-life situation. How do I handle it?" That is what our TST team is there for. It's it's actually their job description. TST is Technical Support Team. Uh, and so that is what they are there to do is to help you when it's real life happening. My job is to get it installed for you, and then I leave you for your real life. I'm I'm never a part of the real life, uh, scenario. So, um, just give yourself, you know, some time and say, like, every day that I get in here and click on something new, I've just learned something, and and you know, give yourself credit for that. Yeah.

All right. In terms of launching, uh, there remember that there are three entry points into Axiom, and so I guess by extrapolation, there's three, uh, potential launch points as well, right? So you have new families that are people that are unknown to you up until now. They're going to come into the database through an inquiry form. And so your launch to those folks is going to be putting the link to your inquiry form on your website. That's that. Then you've launched to your new family. Okay. So, let's take a look at, um, let me just link the preset right here on the agenda document. So, let's just take a little navigation, uh, to get there. Uh, Axiom rocket ship in the upper left, admission candidate changes homepage. On the configuration tile under registration season types, admission portal link in the upper left corner, inquiry forms. Just here yesterday. I love it. I know this place. Yay. Uh, whichever inquiry you're going to be using, probably request more information, I would guess, but whatever. We have a preset tab on this form configuration. Whoops. And it looks like that is not the one that we set up. So, hold on to our buckets here. Oh, we didn't set one up in either case. All right, let's talk this through. Okay. An inquiry can be preset to generate the account for parent number one automatically and automatically send them a welcome email so that as soon as they submit the inquiry form, they can get that email, create their password, and go right over to the admission portal and start their process. Or if we opt not to do that, then you're in the business of creating accounts if they ever say, "No, don't create the account." Uh, and then they and then they say, "Oh, yeah, do create the account." So, most of our schools will have that automated unless there's a really good reason why you don't want people just moving through the process. Oh, let's just automate it. Let's make it easier for ourselves for now. I know we talked about it before and I kind of wanted to keep it more bespoke, but no. Okay, cool. So, what we're gonna do is we're gonna take that element type, which is the create account element type for parent one, and we're gonna just set it to hidden with a preset value. Mhm. And then on the form configuration itself, over on this presets tab, we're gonna add a, um, just access name becomes part of the, um, URL. Doesn't, it's not really a critical component. Most people don't look at the URL. Um, but what we've done is we've taken a carbon copy of your inquiry form and we've set a preset version of it. And now if I go into edit this preset and scroll down, you're gonna see that hidden field that we just, Yeah. Which was the question of whether or not to create that account. And we're gonna say preset this to yes. And save that. All right. And so now the link that you're gonna use to launch your inquiry on your website is this one, the preset public form URL, because that contains that little hidden token to generate that account for parent one. So that's the interest under like, if you're interested in Windsor, click this link that takes them right to Veraracross. Yep. Right into here. Okay. Takes them right here to your inquiry form. Okay. Now, parent number two is a horse of a different color because it could be that they don't wish to add a second parent, right? Yeah. Could be the case. And so, what we can't do is preset this question for parent two because then the form thinks that there always is a parent two because, Yeah, that makes sense. So, we just need to leave that one be. Okay. And if you feel like, you know, parent one's gonna be sad or jealous, you could put something in your help text up here on the email to say, "Entering an email address is going to generate a user account and a welcome email for you." So, as soon as you submit the inquiry, go check your email, or some other words that, you know, give parent one some idea of what's about to happen next. All right. So, anyway, that is your launch for your new families. So I'm just gonna say in here, new families equals inquiry and then use the preset, uh, which I've linked right here down below. Okay, perfect. Existing families, right? We don't want existing families using the inquiry because they already exist and if they inquiry, they're going to duplicate themselves. Okay. Online. Your launch to your current families really depends on where you're at in the process with your other modules. If if you have a parent portal that is already launched and ready to go, then all of your parents can already get to the admission portal. If you haven't launched any portals yet and admission is going to be the first one, then that's great. You could launch admission, but either way, your existing families need user accounts at some point. Maybe they already have them. Eric, you can probably speak to that. Um, but you're gonna launch your portal directly, not the inquiry, to your existing families. And one way that you can, uh, get that link is if you come, uh, again, back to admission candidate changes and over here on the portals tile, this admission portal link. If you just click view as if you're viewing the portal, this is your link right here. That's the generic link. And whoever has a user account is going to come to a login page there. Um, and then they'll be able to log in using their their credentials. Okay. And that's generated for parent one when they do the inquiry. The user account. Yes. Yeah. Okay. All right. Now, when I said a moment ago that if you already have your parent portal or if your parents already have their user accounts or what have you, they're already allowed into the admission portal. That's because our admission portal allows all of the security roles. And so if this said parent portal at the top, for example, right? I'm a parent at your school today and I log into my parent portal. I can use this change portal, um, tab right here, which is our Veraracross logo, and I will see a tile for all the portals of which I'm a member, and I can just toggle between them. So I don't have to go anywhere to log out or log in or do anything. I can move around from portal to portal based on my security. Okay. Lastly, are going to be your candidate pool that you may or may not have imported, right? You have that self-service import tool called admission candidate import type, and it may be that you've brought in, um, maybe a history of former applicants, right? The last three years of applicants who never materialized or whatever, and you brought them into Axiom, and perhaps you want to send an email out to all of them saying, "Hey, if you're interested in us again, we have a new portal, and here it is." Right? So, I don't know how you may want to launch to your current candidate pool, but you certainly can do that either through email or composer or really any sort of tool that you want, once they're inside of Axiom. All right. Any questions on that? No. No. Okay, cool.

All right. Jumping down to, um, reviewing welcome emails, other templates, right? The the default configuration of your messaging that's in your admission portal. Um, if we come back to our admission candidate changes homepage, once again, and this time we go to our shared workspace, which is right up at the top of the homepage here. There's a couple of saved queries that we've been building out just throughout our journey together. Um, and two of them are related to your your templates. So, one are your email templates, and one are your text templates. So, if we just go take a look at the email one, we have these, um, this account lookup email, which is going to be sent to somebody if they click on your inquiry, but then they put in an email address that the system already recognizes. The, um, system's going to say, "Hold up, we know you. Don't do the inquiry, right? Go to your email." And in that email, there's a link to log into the portal. So that's what that account lookup is. And you have, um, it looks like you've already worked on this, but it's been a minute, right? It was end of June when you took a look at that. So, if you just click on the preview, you're going to see that that's what they'll get, and it's their login and then the chance to reset their password if they happen to have forgotten, uh, what that was. Okay. Um, your welcome parent of applicant. This is the email that's going to go when someone submits the inquiry. Okay. The the security role that gets assigned to the parent is parent of applicant, and this is the welcome email that goes. So if we take a look at that one, um, it still has this, uh, default 800-555-5555, which I don't think is your phone number, so make sure you get in there. Yeah. Um, and then, you know, any anything else that you might want to say in here, but, uh, but that is what they will receive. So you want to make sure that that's your first moment of post inquiry. So, you know, capitalize on that. Make make that a good message. All right. And then lastly, um, this last category here of these email templates, these are the different notifications that are possible when you have a recommendation form as part of your checklist. And you can, um, configure these, you know, customize, uh, however you want. The only one that's actually required, and let me, let me just put that in capital letters here. This is the actual one that's required. Uh, it is what sends that recommendation form to the person that is going to recommend the candidate, right? It has that link, uh, to to bring that recommendation form over to that person so that they can fill it out and submit it straight back to you. Okay. So those are your email templates. And then just going back to the saved or shared workspace, you have some text templates as well. And if we run that query, um, the templates there, and let me just get rid of these, uh, two that are no longer anything. These are from an old platform. Um, you have your account lookup text templates. Those are the first three screens that someone encounters when they click on the inquiry form. And then you have your, um, decisions, which the family can get to from the portal once you publish those decisions. So if we look at our test kid, I have kid one here in the admission portal, and kid one was accepted. So they have a published, uh, admission decision, and your text template is what shows up here for them. And this is just all of our default text. So definitely want to get in here and update your, uh, templates whenever you're ready to do that. All right. So those are your templates. And let me say, um, use the shared workspace for those queries.

Okay. Reviewing what is a web form walk? I don't know. It's just a coined phrase that Jamal attached to this years ago. Um, and it really just means test, and then test, and then when you feel like, all right, I got this, run another test. Um, and it is the school's responsibility to test because you want to experience your admission process the way that you want your families to experience it. And I don't know what that is. So, it's on your, um, plate to test and make sure that it's operating the way that you want it to. If you have questions or if you get stuck, I'm still here to help you. Um, but it is up to you guys to do these tests, and there's a guide right here, which is lengthy and thorough. So, use the guide. Let's talk about what that means to do a web form walk. Okay, if I am testing and I am impersonating a family, a test family, a web form walk means I'm going to come through here and click everything, every single thing, and make sure that it's doing exactly what I want it to do. Okay. So, just as an example, if I'm clicking and I go, all right, let me go to parents and addresses and see what happens. Okay, I'm on the households tab. I'm collecting info about the household, employers, educations, citizenships, languages, relatives, and friends. Are those the things I want? Great. Then I'm going to come down here and read this. Does this make sense? Will my families understand? Great. Then I'm going to come through and go, oh, I could update the address. Are these the fields that I want to be displayed on this form allowed for update? Do I want to hide address two and three? Do I want to make the zip code optional? Right? Whatever the configuration is on this form, make sure that it's behaving the way that you want it to, and and make the submission, right? Like if you click here, try to make the submission, and it's going to go, oh, whoops. Postcode and country. Okay. Bump. And oops. Look, we can't submit this form because we don't have the country collection inserted onto this form. So, we need to go do that, right? And this is what testing means. It's like, oh, oops. And then go back and find that. So, I'll give you a freebie here. Let's navigate, uh, to this address form and let's get country in here. So, we're gonna go back to our admission candidate changes homepage. We're gonna come to our registration season types, admission portal. And that whole group of forms are parent and address, right? It corresponds to that button that we clicked on up here at the top. So, parent and address forms, and the, um, particular form that I'm looking at at the moment is the address form. This is the section on that form, and in that section there are elements, and this is the address element, which is made up of a bunch of other elements, and I'm going to go country. And in here is the collection of countries. And if you say, "Melissa, I do not remember all these collections. I do not know where they go. There's no possible way I could memorize that." You are absolutely correct. And And I don't want you to memorize those. But what you can do is go to go to community, type in admission implementation colon, and then type collections, and you're going to get an article, uh, which is actually already attached to your case. But you're going to get an article that has a nifty grid, uh, somewhere here of all the places where collections are, the form type, the section, the element, and the field that you need. All right? So, you don't have to memorize it. And and the link to each one of those records is already in this article. So, if you pull up the article and then click on the link, it's immediately taking you to where you need to be. Okay. All right. So, use the tools. All right. Uh, did I click save on that? I think I did. So now let's go back to our impersonation session here and let's just refresh this form. And indeed, uh, we have our country, uh, selection here now available to us. Okay. So I can now submit that address form, which is great. Same deal. You're going to click add a parent, click add a sibling, add a candidate, update the parent, update the kid, update a household, and so on and so on and so on for every single one of these forms to make sure that it's doing, uh, what you want it to do. Got it. Cool. Um, admission portal membership strategy. I talked about, um, before when I said, uh, your current parents, uh, your current staff, faculty, alums, anybody that you already have in the system, they're allowed into the admission portal and they can use that portal toggle to get back and forth. And we can validate who's allowed by going to our admission candidate changes homepage. And back over here on the portal config record, right here on the front page, the membership to to your portal is via security role. And if we look at the configuration of those security roles right here, it's this first parameter. It's basically everybody. It looks like your database doesn't have alum right now. So if you do want to include alums in your admission portal, you can just submit a case and say, "Can somebody add the alum security role to our admission portal?" and engineering can do that for you. Not every school brings in alums. So I don't know whether you need them in there or not, but your parents are here, and all your staff and faculty are here already. All right. Um, coming back to the general tab. So, your membership strategy is correct, and your portal status is default enabled, and that is correct. Let's just say there's a use case where maybe you have a particular family who is like way overdue on their invoicing or something, and you say, "You can't bring a new kid to our school until you catch up." Yeah. You could come to the enabled members tab and find that parent and just disable their ability to get to the admission portal. It doesn't affect your overall admission portal. It's just saying to that particular family, you are not allowed until such time as whatever, right? So, you do have all the members listed out individually and then by status. So, if I go ahead and disable Mom Test, right, just update her status to disabled, she's gone from the enabled tab. But if I just pop down here to the disabled tab, there she is. And I can reinstate her, uh, whenever I want. Got it. Then she's back again. Test. There she is. Okay. Um, your component screen on the edit button. This is where you're configuring your admission portal. Um, we give you this, um, component called upcoming admission events. We give you that one by default, but I don't know if you want to actually list out your admission events or not. If you don't, you can just come delete that header. If you do, then we can come up here to the add button. Uh oh, yep. And I need to get you, I knew I knew I had something to do for you guys. Um, let me get your event, uh, components enabled for you so that if you do want to list out like your open houses or your tours or something, uh, that you'll be able to add them here. That that one's on me. So, I apologize. I knew there was something I was forgetting. Could not remember. All right. Um, but, uh, either way, it is, um, it is here, you know, and you and you guys have been working on that, you know, with changing the colors and changing the text. You just you just have a couple things that still have where it says optional text. So, if you want to leave the button, that's great. Just get rid of the optional text. Uh, you could say like, you could say "My Household Update Form." Whoop, back. And then just get rid of all the other garbage that's there by default. Right. And then as you're, uh, working on things, you get this little orange thing with the pencil, and then the pencil eventually becomes a little check mark. And once you have a check mark, then you can publish. Okay. And then if we come back to our impersonation and just refresh, there's the button, but just without all that crazy text. Yeah. Um, and it and it works, right? It it's configured to work. So, if I do click here on the "My Household Update Form" button, it does take me to the households tab where I can, in fact, update my household. So, it's correct. It just needs text that, you know, makes sense. Yeah.

All right. All right. So, that's what we mean by do a web form walk, um, validating your membership strategy, and then, um, let's do, um, querying, uh, again for for, you know, kind of sending out those launch instructions. Let's just go to, um, what's the best way to do this? Let's just do find candidates, maybe is one way. There's a dozen different ways, but let's do find candidates. Um, it will always default to the active admission year. So you could uncheck that parameter and then just subtotal. So then you have a list of all of your active admission years. Um, and maybe you want to bring in, uh, I don't know, maybe former applicants, maybe or cold prospects. I don't know, right? I I don't know who you might want to send a message to, but you build your query to to send out to send whoever you're going to send to. Run that query, and, um, you have 87, uh, candidates in the 25-26, uh, school year, and that's the only one. That's all you have so far. So let's say that you just want to send a message to, I don't know, the this group of people for no good reason, but just that group of people. You're going to come to your lightning bolt, and you can do send a message, uh, send an email, rather. You always need the person ID. So, make sure that whatever query you're starting from, it contains the person ID. That's how Composer knows who to who to send it to and how to match it up. We have channels you can create. You have full control over your channels. That's on the communication side, but we do give you a couple of admission ones like marketing and current candidates, and then enrollment, you know, all all kinds of stuff. So, you could pick a channel. It's basically like putting it in a file folder. You can use default results and or query results in your message. So every result can become a merge field, is what that means, right? Your your message can contain custom information using the merge fields, uh, from the query result. So, if we do that and we launch composer, you can always begin either fresh or from a template that you've built out, or from an email that you've sent in the past, or from a draft that you started a couple days ago and then got completely distracted, pulled off task, and now you can pick it back up again. Right? So, and this is all part of the enablement component in the learning path, teaching you how to use composer for the purpose of admission. I mean, composer is huge, but just for the little things that you'll probably need in admission. So, if we let's just start from scratch and let's just give you a a test, um, draft, right? And let's continue on. You can choose from a whole bunch of themes that are already in here, or you can pick your own theme. Down at the bottom here, you can see these available merge fields. There's tons of just default fields plus query results, uh, that you can bring in like, you know, the year that you're applying for, the campus, you know, that you're applying for, whatever. Um, bring in your components. You can do, um, images, words, uh, pictures, all all kinds of fun things. And then you carry on to the next step. And we began our query from find candidates, right? We said, "Show me all of the the kids." But maybe your email should target the parents of those kids. So, Composer lets you just toggle directly. Uh, you started from kids, you can toggle over to parents, and now the parent is your recipient. Okay. So, it's a really cool and really powerful, um, tool for you to use. You can, you know, Quick question. Yeah, go ahead. Yep. Uh, when you see people, so like there's two students right in that, no, in that same view that you just had the recipients. Yep. Uh, you see how there's, uh, Juno and Arty Arvold, right? Would those parents get multiple emails? Nope. Even though they're there's two different students. Yep. The system knows that it will just send that one email. Yep. Wow. Nice. Yep. Uh, so you don't have to manually exclude that one. It would just, You don't have to. Nope. Nice. Okay. Yep. And then you can, um, test your emails, right? To make sure like if you included links or something, uh, in your message, send yourself a text, a test, make sure the links work, so on. And then the next cool part about, um, Composer, as opposed to just using your own Outlook or or what have you, is that you can, um, set it up to go at a particular, on a particular schedule. And everything that you send through Composer is going to be, um, tracked on the communication homepage so that you can see, um, within all of your different channels. I think I just, uh, I don't know, I didn't send it, but it's somewhere down here in the admission, uh, channel. I don't know where that went. I don't know. Somewhere right there. Uh, there's a current admission candidate channel that has a, uh, draft sitting in there right now. Right. And so all of your stats will be maintained on the communication homepage. So if you click that current admission candidates, it would go back to the message or, Uh, you can, Yeah, you can go to the email drafts and get right to that, uh, message. Yes. Okay. Yep. Yep. Yep. Yep. Okay. So, that is kind of a quick example of using a query to send your, um, launch instructions or any kind of messaging really, um, just using a query. And then the last thing I want to, um, make sure that we talk about is copy. I can't type and talk at the same time. Registration season. Okay. After you are completing your testing, or as you are completing your testing, right? One of the things that you'll want to make sure that you're doing is going through the checklist and submitting every single checklist item and making sure that it's working like you want it to. And include some instructional help text for your families so that they know what to do, right? I mean, photo is pretty straightforward, but candidate demographic. Okay, I don't know what that means and I don't know what I'm supposed to do here. So, something like, "Click the view and edit form button to provide additional detail about the candidate," or something like that. And you're only going to decide what words to use when you yourself click it, see what it is, and then think, okay, how do I want to message this out to my parents to be able to do it? And you have a lot of read-only, um, fields in here. So, this form I think needs to be updated pretty, um, significantly. So, let's just navigate back there again real quick. Admission candidate changes, registration season type, admission portal. Um, what was I just looking at? The new admission candidate that is under candidate changes forms, new admission candidate, candidate, and we have all these fields, and right now you have a bunch of these sitting here as read-only, which just kind of looks ugly. Yeah, all this whole thing is set to read-only. I'm going to make a suggestion to make your life simple, and we just hide that whole thing because you're collecting the school data through a checklist item. So, it doesn't need to be on the individual candidate. Let me show you what I mean. If I go back to kid one's checklist, have an entire, um, checklist item, one for the current school. That's the school that they're attending today while they're, you know, working with you to come there. And then prior school, any school that they may have attended in the past. And so we can collect all that data there. We don't need it to show up on the kid's person record. Um, so I just set that to hidden just to clean that form up a little bit. I just click there again. Right. So you can collect, um, you know, the kid's email or mobile phone if you want to. Um, we should set grade applying for to read-only. Do you, you guys have day and boarding, right? You do. And do you have do you have campuses and student groups that people can apply for? Campuses, but that really, It's all based off the grade. Yeah. What grade they're going into. So, it's kind of, So, they wouldn't, they wouldn't necessarily, They don't have a choice. They don't have a choice. Yeah. Okay. So, let's just hide those because that's, And that's even same with student groups. Student groups only use what they're preschool. Yeah. So, let's just clean that form up a little bit. Um, and the other thing I saw was the, um, grade applying for. We do want that to be read-only. And here's why. And and maybe we didn't dive too deep into this, but the core pieces of someone's candidacy, which is the year group, uh, the year academic year applying for, the grade or year group applying for, student group, campus, resident status, right? Those are like the core core components that you need to track for headcount and number of seats in the class and staffing and like all that kind of stuff. And so we don't want people to be able to just change it outright, right? We we don't want them to say like, "I want to come to grade seven. Oops, nope. I want to come to grade eight." Without you knowing that. And so we have a specific form called the change request form. And that is the form that families should use in order to ask for those changes to the year, the, um, grade, and maybe we should display campus there. No, probably not. Um, and then financial aid. Do do you even want financial aid to be part of the admission process, or does that wait until after they've been accepted? But financial aid is only available via a portal on our website for a certain amount of time. But do you want them to tell you if they're interested or not during admission, or you don't even want to mention it? Um, I don't even want to mention it, to be honest. That was my, That was my gut as well. Yeah. Yeah. Like, don't let them see that option because they're gonna pick the option. Exactly. We know how people behave. We know these things. All right. Let's go back to my kiddo. Here's that change request button right there. And now they could only select to ask you whether they can change their year or their grade applying for. Okay. Um, we got a little bit sidetracked and off topic there. We were talking about, uh, we were talking about going through the checklist and, um, putting in your help text and, you know, updating and, and so I want you to make sure that you're clicking on every single form, uh, and making sure that that form, and, you know, try try uploading a file, make sure you see the file, right? You know, just you're checking every single thing, um, to make sure that it's working as expected. And then once you get that on, once everything is all set up the way that you want it looking, you're gonna come to your, um, registration season type, admission portal, right here where we've been working on the 25-26, um, year. You're gonna open that up. Here's here is this is where you configure all of that help text, right? This is how you set up your checklist. And when you're ready and you feel like, okay, cool. We've tested and it's good enough, right? It's not perfect, but it's good enough for now. You're gonna come to the lightning bolt and you're gonna copy that registration season, and 25-26 is going to create a copy for 26-27. Right? It's just like, So, if I wanted to change that, um, just to back up and make sure I was in the right place. If I wanted to change the tile, the candidate demographic, right, that you were talking about the text, that's where I would click. You click, right? That's where I would insert. That's where I would insert the tech, the description. Okay. Yep. And if you want to change the title, a lot of people don't know like, well, what does demographic mean or whatever. You could say candidate info or candidate profile. Like, you can adjust whatever you need here. This middle column controls what they see inside the portal. Perfect. Yep. And then you could use your little shortcut, Carol. Use the navigation bar here to go to the next one. Yeah. Heck yeah. And the next one is citizenship. And then use the next arrow. And the next one is, you know, yada yada. Okay. So, once you get your, um, once you get situated with your registration season, come to that lightning bolt and actually run both of those procedures. Refresh it first, and then go ahead and copy it. And once you copy it, what you're gonna see then on this, um, page is you're gonna have another row here for 26-27. You can determine whether you want 26-27 to be in the year applying for dropdown. That's this flag right here. If you open that year for inquiries, that means it shows up in the dropdown list. And then you pop that one out, copy it again, and that's gonna make 27-28. Then you go to 27-28. Copy it again. That's gonna make 28-29 and so forth. So, in your homework, submit. Submit everything. Submit one of everything, two of everything, every school level of everything, one parent, two parents, do it all. Test all your web forms, validate all your checklist items, your filtering, your help text, just like we said. Copy that season forward. Post your inquiry, launch, and I will get news management set up for you straight away. Amazing. Amazing. Like, just an hour's worth of work. What was I worried about? A week locked away. It's no more than, you know, 40 hours straight locked in a room. Yeah. Not a piece of cake.

All right. Um, Eric, I don't think you had jumped on quite yet when I started the conversation to say that technically you've been, um, delivered, and so I'm going to mark the project on my side. It's just going to start the clock ticking for, um, support so that they know you're coming in about 30 days or so, but I'm still here. Our case is still open. If you still need to meet, you have the link. Um, nothing really changes between us for the next 30 days or so, but I just want to let you know that I'm going to go ahead and mark the project complete. Okay. Okay. Uh, I did have a just a quick question. Sure. Um, like in our applicants, right? All of our admission candidates. Whoops. Let's go to. So the ones that we want to. So these are basically nearly all the students and some that are not going to be enrolled, but they were accepted. They just deferred or declined per enrollment. So, they've all been accepted at this point. What's the to enroll all of these students for 25-26? What's the simplest way? I know that you can go through and check off every single enrollment checklist, right? Yeah. Do it do it in batch though. Okay. That's that was my question was what's the easiest way to batch. If you use the article, "How do I import future students?" The links that you need are here in the article. Don't try to guess it. Just use the article and click where it says, "Here's the link." Click it. Okay. So, it is going to require. So, basically every, like, every single student had roughly, I think it's four checklist items required checklist items for enrollment. That's correct. So, I'll just go in and I, So, I just manually click on every single one. Batch up. No, batch update it. Batch update. I think. So. If you go to, um, let me just do, I'll just do a quick like find in the moment checklist item. This isn't the link, uh, that you're gonna have, but just use that article, right? Where the checklist item is required is yes, and we could subtotal it by the kid. Whoops. Click. Okay. You get your query where every kid has four checklist items. And then you go to your lightning bolt, and you batch update. Batch update. Checklist item complete to yes, and just let it. Nice. Wow, that's special. Yes, you guys are special. We know. Okay.
