How Manyreach Transforms Cold Email Outreach: Open Demo Recording

Hello everybody. Uh, I can see some people are joining. Um, let's wait a couple of minutes, uh, for everyone to join. Um, yeah, thanks again for, uh, joining today. The goal of this, uh, webinar is to give you a quick overview of many reach, uh, features and how you can, um, start using it today to book more meetings and, uh, scale your sales. Um, if you have any questions, please, uh, please use, uh, the Q&A section, and I'll try to, uh, reply to everyone, uh, during the call, or either, um, maybe if that's not going to be possible, later on, via email.

Okay, maybe just wait a minute or so, and then we'll be able to start. Uh, so, yeah, before we dive in, uh, into the product, I just want to give you a, uh, um, I want to remind you that our Black Friday and Cyber Monday, uh, offer is still available until the end of this, uh, week. And, uh, if it's not clear, uh, these are pay-as-you-go credits. So this is not a subscription. Um, I think we can start with the, with a presentation. Okay. So, uh, here is the Manu reach platform. Uh, when you log in, you are, you see the, the all the campaigns that are currently that you are running in this account, or in this workspace, depending on how you organize your, uh, account. Uh, here on the left, we have senders, we have CRM, we have unibox, and, uh, let's go through each, each, each one. I'll start with senders because this is usually the thing that, um, you do first when you, when you sign up. Uh, so, um, you need to connect senders in order for Manu reach to work. So we use your senders, uh, to send out emails. Um, so it's essentially like we would, uh, mimicking the, the, um, like, like you would send emails from your Gmail, per, uh, on your own. But in this case, we, we automate everything so that you can send more emails with the, with the gaps, etc.

So when you start, uh, when you connect senders, you use this button, and you can use Google Workspace, Outlook, Microsoft 365, or, uh, any custom SMTP. If you're using custom SMTP, uh, you can also use the bulk import from the CSV file. This saves you some time. Um, but currently, the best performing, uh, service is Google Workspace. So, um, you would get, like, the best open rates and replies and deliverability using Google Workspace emails. Um, so, yeah, when you, when you add, so this is quite a straightforward process. You just go through steps. You need to enable app, and, uh, then connect, um, U, um, add this app name to your Google Workspace account. We have tutorials for everything available, so just click here and, uh, check the tutorial on how that works. Um, so I'm not going to go through to, to all the process, but when, when you have, then when you, when you add senders, you need to enable warm-up. Warm-up is an important part of setting up your senders to be ready for the cold outreach, uh, activities. And the warm-up process works in a way that, um, the system sends out emails from your sender to other senders that are connected to Manu, that we can control. So in case, uh, your email lands in spam, we can take it out from spam and mark it as important and also reply to it. So this, um, with the warm-up process, we are giving, uh, email service providers an indication that your emails are good and okay, and, uh, they should not put them into the spam or promotion folder. So this is how the warm-up process works. It's, um, important that when you, when you have new senders, and new domains, that you put them to the warm-up process for at least two weeks. After that, they'll be, they'll be ready for the, for sending cold emails. You can also always check the health of your senders by hovering over this health, uh, um, health, um, um, percentage icon. So you'll see how many, how many land in spam, etc., in the last seven days. So, and when you open the sender, you have this settings tab and the warm-up tab. Here you can set everything. So we suggest that you start with, um, so the, when you start sending, when you start, you go like, uh, um, five a day, increase by 5% until you reach 30, uh, warm-up emails per day. So it's, it's advisable that you go step by step, so not sending a lot of emails straight away, but, you know, start, uh, slowly and progress.

And any question here? Okay, if you, if you have any questions, just, uh, use the Q&A icon, and, uh, shoot a message, and I'll, uh, answer it. Um, so, uh, yeah, this is the, like a default setup. You can also see the graph of the, of the, of the warm-up process, etc. So I'm just going to put back to 30 because this was my setting before. And here on the settings, you can set first name, last name, from name, signature. We suggest that you use basic signatures without heavy HTML because HTMLs can trigger the, um, can trigger the spam filters to be more, yeah.

One question: I'm sending 20 warm-up emails per day for about 3 months now. Can I send 30 cold emails per day if I'm starting fresh? Uh, yeah, I assume that you are, so that you are warming. Uh, yeah, I would, I would start sending cold emails like 10 a day and increase it by like, um, 15, 20% per day until you reach 30. So this is how I would do it. It would take like a week until you reach 30. I would not go like straight away to 30, um, today if you, if you are warming. That's my suggestion.

Uh, yeah, then the, the, the, the sending limits. Here you can set the sending limits. Again, this is what I just suggest you that you start with 10 a day. So in this case, you would go like, uh, you would set 10 and and increase by 15% until you reach 30, and it will take a couple of days until, so you, you can start today by sending 10 emails, and then it will scale to 30, um, in a couple of days. Here you can set a delay, um, between emails. So, um, 10 minutes. Um, you need to make the delays at least five-minute delay because you want to, uh, you, you want the email service provider to think that you are manually sending emails. So if you, if you, if you do like send email each minute, then this is definitely strange behavior.

Custom tracking domains. Yeah, this is an important part where you need, uh, so if you plan to track opens or clicks, or including like unsubscribe links to your emails, you need to set up a custom tracking domain. Custom tracking domain is very straightforward to set. Uh, you, um, we have a tutorial, uh, for that available. But, uh, yeah, you just need to create a CNAME record for your domain and point it to this domain. The easiest way is to go to help.manureach.com and, um, check it for yourself. Um, I'm not currently tracking sends here, so that's why I don't have it, uh, set. Here, and I also don't send links, uh, so that's why it's empty here.

Okay, so, uh, this is how you set senders. If you have, okay, one question. I already have a few new domains which I'm planning to use for email outreach. What's the next step after I have a new registered domain via Namecheap, also being set up on Cloudflare? So, um, yeah, if you already have domains, this is good that you already have them because when you purchase domains, it's the best thing you can do is to wait maybe a couple, maybe a month, uh, before you start actually warming them. Some domains, some fresh domains are added to the spam list straight away. This is one thing that started to happen recently. So even if you haven't done anything, they're going to be there for, uh, some spam filters. Some spam like blacklists are going to have them for 7 days, some for 30 days. So after 30 days, they're going to be removed from the spam, from the blacklists. But that's why it's good to have older domains. Also, the, the, some email service providers will, you know, kind of block, uh, emails from new domains. So the good, the best thing is you, you always have a couple of domains on stock, available to either connect them to new senders, or the best way to have them already set on senders and in the warm-up process. So the next step for you is just to, uh, set up mailboxes. As I suggested, you use Google Workspace. If, if this is something that is coming for Manu reach, but we can already, so it's not yet in the app, but we can already offer you a, a good deal on the Google Workspace, uh, senders. Okay, thanks. So we shall send max 50, 60 per day per ID per? Yeah, correctly. Yeah, like 20, 30 warm-up emails and up to 30, uh, paid emails per day. That's, that's correct. Um, yeah, okay. Yeah, Google Workspace. Okay, sounds good.

Um, okay, so, yeah, just, uh, if you have a lot of senders, you can use folders to categorize them. This comes handy later on. I'll show you. And also with filtering, you can just, uh, select, uh, based on the filters. And one other good thing is that we have a bulk editor. So you go here and you, you are able to bulk edit everything for all the senders that you have. I mean, you need, you need to be careful with first name, last name. If you have multiple names, you cannot do that using bulk editor, but other stuff is are available, like sending limits, delays, etc.

What measure should we just, one question to answer from Steve: What measure should we implement to ensure our emails reach the inbox instead of the spam folder? So definitely, um, a good, reputable, uh, email service provider, so like Google Workspace is one, uh, or, you know, if you use custom SMTP, try not to go with the cheapest one. Try to use some that are, um, that are, um, have a better reputation, or or even like, uh, Mailgun as a, as a, uh, email infrastructure. They could, they do also good stuff. So, this is the first thing that, then you need to set, uh, all the DNS settings, SPF, DKIM, DMARC. This needs to be done. And then, um, the warm-up process. It's important to not start sending too early. And then, uh, when you start sending campaigns, you need to, uh, be careful that you don't send too many, too many emails per day. So these are, that's why we have this, uh, sending limits and minimum delays. And, uh, very important is to use the spin text inside of emails, so that you are using spin text to create multiple variations of your, of your emails.

Okay, if we don't have any more questions, was sending, okay, so the question is: I have a question, after sending a campaign, how is it possible to target only the people who opened or clicked on a link? So are you referring to creating an additional campaign for those ones, or you want to use it in the same campaign? Eric, if you can clarify this, then I can explain.

Okay, until, okay, you, okay, Eric, you want to create a new message. Okay, I'll, I'll show you how, how you can do that. Uh, just a second.

Okay, so we, we covered, uh, okay, we covered the, the, um, the senders. Now we can move to the, to the campaigns, and I'll go there. Okay, so let's create a new campaign. Okay, so here it's, uh, uh, Steve, you are asking about the spin text. Okay, so here is the, the, let's go through the process. Question, and here we, uh, personalize stuff, and then you can use the spin text. So this is opening spin text. You see, hi, hello, good morning. So this will, this means that every, each email that you send out will be a bit different. So one will have hello, first name, the second one will have hi, the third one will have good morning, um, um, etc. And you don't need to use this just for the opening or closing. You can use this, you know, to write a whole whole message. So instead of, like, I'm reaching out, so, uh, no, like, for example, I, and we, you can copy this as a, as a, and go, I was, I checked your website, something, you see. And this will create, and you can create unlimited of this, this, um, this, uh, spin text, uh, here. And, uh, when we, uh, uh, we create a test, you will see that, hi, I checked your website, hello, I checked your website, uh, good morning, I checked your website, hi, I was on your website. So it creates a lot of different variations of the same email. Um, uh, we have an AI feature that is coming for the spin text here, but, uh, in the meantime, if you want, I can share the ChatGPT plugin that you can already use. You just type in the, the text, and it will give you the, the spin text version. I can send it to everyone, um, after the call.

Um, so, yeah, once you set, uh, this campaign, so the initial email, then you have the follow-ups. You can, it can be a reply in thread, so you cannot have a different subject line, in this case. But if you don't reply in a thread, you will be able to have a different subject line. Then you set the day, how many, how many days or how many hours you want to send out email after the last one. And, yeah, this is how you set the campaign. You can have unlimited, unlimited follow-ups. And let's go to the prospects and upload one CSV file. Oops, to show you. So this, when you upload the CSV file, you need to, um, you need to match, match, um, you need to match the fields that you have. So email is required, and then for some, some stuff, the, our system will already pick it up. So like company, and, uh, website, city, state, stuff like that. And here is the important part. So by default, usually you have the header line. So it's, you, it's, you need to ignore it. And then when we are importing, this, this, uh, prospects, only the new ones will be imported by default, unless you check this, this, uh, checkbox. So in this case, even if they already exist in, in, uh, the Manu reach CRM, in your Manu reach CRM, we will still, uh, upload them to this campaign. And if some new data is available for them, like that, I don't know, they don't have a country before, but now, now they have, this will also be updated in the CRM.

So, yeah, let's import that. After you import, you get, uh, this feedback. So how many valid and unique emails, how many were imported to CRM, there was no existing, and, uh, no existing prospects were added to the, were updated. So, uh, yeah, this is how this is done.

So, [Music] uh, uh, yes, I'm just going to answer some questions. Yes, you can, you can add multiple spin tags. How many, how many you, you want to create, like unlimited in one email.

Okay, one question about the, Git versus Mailgun. It's always recommended to have multiple, so to not have all all the senders in one basket, because, you know, like it was the case, uh, in the last months, all the, everyone that had senders on the, on the Microsoft were facing issues with deliverability. So, it's always to have multiples, to have senders on multiple providers. So in case someone goes, uh, bad or something happens or changes anything, you still have some others available for sending. And then you can, of course, migrate or, uh, get additional domains to, uh, to, to scale it back. But, um, in your case, if this is happening, um, I mean, our, we are analyzing all the data that is happening and, uh, Git, so far works very well. So this is my, my question to that, my answer to your question.

Okay, let's move on. Eric, I didn't forget about you. I'll show you later when we move to the CRM. I'll show you how you can create, uh, how you can create a new campaign for people who opened. So, if we move to the settings part, here you can, of course, name the, rename the campaign. You can set the, like a campaign prospect value, like 200 or 2,000. It depends. So whenever a prospect will be marked as interested, this will increase the value of this campaign. So then when we come to the senders, here it's, uh, you can add, let's say, one by one, or if you have them in the folder, it's a, it's a quick, quick, you just click the folder, and it will add all the senders in the folder. So it's a quicker way of adding senders.

So the sending limits. We have two options here. So one is to send, to limit how many emails will go out based on the, so to limit how many emails will go out per campaign or per sender. So we have those two options. So it's easier for you to calculate. So can set like 20 per sender, and you don't have to calculate based on how many senders you have. Or we have that you are forcing initial emails. So in this case, the campaign will stop sending initial emails for a day after, let's say, 10 initial emails were sent per sender. And the follow-ups will then be sent based on the limits that you have on the sender level. So if the sender can send out 25 emails per day, then 20 emails will be available for the follow-ups. This part, we are adding some changes to this part, in a couple of days. So it's going to be a bit more, um, straightforward and easier to understand. But when it comes to this sending limits, you can always use this sending target simulator. So it takes, it shows you all the parts that are affecting your daily sending. So it can be a campaign limit that we set, it can be a random delay, it can be a campaign sending window. So this is the scheduling part that is available here. So it depends how many hours are you sending. So for example, if we only send one hour, it could affect it. And then the senders limit and the sender delay. Also to note that if you have multiple senders, same senders on multiple campaigns, you know, their limits are fixed. So they're going to be spread around all the campaigns.

As said, open tracking and click tracking can decrease deliverability, especially in the last, since the last couple of months. So we don't suggest tracking it. We also have this delivery optimization, where you can send emails as a text only. So when you, when you have this on, even if your track opens, open tracking won't work because you need HTML for that. So, um, yeah, and we also have the ESP matching. So that if you have like senders from Microsoft, from Google, and from custom, uh, SMTP, this way you are able to match. So Google will go to Google, Microsoft to Microsoft, custom SMTP to custom SMTP. And you can also limit stuff so that you don't, so, um, if you limit ESP provider, you need to specify to whom you want to send. So this will send to Google, and won't send to Outlook, and won't send to others. So this is how this works.

Let me check some questions. [Music]

Um, how can you set a folder? Yeah, even if you, even if you use custom tracking domain, it's still not recommended to use it now because in Google, Google is showing the gray bar that email is tracked. So there's also a spam button very close to the, in this gray bar. So you don't want to mess with that. So the folder stuff, you go here and click here and action, add to folder. You can add a new folder or select one already that you already created before. So this is how you add sender in the folder. You can also select multiple and add them all to the folder. So this is how you do it.

So back to the back to the, uh, settings. Yeah, once this is, once you're satisfied with these settings. Okay, here, just one thing to note, we have time zone, prospect time zone matching. So if the prospect has a country or state for the US available in the CRM, in this case, it will be able to match to figure out their time zone, and the emails will go out based on their time zone during the scheduled times.

Yeah, we also have some additional options, but I'll not go into deep with that. So, to answer Eric's question about how to send emails to to the ones that already opened your emails, you go to CRM, you select, let's say, one campaign, and you go to to open. Oh, this one is not tracking open rates. Okay, let's just forget the campaign. I'll just click open. I didn't track for anyone. So in this case, for or, um, let's go the, the same would apply for, let's say, responded. Okay, so now you have here, and you click here and go to this icon and add to campaign. And then you can, you can select the campaign. Just know that you need to create a campaign before you select them, because otherwise it's not going to be here. So go, uh, to campaigns, create a campaign, and then go to CRM, use these filters to find, to find prospects that you would like to target, and then put them to the campaign.

Okay, hope I answered. Yeah, Steve, if you, if you, if you don't track opens, if you don't track opens, you cannot filter by those who who opened, of course. But, as said, if you need to track opens, you can track, but you can track, but you, you just, the deliverability might not be might not be as high as without tracking. So this is just, uh, how it is currently.

Okay, yeah, so here we are in the CRM section. Um, as we already touched a bit about that, you can use all those filters. Some are also coming here, some more filters that you'll be able to use. But here you can also, you know, open each each prospect and see everything about about them, like custom variables, or on which campaign they are, company details. And if you need to update anything, you can do it here. Uh, yeah, you can do it here.

So then, uh, the unibox part. Unibox part is the, is part of the, of for all plans on Manu reach. So all the replies are coming, are coming here. So that you don't have to log in to multiple mailboxes. And once you're here, you can, our AI will mark prospects as interested, not interested, etc. And you can easily reply from here to them, so that you don't have to go to each, each mailbox. Here on the right, you also see all the activities that was going on. You can add notes, you can also see all the details, etc.

Then, yeah, the, the settings part. This is important. Maybe I'll just switch to the to the main account to show you all all that is available here. So here you see your plan, you see here are some settings that you can enable. You have users, you have workspaces beneath where you can add additional workspace, additional users. Here is the blacklist. So here on the blacklist, you add all the domains or emails that you don't want to send them. So even if you upload them, they won't be sent because they're on your blacklist. So you can use this to add like all your existing clients or some people that you, or people that beforehand before you start using Manu reach express, they don't want to hear from you, etc. You can, uh, you can add, sorry, you can add emails or domains here, and, uh, Manu reach won't send them. It's important to, so each blacklist is connected to a workspace. So if you have multiple projects or multiple clients, you can use different workspaces for, you know, one workspace for one project, and those blacklists won't overlap. And then we have API. And API is available here. And also some other integrations. We have like webhooks or Zapier or Slack. Slack webhook actually works as a notification center. So for everyone that replies to you or that is interested, you can set up a Slack webhook to be notified.

Let me just check the questions.

Yeah, Eric, 30% open rate is for is is is a good number. Yeah, yeah, as said, if if it's working for you, you don't have to change it. So this is just like a guidelines, guidelines that you don't track. But if it's performing well, it also depends on the list and the their like your offer, etc. You can keep tracking. So no worries. But if you'll see like a like a big drop in the in the open rates, then I suggest that you stop tracking. One way of doing it is also so that you start the campaign, start tracking to see how how it goes, you know, to get an idea how many people are opening and how many are responding. And after you get after after a couple of days when you are satisfied, you can easily, uh, uh, stop tracking the opens. And, uh, in this way, you'll get kind of benefits from both ends. So idea how many are actually opening, and also, uh, then benefits of not not tracking.

Yeah, just, uh, one question about using images, logos, links. The best way is not to use them. If you, if you are sending like a video, then of course, maybe it's it's good to have like an animated GIF where people can click and go to the video landing page. But otherwise, logos, links are deliverability killers. So I mean, in some cases they work, so but in general, you don't want to do that. You want to get a reply from people and based on that send out, send out links or videos or images.

How to add a video in a follow-up email? The same way as you, as you, uh, as you give it as you add it to the initial email. If you're referring to the to the, uh, video, like, uh, to the follow-up, or are you referring to the to the manual follow-up? Kazi, so I mean, usually how to, how you add emails to the, how you add videos is that, uh, your, uh, video provider, like, uh, mass video provider, gives you an HTML code that you add to to the campaign. You can do, and usually you do this through these custom variables. You go to custom variable and create like a, uh, video variable, and when you import the CSV, you need to import this video variable and you add it to the campaign. This is how you add, how you add videos. Oh, you mean in the manual?

Can I Google Photos for sending? Yeah, I mean, you can use Google as well. Uh, yeah, short link shorteners will, sorry, will decrease deliverability. You know, a lot of spammers are using, are using link shorteners. So you don't really have to. I use link shorteners because emails, I mean, clicks are tracked inside Manu reach. If you plan to track this, it's better to use, uh, U provided email link tracking than to use Bitly.

Okay, guys, uh, please is to unsubscribe. I would suggest that you go with the unsubscribe links as a, to not include a link, but, but include like a message, please let me know if you don't want to hear from me. So in this way, you don't, uh, still provide a way out. But, because you know, you need to look at, uh, at cold outreach, and if you're using tools like Manu reach, they are just amplifying what you are doing manually, and emails are going out from your mailbox. So it's the same as you would go manually there and send out an email to the prospect. And in this case, you cannot add an unsubscribe link. An unsubscribe link is actually indicating that this is a mass email. So that's why I suggest that you just add a message, please let me know if you don't want to hear from me, or something like that. And our AI will pick it up when they reply, and it will automatically unsubscribe them for you. So I would not put links. You're welcome, Steve.

So, uh, yeah, if you, if you have any other questions, send our address as per us laws. Good question. To be honest, I think it's a good idea to add to add an address to your signature. Like, create a very basic, basic, basic signature, like, first name, last name, position, company, and add an address. And add, even a phone number can be there. This is actually a good thing because when spam filters check this, you know, spammers usually don't put their their, uh, location, their address, and their phone number to to emails. So this actually will look more legit. So if, it's actually a good idea to use to use an, uh, address, like a physical address in a signature. Yeah.

If so, the question is, if sending without signature improves deliverability? No, no, just have a, you know, because this is not a normal communication that you don't have a signature or something from who who is sending these emails. So it's good to have a signature, just don't over, overdo them with heavy HTML, like images, social media links, etc., because this is not important.

If it's the best note, do I get creative about how to ask reader to? Yeah, yeah, yeah. This is actually Peter is asking how to be creative with with email copy. So nowadays, where, you know, people are fed up with a lot of emails they get, a lot of emails, and everyone is asking for a meeting, and, you know, you have all all meetings already scheduled for for you, and maybe not, you know, don't have time for additional meetings straight away. But that's why it's a good strategy to actually use cold email to offer a lead magnet. So a video can be a lead magnet, or some resource can be a lead magnet, or anything that could be valuable for your customer. So this is what you are actually selling in this cold email. Try to sell a lead magnet, and once they reply, you send them this lead magnet, and then you have an open communication with them. So this is how I would do it. And this also, I mean, it works very well. Have something ready. So the same strategy as work, as you can see, it works on social media where people comment and like a message to get some valuable resource. The same strategy can be applied to, to, to, uh, email to cold emails. Yes, then this is the correct email to see of people but didn't click the box. You have it's not showing.

The Outlook issue, if it's resolved, not sure what are you, what are you, uh, sending to to Outlook emails or sending from Outlook emails? Is still, is still an issue. I think this will phase out in a couple of weeks, months, because it's actually affecting all the regular communication without Outlook emails. But for now, it's it's quite a quite an issue.
