Welcome to the ultimate Notion tutorial for 2026. In this 2-hour long tutorial, we'll walk you through everything you need to know about Notion step by step. Even if you're a complete beginner, by the end of these two hours, you will be a pro.
We'll start with a simple overview and interface walkthrough before covering the basics like creating pages and building dashboards. Then, we'll move on to more advanced features like database management and building third-party integrations. Finally, we'll conclude with a real-world example to test our new skills.
I recommend watching this video from start to finish if you're a beginner. If you're already comfortable with the basics or need to go back and rewatch a specific topic, use the video chapters below. Let's dive right in by talking about Notion 3.0, the latest and greatest version of this all-in-one workspace.
Chapter one, Notion 3.0 is here. In earlier iterations of Notion, its built-in AI was limited to note-taking and answering specific queries. Now, it's a fully functional AI agent. So, what is an AI agent, I hear you asking? Well, rather than simply answering basic questions like a chatbot, AI agents can understand complex questions, place them in a broader context, and proactively interact with external programs to solve the problem. In other words, AI agents can plan and act with minimal human involvement. Once they're told what to do and have access to the proper external programs, they can handle everything from start to finish.
As the official Notion 3.0 release said, with Notion 1.0 and 2.0, we gave you the tools to do your work in one place. With 3.0, you get agents who do the work for you. So 3.0 is more than just a note-taking app. It's a unified workspace that can handle almost all your productivity needs. It does this by focusing on six major pillars: Docs, projects, calendar, sites, mail, and AI. These pillars work together to manage notes, tasks, meetings, emails, websites, and automation all in one place.
So, what does a unified workspace mean? Instead of juggling separate tools for drafting documents, managing projects, accessing calendars, sending emails, and maintaining knowledge bases, you can do it all in Notion. Having everything in one place saves a ton of time, which is why people say Notion is replacing half of their tool stack.
The six pillars of Notion 3.0. Let's take a closer look at each of these. Docs, pages where you can write and collaborate on notes or documentation. Projects tools to manage any project from start to finish with tasks, Kanban boards, timelines, and more. Calendar, a built-in calendar that integrates with your tasks and external calendars to manage your schedule. Sites, the ability to quickly turn Notion pages into public websites. Great for wikis, portfolios, or client portals. Mail, an integrated email inbox. Notion Mail that lets you manage emails in Notion style with smart organization and AI assistance. AI powerful Notion AI features like agents and Q&A that can answer questions, write content, and automate tasks.
All right, that's enough talk. Let's begin by signing up for an account and setting up your workspace.
Chapter 2, onboarding. Signing up and setting up your workspace. Notion is available via web browser and as a desktop or mobile app. I'll go ahead and use the web browser for this video. Sign up for Notion. Click the first link down in the description and then click get Notion free. You can sign up using the old-fashioned way, entering an email address and creating a password or the easy way using your Google account information. I'll use my Google account and give Notion permission to access my information. And that's it.
Once that's done, Notion will show a quick setup screen asking you how you want to use Notion. This helps customize your experience. You'll see three options: For work, for personal life, and for school. If you're setting things up for personal use, choose for personal life. If you're in school, select for school. And if you're creating an account for professional projects or a team, choose for work. That's the one I'll be selecting for now. Don't be afraid to start solo. You can add teammates to your workspace when you're ready. That will take you to this window.
So, let's talk plans and pricing. Notion's core features are free for individual users, but there are higher tiers with extra features. Let's take a look at them all. First up is the free plan. This gives you the basics: unlimited pages and blocks that sync across devices. Free now includes up to 5 megabytes file uploads, up to 10 guests, people you can share specific pages with, and trial versions of most advanced features, including AI agents and database management. For many personal users, the free plan is enough to get started.
Plus plan for $10 per month per user. You get increased limits across the board. For example, unlimited file uploads, up to 100 guests, and the ability to create custom automations. This is a common choice for power users and small teams.
Business plan. The Business plan costs $20 per month per user and is designed for larger organizations. It allows up to 250 guests and offers advanced permission configurations, including admin and security controls, as well as full access to AI agents. We're not going to bother talking about the Enterprise plan because it's a little bit of an overkill unless you're running a giant company with thousands of employees.
Important notes. Notion's new AI features are available as an add-on subscription for the free and Plus plans. In all honesty, if you plan to use the AI agents quite a bit, then the Business plan will be right for you. With all this in mind, I'll proceed with the Business plan's 30-day free trial. If you go this route, you'll have to enter your credit card information, but you'll receive several emails as decision time looms, giving you ample time to cancel your subscription if Notion isn't right for you. With your payment information entered, click start Notion Business trial.

Now, we can install the desktop app or continue using the browser. Though, I'll use the browser version. Let's quickly talk about the differences between the two.
Desktop app versus web browser. The desktop app has a few benefits. The main one being highlighted on screen: Notion is 50% faster with a desktop app than in the browser. The benefits don't stop there. Keyboard shortcuts like Control + 1 and Ctrl + 2 to switch between workspaces only work in the app. The desktop app is needed for some features. For instance, the new AI meeting notes require the desktop app to capture system audio. Offline mode only works in the app. This could be great if you're constantly traveling or if you live in an area with a spotty internet connection. All right, I'll click skip.
All right, we're finally in. Let's tour the Notion interface so you know how to get around.
Interface overview and navigation. This chapter will cover the sidebar, search, and some handy menus and shortcuts.
Sidebar basics. Notion sidebar is like the table of contents for your workspace. We'll start in the upper left corner of the screen and work our way down. First up is the workspace name at the very top. Hover over your name and click the two arrows button. Move your cursor. This makes the sidebar collapsible. Click the two arrow to the right icon to relock the sidebar into place.
Next is search. This is where you can quickly and effortlessly sort through all your pages. You can type keywords and it will show matching page titles or even content matches. A shortcut: press Control + P or Command + P to open the quick search bar anywhere in the app.
Okay, let's move on to Home. This button will take you to your homepage. From here, you can view Recent, a list of pages you recently opened. Helpful to jump back to things. Learn, a list of recommended articles constantly updated by Notion based on your latest projects. Since I just created this account, there are basic tutorials and information about my free trial. Upcoming events. Right now, we only see calendar events. When we have tasks, they'll also pop up here. Checking the homepage is a great way to start your day. Featured templates like the Learn section. And this field is dynamic. It constantly updates with templates recommended based on your latest projects. Since we're just getting started, we can see some basic ones.
All right, that's enough about the homepage. Let's head back over to the sidebar and talk about Notion AI. This is where you can access Notion's built-in AI and do essentially anything. Build AI agents? Start here with a prompt. Need to collect a bunch of data about a project? Done. Notion's AI can even stand in for search engines since it can access the internet and browse the web. You can also enhance its functionality by linking it to third-party apps, meaning it can search and reference content in Google Drive, Gmail, or similar apps. We'll be using this tool much more later in the video.
Next up is the Inbox. This is more than just an email hub. It is where you can view and reply to team chats on projects and documents, mentions, meeting requests, and more. You can also easily filter incoming messages by date, sender, or priority.
Next, let's talk about your little escape from everyone else. Private. Everything you do in the private tab is visible only to you. If you're an employee or basic user, no administrator or manager with advanced permissions can spy on what you're doing here, unless you share it with them directly. You can always add more here by clicking the add new button and selecting what you want to create.
We also need to talk about Favorites. To mark a page as a favorite, hover over the "Welcome to Notion" title. Click the three dots and select "Add to favorites." That will create a new section called Favorites on the sidebar. This is where you'll want to save current projects or commonly referenced documents you use daily. No more hunting for the correct documents or searching for the project all the time. If you no longer need something, all you need to do is click the three dots next to it again. Choose "Remove from favorites" and it'll be deleted from the section.
All right, now, RD Team Spaces. This is where you can group employees into subgroups or departments called Team Spaces. Remember how workspaces are the largest container in Notion? Well, Team Spaces are one step below that. For example, a GV Marketing workspace could have an Editing and Design, Recording, and Scripting Team Spaces where all our members could communicate. Under each Team Space, you'll see tabs for Projects, Goals Tracker, Meeting Notes, and Document Hub.
Jumping down the page, we've got Settings. This is where you'll manage your personal account and workspace settings. We'll return to this topic in the next chapter. So, that's all I have to say now. The next one is exciting, the Marketplace. Let's open this one. This is where you can discover and connect with official Notion consultants who can help you start your journey. More importantly, this is where you can find tons of community-made templates. While some of these will be tailored to Notion, you can find anything such as a resume or CV template. Better yet, most of these are totally free. There are some you'll have to pay for, but that's totally optional.
Last but not least, we've got Trash. At the bottom of the sidebar, you've got Trash, where deleted pages go. They stay recoverable for 30 days on most plans. Let's take a look at the Notion apps and also check the very bottom left of the page before moving on. We'll use most of these later, but I still want you to know where they are. Starting with Notion Mail. This is the system that runs through the inbox we looked at earlier. After that, there's a standalone version of Notion's Calendar. It opens in another tab, and you'll be prompted to connect your Gmail or Apple account to get started. Next is Notion Desktop, which lets you download the desktop version of the app. That's it with the Notion app section.
Now, let's take a look at the very bottom left of the page. Here, you will find the Change Log where you can see everything included in the latest update. Notion updates automatically, so you'll always be using the latest release version. Last up is the Help section where you can contact support and view help articles covering the latest updates. All right, that's it with the sidebar.
Command menu. A bit of terminology first. The search bar is sometimes called Quick Find, whereas the command menu in Notion is triggered by typing a forward slash in a page. This brings up a contextual menu to insert various blocks like text, images, databases, etc. I'll show you this menu in more detail in chapter 7. So, Quick Find or Control + P finds or jumps to pages, and slash command inserts or executes a command in the page you're editing. Don't worry if that sounds confusing. This will make much more sense when we see it in action.
Now that you know how to search, navigate, and tweak the interface, we'll configure some personal settings to make Notion comfortable for you.
Chapter 4, personal settings and workspace essentials. Before we start creating tasks, content, and workflows, let's familiarize ourselves with Notion settings. We'll set up your profile and preferences so Notion feels like home.
Profile settings. Time to reopen settings from the left sidebar. Click your name. Here you can add a profile photo and set your preferred name. Email. Verify your email and add backups if needed. This is also where you can change your email or password. Two-factor authentication. If you're security conscious, enable 2FA. This adds an extra login code from your phone for safety. Passkeys. Securely sign in with on-device biometric authentication. Having a profile set to show your name and photo in shared workspaces is a must to avoid any "who is who" dilemmas.
All right, let's move on to preferences. Appearance, dark, light mode. Notion offers light and dark modes. Choose what's easiest on your eyes. Many people prefer dark mode. You can also change your language and time settings. I recommend flipping "Start week on Monday" to get the most out of your calendar and ensure your time zone is accurate. If it's not, or you work remotely with people in another time zone, change it so everything matches your situation. If you're concerned about data, you can manage your privacy settings at the bottom. I recommend keeping these defaults.
Notifications are next. You can get notified via desktop push, mobile, or email when someone mentions you, assigns you a task, or comments on your content. Decide how you want to be alerted. If your team uses Slack or Discord to communicate, you can connect those accounts to Notion and receive updates in your inbox. Of course, you can connect many more apps to Notion, and you manage those in the next section.
Connections. Here you can manage any apps you've connected to Notion. We'll talk more about integrations in chapter 19. For now, just know that this is the place to connect or disconnect them.
Since you've created your own workspace, you'll have more than just personal settings to manage. Let's talk about workspace settings. We'll get started with General. You can do many things here, including renaming your workspace and giving it an icon or logo. You also have to manage something called Trusted domain access. To keep this short and sweet, this lets you restrict who can join the workspace based on email domain. For example, all my employees have a velocity.com email address, which will be the trusted domain for this workspace. You can do a few more things here like export workspace content and enable user profiles, but nothing important. Keep it as it is.
Let's move on to People. This is where you can manage, invite, and remove members, guests, groups, and contacts. The next chapter will dig into these roles. We'll be back here shortly. So, let's move on.
Team Spaces. We've already established that Team Spaces serve as folders for different teams, each with its own members and default permissions. A page in a Team Space can be auto-visible to that team based on role and group permissions.
Next, let's talk about everyone's favorite topic: security. The Members and Guests tab is where you set what members and guests can and cannot do, and what they can see. Let's skip Identity since it's pretty much useless and move on to the main events.
Notion AI. This is where you can handle everything and anything related to Notion's onboard AI. You can check your usage and configure preferences like data sharing. You can opt into sharing your content to improve Notion's AI. By default, this will not be enabled. AI Connectors. This is where you link third-party apps to communicate with your AI. We will set this up later in the video. AI Web Search. This is where you can enable or disable the AI from accessing the internet. There's no reason to deny access. Personalization. You can customize your personal AI agent's behavior. We'll address this much later in the video during chapter 18. AI Meeting Notes. Grant permission for the AI to take notes in your meetings. We'll use this later.
We'll skip right to the end here and click on Explore Plans. This is where you can always cancel your free trial or switch plans to find the one that's right for you. All right, you have updated your profile, chosen a theme, set notifications, and managed your workspace settings. Now, we'll talk about collaboration inside Notion. Let's make sure your content is seen by those who should see it.
Chapter 5, collaboration and permissions. There's only so much you can get done by yourself. To get the most out of Notion, you'll want to get your team on board as quickly as possible. In this chapter, we'll cover how to collaborate with others, managing members versus guests, understanding page permission levels, using comments and the updates feed to keep track of changes, restoring old versions of pages if needed, and using real-time presence indicators.
Let's get started by talking about the role hierarchy. The hierarchy runs: Owner, Administrators, Members, Guests. The owner and admins can manage settings, handle billing, invite others, accept join requests, and make major edits to a workspace, team space, or individual projects. The owner can revoke an admin status at any time.
Members and guests. Members are your employees. They can see whatever is shared in your workspace and create and edit pages. Each additional member costs more money. Guests are visitors invited to view or edit specific pages only, not full workspace access. They are free to a certain limit. For example, up to 10 guests can be invited even with the free plan. That's all good, but not helpful if you can't add them to your workspace in the first place. Let's see how you can.
Adding new members and guests. Members: Go to Settings, People, Members. From here, you have a few options. Firstly, you can click the "Copy link" button and paste a link to anyone in a message or chat. Clicking on the link, provided they try to join with the proper domain email address, will add them to the workspace as a member. You can also click "Add members." Enter their email address and they'll be sent an email via an invite code. You also have the option to write a short message. I'll click cancel since there's still another way to add new members. Click the down arrow next to "Add members" and you can import members from Slack, Google, or Microsoft Teams.
Guests can be found in the same exact location as members. Simply select Guests instead at the top. The invite processes are all the same: via link, an email, or imported from the three supported apps.
That's enough about the role hierarchy and how they all fit together. Let's move on and quickly discuss the page permission hierarchy. Page permissions are hierarchical. We'll discuss this in a few chapters, but there are two types of pages: parent and subpages. If you share a parent page with someone, they can see all the subpages. To illustrate this in action, I'll create a new blank page in the private section.
Setting page permissions. In the upper right corner, click Share. You'll see the people or groups who have access and their permission level.
Permission levels. There are four different permission levels: Full access can edit content and share the page with others. Can edit can edit content but cannot share the page. Can comment can edit content but can leave comments and see the page. And Can view just read-only.
All right, now let's talk about Notion's comment system. To illustrate, I'll import a template to this page. Okay, on this Real Estate Dashboard, let's see how to chat with co-workers, comments, and discussions. I can start a running chat at the top of the page by clicking "Add comment" directly underneath the title. This is a great place to have a long general chat about the page and give feedback.
Each page's blocks can be commented on individually. For example, I'll click on "Luxurious 3BD Apartments." Here we can edit everything on the page. What's important though is the ability to add comments. For example, I'll hover over the description field and click the little comment icon. This in-depth system lets the team focus on specific elements to get everything right. You can leave many different types of comments. For example, beginning your message with the "@" enables you to set a due date, mention participants, and link to other pages. You can also attach files directly to a comment. I'll leave a comment here that says, "Why don't we change the description to mention the floor?"
Updates feed, activity feed. At the top right of a page, you will see "Edited X ago." Clicking it shows all the edits and comments as they occur in real time. Let's go ahead and minimize this by clicking the two arrow to the right icon. Let's click the three buttons at the top right to view and edit the page's settings. There's a lot we could talk about here, but there are only two settings worth mentioning right now. The first is Page locking. This lets an administrator prevent further edits. All you need to do is flip the button and voila, the page can be edited by anyone. This is good for final docs or to freeze project scope.
Version history. Here you can view all the document iterations. Click a timestamp to see that version in preview format. If you want it back, click Restore.
Live collaboration indicators. When colleagues are on the same page, you'll see their avatars at the top of the page. You can even see a small cursor with their name as they type or select text. This is helpful in meetings or pair writing to avoid conflicts.
Let's round out this chapter by highlighting a few best practices. Keep sensitive pages private by default. Share only what's necessary. Create Team Spaces or top-level pages for each department and share appropriately instead of individually sharing every page. Use groups when sharing a new page. It is much easier from a managerial perspective.
All right, that's enough about collaboration. I almost included this section much, much later in the video, but decided to move it up. That way, if someone is watching this tutorial with you, you'll both be able to participate going forward without constantly editing over one another. All right, it's time to finally get started building our workspace. Let's start creating pages and using templates.
Chapter 6, creating pages and templates. The page is Notion's basic building block. Here we'll learn how to create new pages, use templates, and organize pages into a coherent structure.
Creating a blank page. In the sidebar, you can hover over a Team Space and click the plus icon to add a new page. I'll get started by creating an empty page. Click where it says "New page" and type a title for your page. I'll simply name it "Test Page." Hover over the new title and you will notice an "Add icon" button. Click it. By default, new pages get a random emoji. This appears as the cover icon in the sidebar. Similarly, click "Add cover" to add a cover image at the top. A random stock photo will be uploaded. Don't worry, you can click the icon or cover at any point to change them. I'll just stick with these for now.
All right. Now, let's talk about adding subpages and navigating.
Subpages and breadcrumbs. As we already know, pages can contain other pages. To make a subpage, you can either create a new page while inside another page. That new page will be nested within, or drag an existing page into another in the sidebar. I'll click the plus button next to my "Test Page" and name this new one "Test Subpage." When viewing a page that is nested, you'll see a breadcrumb navigation menu in the top left of the page: George Vasio's Workspace > Test Page > Test Subpage. We'll use subpages later, but I wanted to show you how to create them now.
Sometimes you need to start fresh. Most often, however, it'll be worth it to start with a pre-built template. Let's see how that's done.
Using templates for pages. We briefly saw the template marketplace, but you can also access templates directly on new pages. On the "Test Subpage," look in the bottom right corner and click on Templates. This page should look very familiar. The marketplace opens a gallery of templates sorted by category: Work, Life, and School, each with its own subcategories. For example, Marketing, Venture Capital, and more under Work. You can also search for one using the search bar in the upper left corner. For example, I'll search for "YouTube Production Checklist." Then click on "YouTube Content Creators Checklist." All you have to do is click Add. Select where you want it to go, and where it is: it's nested in the "Tasks" subpage. You'll notice that everything imported is already fully functional and ready to go.
Notion 3.0 notes. You can also ask the AI to create a template for you, but we'll tackle that much later when you have the basics down. If you want to give it a try, good luck prompting.
To quickly sum up this chapter, you create content on pages in Notion. Pages can start blank, from templates, or AI-generated. They can hold any type of blocks: text, images, databases, etc., and you can nest pages to keep things organized. With that foundation, let's move on to editing and formatting content on those pages.
Chapter 7, formatting text and using blocks. Notion's pages are composed of blocks. Everything on every page, each paragraph, list item, image, video, task, etc. is a block you can format, move around, and transform into another block. This chapter will teach you text formatting, block-level features like converting one type to another, using columns, and embedding media.
Let's head back over to the "Test Page" to start with. Clicking a blank space on a page lets you start typing and creates a text block. Selecting any text displays a mini toolbar. Here you can leave a comment, react with an emoji, suggest edits, switch fonts from text to header, create a bulleted or numbered list, etc. Bold, italicize, underline, strikethrough, mark as code or equation, enter a function, embed a link, change text color. There is also the "Ask AI" button at the front. Click it. This tool can help with everything related to writing. It can conduct simple proofreading, suggest improvements, change your tone of voice, or even translate what you wrote into another language. Easy enough.
Now, let's talk about the command menu. The command menu. Click on a blank spot, and rather than typing anything, hit the forward slash key. That will pull up the command menu where all you have to do is type the name of a block you're looking to add to the page, click on it, and watch it get added instantly. For example, I'll add a checklist. By the time I enter "CHE," a to-do list is already recommended. I'll click on the first result, and that creates a single block. A single to-do block is hardly a checklist, though. We'll need more blocks. Luckily, you don't need to conduct a command menu search every time. Instead, all you need to do is hover over the block you want to copy, click the six horizontal dots to the left of the block, and click "Duplicate." Easy enough. Oh, and while we're on the topic of the six horizontal dots, I should also tell you this is called the handle, and it's how you can drag and drop blocks. You can also transform any block into another block. Hover over one of the to-dos, click the handle one more time, select "Turn into," and pick a replacement from the list. This flexibility means you never have to worry about making the wrong kind of block. You can always just change it later.
Let's quickly talk about a few different types of blocks and how you can easily format them. Let's start with dividers and columns. You can add a divider line by typing three hyphens on a line by itself. I'll type three hyphens between "To-Do" and "Test Subpage," and there we go. It automatically got added. You can also create columns by grabbing a block's handle and dragging the block to the right of another. I'll grab the second to-do and move it to the right of the second one. You'll see a blue vertical line when you're creating a column. You can also adjust the column's width by dragging the divider between them. Now you have side-by-side content.
Next, let's talk about inline databases. You can create databases inside a page inline or as independent pages. Type "/t" or "/board" in the command menu, then add it to the page. Short and sweet.
There are also media embeds. Notion supports embedding content from other sites, including Twitter, Zoom, Discord, Google Drive, and more. Content means more than just links or social media posts, though. You can also use images or GIFs. Drag and drop an image into Notion or use "/image" to upload or link to one. It will appear as a resizable block.
Lastly, let's talk about reusable synced blocks. A special block type is a synced block. If you have content that should appear in multiple places and stay in sync, you can create a synced block by typing "/sync" in a blank space. We won't use this in our beginner project, but keep it in mind as you develop more advanced pages.
Take a moment to practice. Playing with blocks will make you comfortable no matter what you're doing in Notion. Now, let's apply your newfound skills by building a useful home dashboard to navigate our workspace without relying on the sidebar.
Chapter 8, building your home dashboard. So, why a home dashboard? Because it'll be a single page you can open every morning that shows you at a glance your tasks, calls, and meetings. It helps you stay organized without getting lost in the sidebar. Let's dive right in by clicking the plus icon next to our workspace name and creating a new empty page. I'll call this the "Daily Dues." Give this page an icon, a home icon perhaps, and a cover image you will enjoy seeing every day.
We'll create a two-column layout for this dashboard. Hover over the title and add Heading 1. Duplicate it. Then drag the second one to the right. I'll name the left column "Life" and the right one "Work." I'll even go through the trouble to add an emoji before each heading. Remember, type "/emoji" before picking whatever works for you. I'll use a briefcase for work and a family for life.
Under "Life," let's add a few things. Create a link to your tasks page, which we will create in the next chapter. Since we don't have a page for that, let's create one. Under "Life," type "Tasks." Double brackets are the code for a page. Notion will prompt you to create a new page called "Tasks." Do it and put it on the "Test Page." Do the same for a "Journal" page and a "Habits" page. Create them as pages under "Test Page." You can always add more later. If you want to make the list look cleaner, then head over to each of your new pages and pick relevant icons. Those icons will replace the folder icon. For Tasks, I'll use a green check mark. For Journal, a notebook. And for Habits, a man lifting weights.
Under the "Work" heading in the right column, similarly link placeholder pages. For example, I'll create three folders: Projects, Team Calendar, and Meeting Notes. Create placeholder pages for the first two under the "Test Page." For "Meeting Notes," however, select the existing "Meeting Notes" folder. Drag it from the left sidebar into the "Test Page" so everything's in the same place. Give all of these icons. For Projects, I'll use a bar graph. For Team Calendar, a calendar. And for Meeting Notes, I'll switch to shaking hands.
All right. Back on "Daily Dues," we've got two columns divided into relevant pages. Let's add a bit more functionality by adding buttons for common actions. Under "Life," below the links, add a button. Type "/button." Let's configure. Add a new page to new database tasks. At the top of the window, enter a new name with an icon. I'll use a blue check mark this time and name it "Create New Task." Okay, click done. Don't worry, we'll rename and edit the database we just created in the next chapter. You can add more buttons if you'd like, but for now, I'll keep everything as is.
Let's add a bit more functionality to our dashboard by adding a calendar to this page. Yes, we have a "Team Calendar," but this one will show only events relevant to you. Type "/cal" at the bottom of the page and select "Calendar view database." This will create a calendar, and it will ask what database this should be pulling from. For now, exit the window. We'll set it up later.
Hide the sidebar and test navigation. All right, we've got a decent home dashboard built. Let's test it out. Collapse the sidebar so only the "Daily Dues" page is visible. Now, try clicking the links you placed. They should take you to the respective pages. Looks good. Use the breadcrumb at the top left or the back arrow at the top of your browser to go back to "Daily Dues." Congratulations, you've built a simple dashboard. This will evolve as we fill in those pages and build databases.
Now that our navigation hub is set up, we will dive into one of Notion's most powerful features: databases. This is how Notion goes beyond a normal notes app to actually function as a task manager, CRM, content planner, and more.
Chapter 9, databases 101. Notion databases are structured collections of pages. If pages are like individual documents, a database is like a table or list that holds many such entries with consistent properties. This is where Notion really shines. You can make a database for tasks, projects, notes, recipes, anything, and then view it in multiple ways. I briefly mentioned in the last chapter that Notion supports full-page databases and inline databases. Let's briefly rehash what each is, what they do, and their differences. A full-page database is its own page. An inline database is a database embedded within another page alongside other content. The data and functionality are the same. The only difference is the layout. Got it? Okay, let's jump right in.
Creating a database. You can use the templates Notion offers or start from scratch. For this tutorial, we will be building one manually, but when you get more comfortable, you should always use a template. It'll save you tons of time. Okay, head over to the "Test Page" and open "Tasks." At the bottom of this page, click "Database" and select "Empty database." Make sure this works properly. There's a chance you will need to go to Trash, move the "Tasks" page out of Trash, and then nest a new "Tasks" database into the "Tasks" page. Name this database "Tasks." Click "+ Add a property" in the table header to name our columns. "Name" is already there. That's the title of each task. Add a "Select" property. Click on it. Change the name to "Status." And let's hit Enter on your keyboard. Now we need to create options. Click on the empty box under "Status." Type "Not started" and click "Create 'Not started'." Follow the same steps to create "In progress" and "Complete" options as well. When you're done, open the box and click the "X" icon next to "Complete" to close it. By the way, the select property means you can only choose one option from the list rather than many.
All right, let's add another property column by clicking the plus icon. Make this a "Date" property and name it "Due Date." Add another property, this time "Person," and name it "Assignee." Each property column you add appears for every task row. You'll see how each task is a row, and you fill in values. Let's create a few sample tasks. The details here don't matter. We just need data to continue. I'll see you when my table's filled out.
All right, I've got three example tasks. Now, something to quickly note, you can open a task as a page by clicking its name. I'll open "Notion Tutorial." That opens a subpage where you can write details or create subtasks. This is powerful. Every row is actually a full Notion page. So for a task, you could include description, checklists, comments, links to videos and articles, etc. So now we've got a database with some data. This is very clean and easy to read. But the larger your team, the longer you use Notion, the more likely it will become a cluttered mess. Not to worry, you can view databases in many different ways. Let's talk about the different views built into each database. Look directly under the database's title. You should see a spreadsheet icon labeled "Table." Click it. Select "Edit view," and on the right, select "Layouts." Here are the different types of layouts: Table view. Like a spreadsheet, this uses rows and columns. Board view. Like a Kanban board, where cards are grouped by a select property. We can group by "Status" and look under the settings. Now your tasks appear as cards under columns: Not started, In progress, and Complete. Timeline. An easy way to view the due dates of upcoming projects. Calendar view. Another way to view the due dates of upcoming projects. List view. A simplified list of items, great for quickly finding the pages associated with each task. Gallery view. Big cards for each item. It can be helpful if you like to organize based on images. Chart. A bar graph breakdown by status. Feed. An excellent way to see the assignee for a task as well as any comments left by them. Map. This shows a geographic location of any task. This automatically links to Google Maps and can be helpful if you run a business that needs to visit the customer's location. For example, HVAC, roofing, lawn care, etc. As you can guess, the right view depends on what type of business, database, or project you're working on. You'll probably use the table view most of the time, but it's helpful to know these other options exist. I'll set this back to table while I'm at it.
Along with views, you can refine what each view shows through filtering, grouping, and sorting. The icons appear in the top right of the database. At this point, you know how to create, customize, and view a database. In the next chapter, we will introduce more advanced database features: linking databases together, relations, summarizing data across relations, roll-ups, and using formulas to compute values. This will unlock the ability to connect, say, tasks to projects and auto-calculate progress. Let's get right into it.
Chapter 10, advanced database setup. All right, the goal of this chapter is to link tasks to the project they belong to. To that end, we will use the task database we built in the last chapter and a projects database we'll build. Now, let's speedrun this. Create a new empty database under the "Projects" page and name it "Projects." I'll have two projects under the names "Tech Tutorials" and "Brand Deals." I'll only add one property here, a Google Drive file. Now, I'd have to create a drive location in Docs and then integrate Docs with Notion, but that's getting too advanced for now. Instead, I'll just leave it blank. It'll work for our purposes today.
All right, let's get started with relations. By the way, a relation property connects items in one database to items in another. For example, in the tasks database, add a property "Project" that links each task to a project in the project database. This way, tasks know which property they're part of, and the project can automatically list all its tasks. Let's do this step by step. In the tasks database, click "Add a property." Choose "Relation." Select "Projects." Make sure to enable a two-way relationship and enter "Tasks" as the related property name and click "Add relation." The Amazon FBA tutorial is a brand deal. So, I'll click on the cell and select "Brand Deals." Easy. The other two are tech tutorials, so I'll set them up, too. Let's head on over to the project database and see how it looks over there. I'll open the "Daily Dues" > "Projects" > "Projects" database, and there we go. Everything looks just right. Now you'll be able to see all the tasks linked to the project. No manual upkeep needed. The best part is that Notion's AI will be able to answer you now when you ask it, "How many active tasks are there for our brand deals?"
Let's keep going and add a roll-up. A roll-up property pulls or aggregates information through a relation. For example, "How many of the tasks assigned to brand deals have not started?" A roll-up will solve this for you. In the projects database, add a roll-up property called "Progress." Go to "Edit property" > "Relation" and select "Tasks." Next, select "Target property" and click "Status." Now, open "Calculate" and select "Show unique values." We want to count tasks that are in progress. So all you have to do is open the filter icon and select "Not started." There we go. We can see there is a single brand deal that meets the criteria.
Now for the final and most complicated of the three: formulas. Formula allows custom calculations using data in that item's other properties. They can be as simple as adding two numbers or as complex as an if statement that displays text or an emoji. Let's make a status icon for tasks. I'll go ahead and open the tasks database and create a new formula property at the end. I'll name it "Status Icon." Now go to "Edit property." Edit formula. So you can write the formula out the old-fashioned way using the properties and conditionals listed below. That said, it's really quite complicated. The syntax works much like JavaScript, and if you don't know Java, it can be difficult to get formulas to work. Instead, it's going to be much easier to prompt the AI to write and troubleshoot it for you. Here's what I'll write: "I want a formula that displays an emoji based on the status of the task. If status equals complete, I want a check mark displayed. If status equals in progress, I want it to be an hourglass. If status equals not started, I want it to equal a racing flag emoji." Let's see what it can cook up. All right, so the AI has written the formula for me. Let's see if it works. Hey, would you look at that? It actually worked. AI is of course not perfect, but good prompting can and will get you far.
All right, let's move on. Often you don't want to show a whole database on a page, but a filtered view of it. Linked database to the rescue. It's essentially an instance of a database view you can put anywhere. Let's head back over to the "Daily Dues" dashboard so I can show you. Okay, I'm going to do two items of housekeeping first. First, I'll go ahead and delete that calendar for now. After that, let's make the new task button work. Click on it. Open the drop-down menu and click on "Tasks." Hit done. It's that easy. I lied. It's not quite that easy. If we click the button now, it would just create a blank row in the database, and we don't want that. Let's make this fully functional. Click "Edit property" for the name. Enter "New Task." This is one thing we won't be able to fully automate right now, and that's okay. All right, hit "Edit property." Select "Assignee" and choose whoever clicked. Again, "Edit property" and "Due Date." This one will be more complicated. We will need a formula to make this one fully automated. So, let's have it write one for us. Here's what I'll prompt: "The due date needs to be set 1 week, 7 days after the task is created." All right, that looks like it will work. Click save. Project is a tough one because there's no one way to truly automate it. Instead, let's simply leave it blank. Finally, "Edit property" > "Status" > "Not started." Hit done. Let's make sure it works before moving on. Click the button and head on over to the tasks database. It looks right. We will still need to add a name and select the project it belongs to, but that will still save us some time. Excellent.
Okay, now head back over to the "Daily Dues" so we can finally cover linked dashboards. Underneath the "Create New Task" button, type "/". Click on "Linked view of data source" and select "Tasks." You can then filter or sort it without affecting the main database views. For example, if this were the actual GV Marketing team space and everyone was here, I'd only want to see my tasks. So, I'd filter by "Assignee" > "Me." Now, it's only displaying tasks assigned to me. Easy.
Let's recap. In this chapter, you'll learn how to link databases with relations, use roll-ups to summarize linked data, employ formulas to create dynamic indicators, expand the functionality of our daily dashboard, and make the most of linked dashboards. We covered a lot of ground quickly, so it feels like a lot. Remember, you can start simple and add more complexity as time goes on. Up next, we'll explore the official Notion Projects features.
Chapter 11, Projects and
Sprints. Official Notion projects.
Notion 3.0 introduced dedicated features to make project management easier, including an out-of-the-box project template with sprints, a sprint board, and other tailored views. Let's explore how to use Notion's official project setup and compare it to the manual project management system we've built so far.
Notion's project surface. This pre-made template includes a projects database for high-level projects or initiatives, a tasks database that is related to projects, and a sprints feature that can be enabled on a task database to manage time-boxed sprints. Open the marketplace and search for projects and tasks. It'll be the first option created by Notion. Click add and select your workspace. You'll see a little popup in the bottom left. Select "C template."
This template has two connected databases, projects and tasks. Click where it says tasks directly under the title. To enable sprints, we need to convert this database to a task database. Here's how. In the upper right of the database, to the left of the new button, click the two horizontal sliders. Select "More settings" from the drop-down menu and select "Sprints." Turn on sprints.
Using the sprint planning dashboard, there are three elements to your new board: current sprint, sprint planning, and backlog. The current sprint view filters to only tasks in the current sprint and groups them by status. Sprint planning is where you can drag unassigned tasks between columns to assign them to sprints. And the backlog view shows tasks not in any sprints, which is your to-do pile.
Let's head back over to the current sprint. Right now, we have no tasks assigned to this board. You can add tasks manually by clicking the new task icon. It'll create a task that's not assigned to a current project or heading over to the project database and building a task directly from there.
Before we move on, I'll quickly show you how to manage the sprint board and automate the process. Click on backlog. You can use the sprint column to assign all tasks to an active or future sprints. I'll assign all the high-priority tasks: conduct interviews, monitor launch performance, and write research report to the active sprints. We also really need to test website functionality, so I'll add that one, too.
All right, head back over to the current sprint view. Now, you can see a breakdown of tasks assigned to the current sprints. You can also manage them all from this page. For example, I'll click on the "monitor launch performance" task. Under status, I'll switch it to "done." There we go. Easy. I'll also mark the "write research report" and "conduct interviews" completed. So, 3/4 of the tasks are complete, but we couldn't get the website functionality right, so it's still open, but the sprint has ended. That's okay. Notion will automatically push the task to the top of the next sprints. Hit "complete sprint." Keep the default settings and click "complete sprints one." There we go. The second sprint is up and ready to go.

Chapter 12, Calendar. Official Notion Calendar.
Notion's calendar lets you see your schedule, integrate external calendars like Google and iCloud, and sync your events and meetings to Notion tasks. It's a great way to keep everything related to a task in one spot. Let's dive in.
In the left sidebar, click the calendar icon sandwiched between the Notion logo and a paper airplane. This will open the Notion calendar in a new tab where you'll be prompted to connect to your Google or Apple calendars. I'll show you how to connect to your Google calendar. Hit "Continue with Google" and "Continue to Google permissions." Choose the account you want to log in with. Confirm your intentions and grant Notion access to all your events, contact info, and the ability to view and edit calendar events. Click "Continue." There we go. It's that easy.
Since this is the demonstration account GV Marketing only uses to create accounts for tutorials, the calendar is blank. If you have a busier schedule, events will appear here and are labeled by the calendar they come from.
Now, an important note before we continue. Notion calendar does not turn external events into Notion pages, and tasks in Notion do not become Google Calendar events. In other words, you'll be able to see events scheduled on your Google calendar in Notion, and you'll be able to see tasks scheduled in Notion on Google Calendar, but you won't be able to make changes to them across apps.
All right, back to it. As soon as you click anything with the calendar, it will ask you to sync your databases with it. Do it. This way, you'll be able to view all your tasks from here, too.
All right, with our databases connected, let's take a brief tour of Notion's calendar. The interface can display by the month, week, or day. You can also choose to exclude weekends. You can also choose to exclude holidays from the left sidebar.
Now, give me a second. I'm going to schedule a task for myself. Okay, since that was more convoluted than it needed to be, I'm going to walk you through the process of making sure your databases can be used by Notion's calendar. Simply integrating them isn't enough.
All right, head back to the projects and tasks templates we looked at in the last section. I'll take the "report on marketing Roy" task, which is four from the top here. Switch the assignee to me. Delete the placeholder and change the due date to this Friday. Now, although the calendar should automatically schedule the task for this Friday, it doesn't. Instead, we need to help it out. Click the two horizontal lines to open settings. Click "Layout" and select "Calendar" from the options. Click off that window. There we go.
Let's reopen Notion Calendar by clicking the sidebar here. And let's see if it worked. Yes, it appears on my calendar. So, for now, you'll need to switch your databases to the calendar view if you want your tasks to automatically appear in your Notion calendar.
Now, one last neat feature before we move on. You can drag a task on the calendar to reschedule its due date, and that change will be reflected in the database. For example, I'll drag the "report on marketing Roy" and move it to Wednesday instead. After a few seconds, it'll be updated in the database.
So, that's how you can see your tasks. But there's far more to this calendar than that.
Scheduling Links. Booking. Similar to Calendly, Notion calendar includes a feature to share your availability and generate booking links for others to schedule meetings with you. Simply click "Scheduling" in the left sidebar. Click "Create recurring link" and paste that link somewhere it can be easily found. You can also create a one-off link if the situation warrants it.
Conflict Avoidance and Multi-Calendar Coordination. Notion will automatically avoid double booking across all your linked calendars, keeping your day running like clockwork. Take a moment to get familiar. Switch to week view. Try dragging a task. Click an event to see details and make sure your integrated databases are configured properly.
Up next, we'll cover Notion Mail, the platform's built-in email solution. We'll also see how AI can help with sorting incoming mail and drafting outgoing.
Chapter 13, Notion Mail.
Email inboxes can be overwhelming, but Notion Mail aims to change that. It's a built-in email client with Notion that organizes your emails like a database, allows labeling and grouping, and even uses AI to draft replies or summarize long threads. Let's learn how to set up and use Notion Mail so you can handle email without leaving Notion.
Click the paper airplane in the sidebar to open Notion mail. Follow all the on-screen instructions to log in with your Google accounts and make sure to give Notion access to everything. You can also link multiple accounts to Notion, for example, your personal Gmail account and one for work without issue. Once you're done with that, you'll arrive on this page. More about email filtering later. Simply hit "Continue" and let's get started.
All right, here's our inbox. Let's take a moment to understand the interface. Notion Mail is divided into sections similar to Gmail but far more customizable. The left sidebar shows you different views. We'll deep dive soon and default email folders like inbox, sent, and drafts. You can compose a new email by clicking the button in the top left of the sidebar right next to your name. Beneath that, you'll see a search bar. This is a quick and efficient way to find keywords.
All right, let's talk about what Notion Mail does differently. First, it lets you group emails by properties. What do I mean? So, standard email apps group only by thread or label. Notion mail lets you group by any attribute: sender, date, importance, content, etc. So, click "Add a view" and choose "Configure manually." The options here are essentially limitless and offer unparalleled customization. You may also have seen that you can ask the AI to do this for you. We'll look at this soon.
Another way to change your view is to switch the group. Click the two horizontal lines in the upper right corner and select "Group." Switching the sorting function here instantly splits your inbox into separate sections.
Enough sorting for now. Let's compose an email with the help of AI. I'll go ahead and click "Compose" to open a Notion AI writing assistant. Simply hit the space bar on a blank line. I'll keep it simple and ask the AI to do the following: Draft a polite response thanking them for the generous gifts and offering to get lunch sometime in the next week. Let's see what the AI can cook up. Hey, not too bad. You can always use what the AI gave you, tell it to try again, or simply get rid of it.
You can also highlight existing text and use AI commands to adjust length, content, and tone. The writing assistant can even reference a Notion page while composing. Type "@" and mention the page, and the AI can pull context from it to include in the email. I'll test it out. Here's what I'll prompt: write a brief introduction of the daily dues for a new team member joining the team space. Well, it's not exactly on point, but the gist of it is still pretty accurate. It's a solid starting point.
Enough about that though. Let's talk about what I think the neatest feature of Notion Mail is: it's AI auto-labeling. You can create an AI rule. For example, label all emails from "@Velocio" as a team or label emails about invoices finance. Click "Auto label" in the upper right and select "Create." I'll name this label "internal emails." I'll give it the prompt I mentioned a couple of sentences ago: Label all emails from "@Velocio" as team. Click the blue up arrow in the prompt box. The AI needs to run a test first by identifying an email that fits your parameters and shows you what it looks like. There we go. Looks good. With that done, hit "Continue" and then "Save." That's it. Notion AI will now scan all incoming emails and apply that label if they are from a "@Velocio" email address.
You can also get more creative by creating custom properties. For example, suppose you want to mark an email with a status like "needs reply" or assign it to a team member. All you need to do is click the two horizontal bars in the upper right corner, select "Properties," and click "Add property." I'll choose the "Select" property, open its settings, click "Add an option," and add three options: Reply, Waiting, and Done. With that done, I'll just go ahead and open the top email here and click "Add Select." And there are our three properties. I'll set this to "Done." Custom properties are fantastic if multiple people manage an inbox. At a glance, they'll be able to see what's already done, what is on pause, and what work is left to do.
All right. Now that we've configured emails, let's take a look at forms and data capture. How to gather info using Notion's forms feature without needing to use an external program.
Chapter 14, Forms and Data Capture.
Need to collect information from customers or fetch data from the internet? Notion now has a native form feature that lets you create public forms linked to your databases, so responses are sent directly to Notion. Let's learn how to create a form, share it, and use automations on form submissions.
Creating a form from a database. We've already built several databases for this video. So, let's grab a template. Click "Templates" to head over to the marketplace and search for "customer feedback database." I'll go with the one created by Notion and simply called "Feedback Tracker" and add it to the workspace. All right. Now that we have a database purpose-built for this, we can easily generate a form. Important note: you can technically enable forms on any database, but it only takes a few seconds to find one tailored-made for the task on the marketplace. Using one explicitly built for this will save you a lot of time. You will see how in just a moment.
Open the template. It contains several databases. The one we are interested in is called "Customers." Click the plus icon under database title. Then select "Form." Notion will prompt if you want to create questions for each existing property. Confirm and voila, a form is created corresponding to the database.
Now you can configure the form. Choose which fields to include, their labels, descriptions, etc. You can also edit each database property by clicking the three dots next to its title. Here you can mark certain questions as required, add help text in a description field if needed, enable long-form answers, and reorder or delete questions.
Now that the form is ready, your customers need to see it. Click "Share form" in the form builder to get a link. You can choose "Anyone with link" (public), "Restricted to workspace members only," or keep it closed. For now, I'll switch it to public so you can see an additional feature. Setting public gives you a warning that one of the questions, "feature requests," is not available on the public-facing side of the form. This may be an issue you run into when using templates, so you'll have to review the question and adjust its properties to make everything viewable to the public.
Regardless of whether or not the form is public or private, when it's submitted, the new submission shows up instantly as a new row/page in your database. Let's head back to the database by clicking the "All Customers" button. Then talk a bit about automating processes on submission. We'll talk a lot more about integrations when we integrate Zapier in chapter 19, but we'll touch on them now. After all, when a form gets submitted, you'll want Notion to handle as much as possible on its own.
All right. Across from "Customers," click on the lightning bolt icon to open database automations. Notion automations are effectively "if then" functions, even if they're described as "when do." For example, let's add a trigger for this automation. Click "+ New Trigger" and select "Page added." Each customer receives their own page automatically created when the form is submitted and organized internally by company name. Every submission activates the automation. Next, we need to tell the automation what to do. This is a personal preference. For me, I'll select "Send mail." Click on "Select account" and sign in to continue with Notion. I won't fill in the required fields right now, but once completed, this will ensure that whenever a page is added, I'll receive an email notification. We've only scratched the surface here, but don't worry, we'll delve deeper into automations shortly.
So, now that you know how to create, edit, and manage forms and link them to databases, we'll shift to a more specialized use: notes and clippings hub. How to manage lots of reading material, save web content, and integrate with Readwise for highlights.
Chapter 15, Notes and Clippings Hub.
Information overload is real. Between news articles, PDFs, emails, LinkedIn posts, social media, and book highlights, it's hard to keep track of everything you read today, let alone this week. In this chapter, we'll set up a notes and clippings hub to help you conquer information overload. We'll combine notes and web clippings into a single database, show how to differentiate between the two, and use Notion's web clipper to save web content. Let's get to it.
Combining notes and clippings. We'll have to build a database from scratch for this one. Let's head on over to the test page. Type "/database" at the bottom of the page and click on "Database - Full page." I'll name it "Knowledge." Each entry in this database can be either a note or a clipping. Click "Add property." Select "Edit property." Add an option. Type "Note." Hit enter. Type "Clipping" and hit enter. I'll go ahead and quickly change the notes colors to red and the clippings color to blue. Let's add some additional properties: Source URL. Add property URL. Authors. Add property. Text. Make sure to change the name of the column. Dates. Add property dates can be the date the item was added to the database, the date of publication, or both. And Contents. Add property text. Again, change the name of the column.
Now, if you wanted to get really fancy, this would be where you'd set up an integration with your Goodreads, Readwise, or Kindle accounts and link them to the database. For our purposes, however, all we're going to use is Notion's web clipper extension. Simply search "Notion web clipper extension" on Google Chrome. Click the link to the Chrome web store and press "Add to Chrome" and confirm. You'll also want to make it easier to access the extension by clicking on the puzzle piece icon right here and clicking the pin icon next to the Notion web clipper.
Find some content you're interested in. I'll use a LinkedIn post by Neil Patel, one of the world's leading content marketers, as an example. I'll click the Notion logo up top, delete the AI-generated page title, and name it "AI Schema Reading." I'll also hover over the drop-down menu next to "Add to" and under "Databases," select "Knowledge." All right, click "Save page."
Let's head back to Notion to see if everything worked properly. It looks like it did, though we'll need to go through and clean it up manually. I'll select "Clipping," add the author name, select today's date, and copy and paste the paragraphs that interest me the most into "Content." Pretty easy.
Something to keep in mind: you can now easily reference everything in this database with Notion's AI. Whether you're chatting in the comments section of a project or typing an email, you'll be able to easily and seamlessly incorporate these tidbits into your daily workflow.
So far, we focused on what Notion can do for your business. But what about what it can do for you? Let's step away from work for a little bit and move on to something more personal: journaling and habit systems, where you can log daily entries and track habits within Notion.
Chapter 16, Journaling and Habit Systems.
Notion can be a great tool for self-improvement. In this chapter, we'll create a journal database with a daily reflection template and add a habit tracker.
Journal database. Let's set up a journal database to log entries. Let's head back over to the daily dues. Open the journal page and type "/database" to create a full-page database. Name the database "Journal" and include the following properties: Date. Add property date. Mood. Select "Edit property." Add an option. Type "Happy." Press enter. And also add the properties "Content," "Indifference," "Overwhelmed," "Angry," and "Sad." Entry. Select the text property and rename it "Entry."
All right, let's create a new template to use it in this database. Click the drop-down arrow next to "New" and choose "New template." Call it "Daily Reflection." Regarding the three properties at the top, we'll only adjust the date settings. Open it and click the shortcut "Today." Now, each time this template is copied, it'll automatically have today's date.
All right. Now look to the blank space at the bottom of the page. Here, let's have a couple of daily questions for you to answer. For example, let's start with the question, "What went well today?" Then highlight the text, select "Text," and switch it to "Heading 2." Add three empty bullet points for you to fill after the question. This will look a bit goofy, but you'll need to include a placeholder after each bullet point so the page keeps its formatting. I'll simply type "1," "2," and "3" after each bullet point. I'll repeat this for two more questions: "What can I improve tomorrow?" and "Gratitude." List three things you're grateful for today.
At the top of the page, you'll get a banner that tells you the page is repeating. Click the drop-down arrow. Leave it to repeat "Every day," but select "At." Instead of having this sent at midnight each day, set it to just before the end of the workday, 4:45 p.m. Now you'll be able to contemplate the day as it's about to end. Save the change in cadence, then exit the template. Don't worry, it will save automatically. Now, each time you click "New Daily Reflection" in the journal, you'll get a fresh entry with the prompts we saw earlier.
But that's not enough about journaling. Let's talk about tracking habits next. Habit tracking can be done in many ways in Notion, but we'll keep it simple and create a separate habits database. Head back over to the daily dues. Open "Habits." Type "/database" and select "Full page." Name it "Habit Tracker" and include the following properties: Dates. Add property date. Habits. Add property multi-select. Edit property. Add an option. We'll start with four habits: Exercise, Read 30 minutes, Meditate, and Yoga.
All right. Now, let's automate it as much as possible. We can make adding a new day easier. Head back to the journal database we made earlier. Then click the three dots next to the "Daily Reflections" template and select "Edit." At the bottom of the page, let's add a button. Type "/button" and name it "Create Today's Habit Tracker." I'll also give the button an icon of a man doing yoga. Time to tell the button what we want it to do. Click "New Action." Add page. Select "Data source: Habit Tracker." In the "Name" field, write the following: "Habit tracker for." Then click the "Add" icon and select "Date triggered." Click "Add Action," "Dates," "Date triggered." Now click "Done."
Everything should work now. Hit the button we just made and open the new page. Here's our habit tracker page with today's date logged in the title and property field. And we can select everything we've had a chance to do today. For now, I'll check them all. Let's head back over to the habit tracker database and you'll be able to see our new entry.
Let's round this chapter out by visualizing the data from our habit tracker. We'll keep it simple and use a bar chart. Next to "Table," click "Add a new view" and select "Chart." To make this chart even more helpful, open settings (the two horizontal lines next to "New"). And under "Y-axis," select "Group by date month." Now you'll be able to quickly and easily see your monthly progress. Is there something you do every day and something else you tend always to put off?
One more fun tip: use Notion's AI to summarize your journal entries or habit progression. You can pull it up at any time by clicking the Notion AI logo in the bottom right and asking, "What were the common themes in my journal this week? How often did I meditate this week?"
All right, at this point, we have a personal life management system well on its way. But let's step back for a minute and assume you always do yoga with a few friends in the morning. More importantly, you want to share your habit log with them. Well, you can by publishing your pages online and turning them into a website. Let's see how.
Chapter 17, Publishing and Notion Sites.
Notion sites are great for both personal and business use. In this chapter, we'll cover how to publish pages, set up a custom domain, optimize for search engine optimization (SEO), customize the theme, and control viewer interactions (view only, allow comments, or allow template duplication). We'll also touch on using analytics and version history. Let's dive right in.
Turn a page into a website. Every Notion page has a "Share to web" option, but Notion sites goes further by allowing custom domains and sitewide settings. Here's how it works. Open the page you want to publish. I'll go ahead and open the "YouTube Content Creators Checklist" we added way back in chapter 6. In the upper right corner, click "Share." Switch to the "Publish" tab and click "Publish." Now it's accessible via a public URL, albeit a very messy and unprofessional one. If you really like Notion and plan to publish pages online, don't worry. You can connect a custom domain later for $10 a month.
Here's how to set this up. Go to "Settings" by clicking on the first initial of your first name in the upper left corner and selecting "Settings." "Public pages," "New domain," "Custom domain." Continue.
All right. Now that you know how to take your site online, let's make sure people can actually find it by optimizing your pages' SEO. First things first, we need to flip on indexing so search engines can find and display your web page. Click "Share," "Search engine indexing," "Discoverable on the web," "Save changes." Open this menu back up since it'll be important shortly. Pro tip: there can be good reasons not to index a page you're publishing online. For example, internal web pages don't need to be indexed, and a form you only send customers after they contact you doesn't need to be public. You can always turn it off the same way we turn it on, flipping a button.
The page title becomes the HTML title of your website, the name displayed on a browser's tab title bar. So, you'll want to optimize it for visibility. For example, I'll add my name at the front of the title to boost visibility. Now the page will be "George Velasio's YouTube Content Creators Checklist." When people search for me, they'll be able to find this checklist pretty easily.
So, this is only a small part of SEO. We also need to talk about the page description and preview text. Notion sites let you customize the meta description and image displayed in the page preview window. Remember I asked you to keep the search engine indexing window open? That's because this is where you can change the link title and description. For the link title, go ahead and delete the "Notion" at the end. All right, now we are on description. This becomes the meta description for search engines and the preview in the social media feed. Write a concise summary of your site or page. For example, I'll write the following: "Boost your YouTube success with George Velasio's Content Creators Checklist. A practical guide to planning, producing, and optimizing videos for maximum growth and engagement. Perfect for beginners and pros alike." All right, hit "Save" when you're done writing a description.
Now, let's talk about website customization. Open the "Share" menu again if it's closed and open "Customize site styling." Here, you can choose a light or dark theme. Set a cover image for the page header. Hover over where it says "Share preview," then upload an image to add your cover image. A favicon, the little tab icon, by uploading your logo. Navigation. You can add a custom navigation bar to the top of your site with links to other pages, for example, Home, About, Contacts. Under "Header," you can toggle breadcrumbs and add pages for each top link and remove the Notion watermark if you're using a custom domain.
While we're here, this is as good a time as any. Go ahead and flip "Google Analytics" on. Don't worry, Notion has built-in integration with Google Analytics. All you need to do is add your Google Analytics Measurement ID here, and that's it. Google Analytics will track page views, engagements, device origin, how they find your website, and more. Go ahead and click "Publish changes" in the upper right before we move on.
Now, let's take a quick step back and talk a bit about user permissions. When you share a site, you decide whether visitors can copy your content. Head back into the "Share" menu. You'll see something called "Duplicate as template." This is unique to Notion. Let's click "View site" to see how it works. All right. This is what your visitors see. In the upper right corner, the copy is called "Duplicate." Click it. That will open the page directly in Notion, giving them full editorial permissions over the contents.
Let's head back to the published page to check out a few other features. So, right next to "Duplicate" are options to "Share this page" or "Search it." For now, that's all you have. It's pretty bare bones, but it can be helpful in the right situation. Now, keep in mind, Notion sites are very basic. They don't even need to have a footer. If you want in-depth customization, use a website builder like Wix or Hostinger. Still, don't discount Notion because it's basic. Sometimes, simplicity is better than complexity.
Okay, go ahead and exit your website. Then, return to the Notion page and let's talk about the version history. We already know Notion stores different versions of pages. The same is true for published content. Click the three dots in the upper right corner and select "Version history." Here you can always revert to a previous iteration of the page and the website if you notice a drop in engagement or if you pushed an update a bit too early. I strongly recommend locking the pages you publish. It helps avoid embarrassing situations. I'll go ahead and flip it on.
Remember how I said you can build complicated websites with Notion? Well, that's only half true. You don't have access to all the features of dedicated website builders, and there isn't much in the way of customizability, but you can still make simple multi-page sites by nesting subpages within pages. Earlier, we saw how to toggle and edit a breadcrumb navigation menu. Subpages will automatically show up in a navigation menu, and you can always choose to restrict access to a specific subpage if it's internal only. In other words, you can still easily create streamlined, utilitarian sites.
So, now that you have a functional website, it's finally time to explore Notion 3.0's best and most anticipated feature: the new, improved, and greatly expanded AI.
Chapter 18, Notion AI in Action.
We've already seen bits and pieces of the AI throughout this tutorial. Remember how we let it generate a formula for us in chapter 10 and how it helps us write and sort emails in chapter 13? Well, now we're going to turn it up a notch. In this chapter, we'll see how you can leverage AI not as a simple helper, but as an autonomous workflow powerhouse. We'll explore concrete ways to use Notion's AI features in your day-to-day life, including the new Q&A to ask questions about our workspace and get instant answers, how to leverage AI-driven meeting notes to transcribe and summarize calls automatically, deploy agents, personal AI bots that can perform complex multi-step tasks for you, discuss the AI prompt library Notion provides with sample prompts for common tasks, and see how AI integrates into mail and docs for drafting emails, adjusting tone, summarizing pages, and more.
All right, let's get into it.
Q&A. Ask your workspace. Instead of manually searching through the workspace for a piece of information, you can ask Notion's AI by clicking on the face icon in the bottom right. You can add context by selecting a specific page or limit it by clicking "All sources" at the bottom of the chat box and limiting the AI scope to only this workspace. For now, I'll let it access the internet. Let's see what it can do. I'll tell it to reference the "AI Schema Reading" LinkedIn post from chapter 15 and ask the following: Give me a quick summary of the linked page to help jog my memory. Hit enter and let's see what it can cook up. Not too bad. It seems to have hit the main points of Patel's post.
Let's try something a bit more difficult. I won't give it any context, but ask the following: How many of my daily habits have I already taken care of? Rather than cutting here to the generated answer, I want to point out a key difference between this search and the last one. Since the AI has no frame of reference for my query, it has to comb through the whole workspace, find what I was talking about, understand it, and relay that information to me. As a result, it's taking much longer. Now, the result is still correct: I completed all four of my habits today, but there's no guarantee it'll be right. Allow me to explain: the more specific and detailed the query you give the AI, the higher the chance they'll find what you're looking for and the better its answer will be.
One thing to note: the AI recognizes existing permissions and only uses pages that you or your team members can view. I'll use a hypothetical to illustrate. Suppose a team member asks the AI about a critical project deadline. What she doesn't know, however, is that the project manager and owner have already had a chat and decided to push it back two days. Since the employee doesn't have access to the direct messages between the two, the AI will still tell her the original due dates. The Q&A feature is also a huge time-saver for onboarding new members. They can just ask questions instead of endless searching or hounding other team members.
Let's move on.
AI Meeting Notes. This feature can fully transcribe meetings or take notes at your command. First, let's hop into a meeting. I'll go to Google Meet and start an instant meeting. Now, I'll open Notion, head over to the test page, type "/me," then select "AI Meeting Notes." Pro tip: I'm using the test page for convenience, but if you're looking to use the feature in your day-to-day, you'll want to create a database to store all your meeting transcripts. Luckily, you're well prepared to handle that on your own. Click "Start transcribing." The first time you use this feature, you'll be asked to permit Notion to access your microphone. Grant that permission, then click "Resume." And there you have it. This meeting and all future ones will be transcribed by the meeting notes AI. Once the meeting ends, the AI will automatically generate a summary of the key points and action items discussed. With a little bit of prompting, you'll be able to have the AI schedule tasks, assign team members, and much, much more.
Let's do a quick demonstration. Even though this won't follow the ebb and flow of a normal meeting, it'll still get the point across and highlight what Notion can do. Here's what I'll say: "Yeah, sure. We'll be able to push the deadline of the marketing Roy report up a day. That shouldn't be a problem. I'll let George know and get it rescheduled ASAP." Let the AI do its job and let's see what it can come up with. Pretty neat. It captured all the key points and even created a helpful checklist for follow-up. To view the entire meeting, click "Transcripts." Switch back over to the summary for the next step.
Now, let's try to use this in real time. I'll open the AI in the corner and give it the context of the tasks page. I'll tell it to move up the due date of the marketing Roy report one day. I'll see you when the AI is done. See what I did there? I purposely told the AI to search in the wrong spot. The marketing Roy report wasn't in the tasks database. Instead, it was in the projects and task database we imported from the marketplace. It took the AI a bit, but it ultimately found what we were talking about and rescheduled the task correctly.
One last thing I want to highlight before moving on. The tool's consistency is impressive. I purposely talked muffled and used my webcam microphone for a test meeting, and I didn't notice any mistakes in the meeting summary, and only a few minor flukes in the transcript itself. That's pretty remarkable accuracy for someone trying to get it to mess up.
Enough about the notetaker, though. Let's get to the heart of Notion's AI: the agents, your new co-workers. So, what exactly is an agent? We talked about this in great detail at the very beginning of chapter 1, so I'll keep it short and sweet. AI agents can understand complex questions, place them in a broader context, and proactively interact with external programs to solve the problem. Let's get one set up.
All Notion users have a personal agent that they can personalize. Click on "Notion AI" in the top left of the sidebar. Click on the AI agents face. You can give it a name. I'll go with Mimi after my dog. Why not? And get her a pretty little bow. Far more important than these aesthetic changes, however, are the setup instructions. Click on it. Now, you can always choose from one of the pre-made options here or browse additional templates, but I'm going to draft custom instructions. Click "Create your own." The instructions are divided into three categories: agent identity, chat interaction, and memories. Memories can be kept as is. Your agent's identity will tell it two things: what it is to do and how it's supposed to act. Focus far more on telling it what to do than how to act. Here's what I'll use for the agent identity section: "You are an intelligent, friendly, and reliable Notion AI assistant designed to help users organize, create, and execute ideas within Notion. Your responses are to be clear, confident, and collaborative." I'll also include rules and parameters for chat interaction, but this is more a matter of preference than anything else.
So, before we test the agent out, here are a few additional quick facts on what it can do: Agents can run autonomously for up to 20 minutes, conducting research, thinking, writing, or coding. At that point, they'll stop and ask for more time. Yes, I mentioned coding. Built directly into Notion's AI is Entropic's Claw, the best coding model on the market. Agents can also integrate with third-party apps such as Slack, Gmail, Docs, and more, run workflows from start to end. In other words, it can create a new project, delegate tasks, collect data, and much more. We'll see it in action soon enough.
All right, let's chat with the agent and give it a task. Here's what I'll ask it to do: Please create a new YouTube tutorial task for Shopify. Conduct preliminary research for a tutorial that needs to be 30 minutes long and cite your sources in a subpage attached to the task. This one's going to take a bit, so I'll see you when it's done.
That took a couple of minutes, but look at the results. Let's skip right to it and open the task it created. Okay, it's in the correct database. And this page provides a quick overview of the video's objectives and a short skeletal script outline. Let's head over to what research looks like. It's pretty impressive. A more in-depth outline for a scriptwriter to follow, as well as links to articles and other YouTube videos on the topic.
Looking back over to the chatbot, you can tell the AI if the response is good or not with a thumbs up or a thumbs down. I'll give a thumbs up and let's try our luck once more, shall we? Here's what I'll prompt: Set the due date to one week from today. Yes, please expand the outline into a full script with basic timestamps included. Make sure the video is for a complete beginner with no Shopify experience. Go step by step. Put the completed draft into another subpage attached to the Shopify tutorial. Let's see what Mimi can do.
There we go. Now we've got a starting point for the video and much of the structure already set. Before 3.0, the AI was a basic writing assistant. Now it's like having a researcher, a secretary, an executive assistant, and a writer, all available with a click of the mouse at any time. Together, the AI can dramatically cut down the busy work that used to eat up hours of your day while you get to focus on handling more advanced creative tasks that only you can handle.
In the next chapter, we'll dive into integrations and automations.
Chapter 19, Integration and Automation Ecosystem.
You've seen everything that Notion can do on its own. Now, let's see what it can do when it has access to all of your other favorite tools. In this chapter, we'll explore how to connect Notion with other apps and automate workflows. We will use Zapier to create automations, sync with common tools like Slack notifications, Google Drive file embedding, and more. Leverage the Notion API directly for custom development or scripts, and use widgets and embeds to bring external content into Notion pages, for example, calendars, weather widgets, etc. Let's get started with Zapier.
If you've never used it before, Zapier is the most commonly used workflow automation and software integration platform in the world. In short, connect apps with triggers and actions. First, we need to link Zapier to our Notion accounts. Go to "Settings," "Connections," "Browse connections," and "Gallery." Clicking "Develop" or "Manage integrations" lets you review existing connections and create your own custom ones. We'll skip that and get right into setting up Zapier. Word of warning: this integration is more complex than others we'll cover. However, Zapier has a significant advantage: it can connect to thousands of apps and share that information with Notion. In other words, if you cannot connect an app directly to Notion, you can connect it to Zapier and through Zapier to Notion. Let's dive right in.
Type "Zapier" into the search bar and select it. Click "Learn more." That'll redirect you to this page on Zapier where you can either sign in with a Google account or create a free Zapier account with another email. Whatever path you choose, follow the short onboarding instructions. Now, Zapier is different from most other integrations. Where we'll connect most apps to Notion, we'll actually connect Notion to Zapier. Here's how. On the right-hand side of the screen under "Trigger events," select "New data source item." Click "Sign in" next to the account. Then click "Select pages." I recommend giving Zapier access to all your public and private pages. Expand each view. Click "Select all" and choose "Allow access."
All right, let's move on to configure. In the top right of Zapier under "Data source," select "Habit Tracker." Let's add another step to see how everything fits together. Here's a scenario: I want my partner to be able to see if I've completed my daily habits. So, I'll click the plus icon below our trigger. Then select "Gmail." I've set the action event to "Send email." Log in to the Gmail account you're planning to send the email from. Okay, go ahead and click "Continue" at this point. Now we need to write the email we want the Zap to send. For testing purposes, I'll be sending this email to hello@vlo.com. So I'll enter that in the "To" field. Keep the other settings as they are. Don't worry about CC or BCC for this app. Set the "From" email from the pop-up. The message will be from George to Helena with the subject "My Daily Grind." Now I want to integrate the data from the habit tracker into the body of this email. Now I'll write my short email: "Hi honey, here's what I managed to get in today." Now we have to enter a dynamic data source. Click the plus icon and select "Multi-select." The email will now look like this: "Hi honey, here's what I managed to get in today. Yoga, meditate, read 30 minutes, exercise. Love, George." Now, this email will be sent whenever I update a habit tracker database, and it will let Helena know which of the four options I completed.
Let's take a look at a few different apps you can integrate with Zapier. I'll start with Slack. Back at the integration gallery, type "Slack" in the search bar and choose the first option. Simply click "Add to Notion" in the upper right corner. That'll take us back to the in-app connection setting. Click "Connect" under Slack. Follow the on-screen instructions to log in to your Slack account. Now, Notion is fully integrated with Slack, and updates can be sent in either direction with a single message.
So, now that you've seen how to integrate apps the hard way through Zapier and the easy way by pressing a few buttons on Notion, let's take a look at another different type of integration: embeds and widgets. Notion supports embeddable content types from third-party platforms including YouTube, X, PDFs, Loom recordings, Google Maps, and many more. I'll just show one as an example. I'll head over to the test page and paste an X link from Neil Patel. When I'm hitting "+ V," I'll get an option to "Post a link as embedded tweet." That's what I'll select. Now everyone on the team can easily see what Patel had to say without going through the trouble of clicking on a link or logging into X. You can also cut out the middleman by typing "/embed," selecting the first option, and now you can post any link in that space, and it will automatically get embedded into the page.
You can also use widgets that display the time, the weather, a countdown, or more. In the marketplace, there are hundreds of free widgets you can download. There's also Indify, a free resource created by the Notion community with even more free widgets to download and play with. Head over to indify.co and get started. For example, I cheated and downloaded a template with over 130 pre-made widgets. I'll go ahead and open the "Clocks and Date" category. Select this one. Click the three dots in the upper right corner and click "Copy link to block." Now I'll head over to the daily dues, paste the widget at the top of the page, and select "Sync block." Tada. Now all you need to do is keep the widget gallery in a safe place like your private section and pull them out as needed.
Let's round out this chapter by talking about some of the limitations and security risks inherent in using third-party apps. Here are a few tips to keep you and your data safe: Only use official integrations from trusted providers when you're getting started. You'll be safer, things will run smoother.
and you will have a lot fewer headaches getting your workspace up and running. If you decide to use Zapier, remember that each zap executed by an account on the free plan does not update in real time. Instead, it updates every 15 minutes. If you need a workflow to execute automatically and immediately, you have to make through another app or get a Zapier subscription.
Now, consider applying the principle of least access. Share only the pages with your integration that it needs, not your entire workspace. Of course, I've violated this principle myself multiple times throughout this video. There's a trade-off. Granting access will save you and your team a bunch of time down the road, but of course, it risks having your data compromised, or you can restrict access to most of your workspace and manually sign off on each page. Ultimately, this decision is up to you.
All right, now that you've learned how to integrate third-party apps with Notion, let's conclude this video by putting everything we've learned to the test. It's time to build a fully fleshed-out workspace for your team in Notion.
Chapter 20, Capstone. Build Your Team's Workspace. Our goal is to build something a small team could use to manage projects, communicate, and share knowledge. We will incorporate many features: Projects and sprints, Notion Mail for team inboxes or client communication, calendar for scheduling, shared dashboards, and AI meeting notes to streamline collaboration.
Now, this chapter is going to be different than what I usually do. Rather than walk you through this capstone step by step, I want you to take the knowledge you've already gained in this tutorial and apply it. I will walk you through some of the more complicated steps, but for the most part, you'll be on your own. Let's get right into it.
Step number one, create a new team space. Click the three dots next to team spaces in the left sidebar and click new team space. I'll name it GV Marketing. And why not, I'll give it a line go up graphs as an emoji. I'll keep the description simple: the official GV Marketing team space for cooperation and collaboration. I'll also make sure to set permissions to private. Don't want any strangers getting in. All right, let's click create team space. Right now, I'm not going to bother inviting people, so I'll click skip.
Within, have top-level pages or sections including: Team Space Home Dashboard for team overview, Projects database for projects and tasks, Mail use Notion Mail, Clients database if relevant for external-facing work, Meetings database for meeting notes.
Step two, set up projects and tasks. Use Notion's official projects and tasks template. Set up the priorities and make sure to enable sprints. Make sure the database can communicate with one another. Don't forget about your relations and formulas.
Step three, team home dashboard. The new Teamspace already came with a TeamSpace homepage, so go ahead and use it here. Think back to the daily doses page we created at the beginning of the video. You're doing the same thing here, just with a few more steps. Here are the sections you should include in it:
Announcements: A section for any high-level updates. Could be a collection of recent updates pages or a simple bulleted list that team leads edit.
Project status overview: Consider displaying an inline version of the projects database that shows each active project sorted by status.
My tasks: A linked view of tasks filtered to assignee is me and status is not done or something along those lines. This will need to be carefully tailored to work for each team member. So, take your time and do it right. If the filter is set properly, your team won't need to do anything.
Team calendar: Embed a view of the Notion calendar or the linked tasks calendar showing deadlines and meetings this week. By setting the filter on this to assignee is me again, it will be preset for all of your core.
Quick links section: Embed links to Google Docs or simply create pages that hold important frequently cited contents. For example, brand guidelines, project templates, standard operating procedures, etc., that your team will need regularly.
Step four, create an area to share meeting notes with AI integration. Make sure the AI meeting notes integration is ready for team meetings and create a meeting notes DB with templates for different meeting types. In those templates, provide prompts to use AI meeting notes. You'll also want a separate meeting DB for you only to keep your personal notes in a safe, secure location.
Step number five, leverage Notion Mail for client updates. Many of my videos are collaborations with SAS companies, and negotiating price, setting deadlines, discussing expectations, and communicating revisions takes a lot of time. One way to streamline this process is to automatically send clients updates whenever the status of their project changes. There are several ways to do this, but the easiest is, of course, to connect a database to Notion Mail or Gmail and set up an automation, a when/do command. You'll also want to spend the time setting up a comprehensive AI labeling and filter system. Remember how you can have the AI sort through all your incoming mail for you and filter it accordingly? Well, make sure this is shared amongst your team members so everyone is on the same page and there's no confusion.
Step number six, build a form and share it on a Notion website. Though we haven't built a form, you can find a questionnaire that's similar to what you're looking for on the marketplace. Download it and make the changes you need. Link it to a new database. Remember the customer feedback database, and then publish the form online so your customers can easily access it. You'll need to get fancier than I did in the example in chapter 14. So, here's what I recommend for your form databases: Leverage relations. Use the AI to help write formulas. Automate as much as possible using Notion and external apps.
Step number seven, build a knowledge base. This is the step I'll walk you through. I'll go ahead and use the test page in the other workspace to do so. So, we're building a knowledge base of easily accessible information. Here's how we do it. Once you've got a page along with its nested subpages set up and ready to go, click on the three dots icon in the upper right. Select turn into wiki. You'll have to read through a very short introduction to wikis on Notion, but I'll give you a friendlier TL;DR. Wikis need to be verified by the page owner, and only people granted explicit editorial power can change the page's content. All right, hover your cursor over the page title, then click verify.
